Hello Holt Staff,

We’re almost at the finish line! 

Twenty-four items of note for this final week:

• Two Staffing Updates – Two staffing updates:

• 4-hour Title EA Updates – HR has filled our two 4-hour EA vacancies. Lori Tingue, who was a Title 1 EA at Holt last year before taking a temporary 2nd grade classroom position at Gilham this year, is filling one, and Lisa Neeley, a Title 1 EA from Family School, is filling the other. Please welcome Lori and Lisa to Holt, though both are applying for teaching positions, so we may have vacancies to fill later on.

• Want to be the Holt Summer School Admin Intern? – Downtown can’t find any assistant principals interested in doing the second part the summer SEAL program, so they changed the job to a licensed position, so teachers or any licensed employees can apply. I’ll be principal the first two weeks to get things started, July 12 – 22, also working with this person, and after that they would be in charge though August 12th (though I actually report back to work the following Wednesday, so there’s only two days where I’m not there). If any of your are interested in some extra summer mad money, feel free to find me and here’s the Job Posting.

• SEAL Room Assignments – SEAL officially need 12 classrooms and the Music Room, and KITS needs two kinder classrooms. I’ve come up with the following Summer School Classroom Map, which doesn’t require us to move desks and chair to match the different sized students and also allows Holt teachers teaching summer school to remain in their classrooms. However, I am open to discussion, so let me know if you have other ideas or if you can twist the arm of a colleague to volunteer their room.

• General Summer Cleaning Schedule – I’ve only gotten general details that the summer deep cleaning will happen before summer school and a quick refresh clean will happen after summer programs. I’ll add details to the calendar once I know of any off-limits days. I’ve heard the hold up is the carpet cleaner vehicles are being fixed up in Portland right now and they don’t know for sure when they’ll be ready to start.

• 22-23 Master Schedule Coming Soon – The schedule is still being worked on, but we should have a draft ready to share out with staff before the end of the week. Stay tuned!

• REPEAT: Schedule Your Gaga Ball Rules Lesson – If you haven’t already, let me know a good 10-minute block to go over the Gaga Ball Rules Slideshow with your class sometime before Field Day.

• REPEAT: Erin’s Law & Second Step Child Safety Unit, THIS WEEK – If you haven’t already, teach lesson 6 of the Second Step Child Protection unit this week. Linked here are Child Protection Unit Scans of the teacher guides.

• UPDATED – REMINDER: Field Day Details – See the linked Schedule for Field Day for details and the Field Day Map for the layout of the event, which Alex emailed out earlier. UPDATE: There are no PE or Music classes this day. 

There will be 8 minute rotations. Teachers, see the schedule where you will start and be sure to have your students divided into 4 color groups before field day:

• Keep or Send Home Reusable School Supplies – Since 4J paid for school supplies, we can keep any reusable or unused school supplies, but it’s also okay to send stuff home with kids. Do note we’re not ordering more book bins or pencil boxes replacements, so hold onto those if you want them for next year.

• End of Year BBQ Sign-Up – Don’t forget to sign up for the Staff End of Year BBQ happening this Friday.

• Return School Radios to Office FRIDAY – All school radios should be returned to the front office on Friday, so Facilities can do their yearly maintenance.

• REPEAT: Report Cards Go Home Friday – Report cards are to be send home with students this Friday. If any students are absent, you can bring their report card and belongings to the office.

• Technology Checkout Contract 2022-23 – If you are taking home your school laptop, iPad, or other equipment over the summer, complete the linked 4J Technology Equipment Checkout Contract 2022-23.

• REPEAT: End of Year Checklist – Linked here is the End of Year Checklist 2021-2022. This needs to be completed by all staff in charge of an area before you start your summer and need both mine and Ryan’s sign-off. Let me know if you have any questions.

 

• REPEAT: ELA Materials Packing Directions – Linked here is the list of ELA Materials to Keep or Discard, as well as Eric Anderson’s Email.

• Teachers will get 6 boxes per classroom.
• Most Journeys and Being A Writer materials: Box and attach this Label Template on each box.
• Leveled Readers: Box separately and use the Leveled Reader Label Template ere.
• Trade books and big books: Keep them for 4J use. If your building does not want them, please send them to Bailey Hill using this label.

• REPEAT: Diverse Classroom Libraries Inventory – Teachers (or Title staff if you connect with Jenny) will inventory the SIA Diverse Classroom Library Book Sets. There are two processes depending whether you are teaching the same grade next year or if you are moving grade levels or schools.

If not moving: Inventory books, cross any missing books off of the inventory list, keep books in your room.

If moving: Inventory books, cross any missing books off of the inventory list, leave bins in classroom, and write the bin barcode number on the End of Year Checklist 2021-2022.

• UPDATE: June 20th, Juneteenth Expectations – This HR Email sent to staff explains how Monday, June 20th is the last regular workday for licensed staff, but it is also a new Federal Holiday, so staff have the option to work extra days prior to Juneteenth and not work this day OR you can take June 20th off and work on Tuesday, June 21st instead.

 

• 22-23 Arrival Plan – For anyone who missed it at the Staff Meeting or in the minutes, the morning arrival plan for next year (assuming we are no longer cohorting) will have students eating breakfast back in the cafeteria. 7:25, buses arrive and students are supervised in the cafeteria. 7:35, students are release to line up at the same grade level entrances we used this year and K/1 going out to hard play (they like to run). Students arriving late who want breakfast can go to the cafeteria until 7:50, when the first bell rings for students to go to class, with all doors closing at the tardy bell at 7:55.

• Fall PD Plan – If you’re wondering what the PD plan is for when teacher report back early, so are principals. I asked about this at a principals’ meeting a couple weeks ago and still haven’t gotten an answer what the plan is yet.

• No “Huggy Wuggy” Talk – I’m old and uncool and did not know about this, but if you hear kids talking about Huggy Wuggy, it’s a fairly scary and inappropriate character from a horror survivor video game, so tell kids that’s not something to talk about at school.

• EOA School Choice Process for Next Year – The back and forth between online and brick-and-mortar has been frustrating to say the least, but next year downtown has made the decision to treat EOA as it’s own school and that parents will have to go through the regular school choice process, which will hopefully cut back on the back and forth we’ve seen this year.

• Fox Hollow Redesign – SSD’s Fox Hollow program is being redesigned to be more of a temporary placement and not as much of a permanent placement. Linked here is the Fox Hollow 2.0 Redesign Slideshow that was presented ot principals last week if you are interested.

Shogun by James Clavell – I loved the Richard Chamberlain 1980s TV mini-series, but am curious to read to the book

V.C. Andrews’ Flowers in the Attic – A horror staple I never read, though I did see the terrible movie version, but feel I should read it since it’s such a pop culture icon of horror. 

Consumed by David Cronenberg – David Cronenberg has made some of the most seriously weird movies you’ll ever watch (The Fly, Dead Ringers, Videodrome, Scanners, etc.), so when he’s not limited by budgets or special effects, I’m curious what kind of story he’ll tell. 

Chaos: Charles Manson, the CIA, and the Secret History of the Sixties by Tom O’Neill – I’m not usually a true crime kind of guy, but this is supposed to be THE definitive book on Manson, so I have to read this. 

Mark Harris Books on films of the 50s, 60s, and 70s – I heard Quentin Tarantino talk about Mark Harris as a terrific writer on the behind the scenes history of Hollywood, which piqued my interest, so I bought a few of his books. I’m planning to start with Pictures at a Revolution: Five Movies and the Birth of the New Hollywood.

It’s out last 5-day week of the year!

Sixteen items of note for this week:

• Staffing Updates – Four staffing updates:

• 2nd Grade Hire, Michael Dempsey – We hired Michael Dempsey for one of our two 2nd grade opening. Michael is an experienced teacher who’s taught since 2004, starting our teaching high needs primary grade students in the Bronx, New York to teaching at the Hong Kong International School (check out their website to see a SERIOUSLY swank school!) and currently at the Ruamrudee International School in Thailand.

• SPED Hire, Emily Henson – For our full-time SPED teaching position, Emily Henson will join Kelsey and Whitney Oliver (our 0.5 SPED teacher) next year. Emily is coming to us from Utah where she’s taught in a self contained classroom at an autism charter school.

• School Nurse Resignation – And another one bites the dust. Our new school nurse lasted a week before she resigned. Student Health Services is working to hire a replacement, but this is a problem across the district right now, which you can read about on this SSD Email to principals last week.

• CORRECTION (date fixed) 2nd Grade Job Posted (Closes Tuesday) – If you know anyone good, please encourage them to apply for our 2nd Grade Job Posting. The job closes Tuesday. If HR gets me candidates quickly, I’ll plan to hold interviews next week on Wednesday, June 1st, 2:40-5:00. Let me know if any of you (both licensed or classified staff) would like to volunteer your time to help find us a newest staff member!

• Holt Spirit Day – Superhero Day, FRIDAY! – Get your superhero outfits, shirts, or gear ready for this Friday’s Superhero Day! Get kids pumped and don’t forget to log onto the Virtual Assembly at 7:40.

• Friday PD, Class List Input Session – We will meet in the cafeteria this Friday at 1:30, where specialists, prior year teachers, receiving teachers, and other staff will review the draft 2022-23 Class List Placement Form to provide input. Specialists may want to look at the lists ahead of time since you’ll be looking at all of the class lists.

It was suggested we have a schedule, though I’m also fine if we want to keep it looser and staff can just float between teams, which was my original plan. If folks want something more structured, below is my initial thinking, but input is welcome.

• REMINDER: 3/4/5 Climate Survey DUE May 31 – A reminder for 3/4/5 teachers to have students complete the student climate survey by the end of the month. See the email I sent earlier for details, but first show the video and then have students complete the survey.

• Erin’s Law & Second Step Child Safety Unit – All classroom teachers should use the Second Step Child Protection Unit for meeting the state Erin’s Law requirements. For each grade level, there are six lessons, which are to be covered at three points in the school year, with Lessons 1-4 in the fall, lesson 5 right before spring break, and lesson 6 right before summer break (within the last two weeks of school). Each grade level has their own kit, but linked here are Child Protection Unit Scans of the teacher guides if that makes things easier.

• Report Cards – Grading day is Friday, June 10th and report cards will be sent home with students the last day of school, Friday, June 17th. Melanie will do the “Update Attendance” procedure in Synergy the Thursday before grading day, so wait until grading day to print report cards.

• iPad Inventory & Collection – Four iPad related updates:

• BEST Student iPads Stay at School – Students attending BEST/YMCA should keep iPads at school, just like everyone else. The plan for next year will be for BEST to have their own set of iPads.

• Email Melanie if any iPads are missing – If there are any students who have not brought back their iPad email Melanie. 

• Email Melanie Charger/Cord Info (if you have it) – We know that most teachers did not track who returned their iPad charger and cord, but if you happen to have that info, please email it to Melanie. If you don’t have that info, don’t worry about it.

• Inventory Last Week of School – Melanie is planning to begin inventorying iPads the last week of school, so it would be helpful if teachers can have iPads stored in a COW Cart or all in one location.

• Summer Reading Staff Picks! – Since summer is almost here, it’s time for me to put together my annual end-of-the-school-year Summer Reading Staff Picks! Email me or let me know in person what your summer reading list looks like and I’ll post everyone’s picks in my final weekly announcements of the year. I love hearing what other are planning to read and have found some good books this way. For my picks, I’m going old school and thinking I want to read couple 70s pulp classics I never read before, James Clavell’s Shogun and V.C. Andrews’ Flowers In The Attic. Let me know what you’re reading to join the fun!

• HANDBOOK HIGHLIGHT: Staff Mailboxes – This week’s highlight from the Holt Staff Handbook, is on Bicycles, Inline Skates, and Skateboards:

Bicycles, Inline Skates, and Skateboards:

According to Oregon helmet law, any child under the age of 16 must wear a helmet when riding a skateboard, scooter, skates, or a bicycle in a public place. Once on campus, bikes, skates, scooters, or skateboards should be walked to the storage area (classroom keys will open the lock), bicycle racks, or the skateboard/scooter rack. School is not responsible for lost or damaged items.

• District Admin Updates – Linked here is an email with a few district admin updates. Spring Creek principal Sebastian Bolden will be the new Director of Middle School Education. This is a new position and a bit of a restructure. Currently there are two elementary directors and one secondary director for middle and high. Prior to that, there were two directors of K-8 and one director of high schools. Now each level will have their own director or directors. The other admin updates were secondary assistant principals if you’re interested.

• Virtual Public Works Week! – The city isn’t doing an in-person Public Works Day this year, buy they are offering a Virtual Public Works Week instead. If you’d like to show your class, they created a series of eight videos, targeted towards children and from a child’s view. They feature a local kid talking with staff about different public works services.

• Barnes & Noble Summer Reading Program – Sure it’s a marketing ploy, but kids can earn a free book by picking any book to read, completing the linked reading journal (English or Spanish), listing the book title and their favorite part, and after eight books, redeem their journal for a free book at Barns & Noble. See the linked website for more details.

• COVID-19 Free Test Kits – In case you missed it, every home in the U.S. is eligible to order a 3rd round of free at-home tests, 8 kids the time. Order yours here: https://special.usps.com/testkits

• Future-Proofing Students – When they’re adults, more than half of today’s students will work in jobs that don’t yet exist, says author/psychologist Michele Borba in this Educational Leadership article. Her research has identified seven skillsets that are vital to success in this ever-changing world. “These strengths are not fixed nor based on scores, IQs, or ZIP codes,” says Borba, “but teachable abilities that can be woven into daily lessons and help prepare kids for life.” See this ASCD Article for details on the strengths, each with several associated abilities:

• Self-confidence: Self-awareness, strength awareness, finding purpose
• Empathy: Emotional literacy, perspective taking, empathic concern • Self-control: Attentive focus, self-management, healthy decision-making • Integrity: Moral awareness, moral identity, ethical thinking
• Curiosity: Curious mindset, creative problem-solving, divergent thinking
• Perseverance: Growth mindset, goal setting, learning from failure
• Optimism: Optimistic thinking, assertive communication, hope

“Our moral obligation,” Borba concludes, “is to equip this generation with the content and abilities they will need to handle an unpredictable future and thrive. Doing so may be our most important educational task.”

Hi Everyone,

My 91-year-old father-in-law had to go to the hospital Friday afternoon and has been in the ICU with intestinal bleeding since then, so I didn’t get as much time to get school work done this weekend as normal. He’s stable now and I hope to get the Site Council agenda and Draft School Improvement Plan out by Monday, as well as a draft plan to Leadership for the 22-23 Class List Process. Stay tuned!

• Staffing & Expo Updates – Four updates:

• 0.5 SPED Position – Whitney Oliver has been hired as our 0.5 SPED Teacher (shared with 0.5 SPED at Gilham). She’s an experienced special education teacher who is currently the CLC teacher at Chavez. She had excellent references and should make a great addition to our school! Please welcome Whitney to to Team Holt!

• 1.0 SPED Interviews Friday – Our 1.0 SPED Teaching job was not filled at the Expo, but Kelsey and are conducting interviews this Friday at 1:30 to try to hire someone from the 4J Early Hire Pool. Let me know if any of you would like to volunteer your time to join us.

• 2nd Grade Interviews Thursday – Our two 2nd grade classroom positions are also both unfilled. HR wants us to interview some of their early hire candidates before posting externally (I do know of some strong external candidates), so I’m conducting interviews this Thursday at 2:30. Let me know if you’d like to join me for these interviews.

• New School Nurse – Please welcome our new school nurse, Jill Klinko. He schedule isn’t set just yet, but we are sharing her with and Cal Young, so she’ll hopefully be there three days a week like our prior school nurses. Please welcome Jill to the team!

• Region Equity Manager Visit Tuesday – Alma Reyes Guillen, the Sheldon Region Equity Manager emailed principals she is planning to visit all schools in our region this week. She’s visiting Holt on Tuesday at 11:00, so don’t be surprised if you see her in your classroom or around the school.

• Friday PD – Watch for a separate email for this Friday’s PD, which will be async so I can conduct SPED teacher interviews.

• Bruce Hale, Virtual Author Visit, May 17th – Author of the Clark the Shark series of books, Bruce Hale, is doing a virtual author visit at Holt on Tuesday, May 17th at 1:10. • Holt Bolt, Thursday, May 19th – The Holt Bolt is on the calendar for Thursday, May 19th at the following times:

K/1/2, 8:45-9:45
3/4/5, 10:30-11:30

The event this year is a “Fun Run” and not a fundraiser. PAHS is going to test out a new digital tool for counting laps, where all students will have a QR code sticker, which volunteer will scan with an app on their phones that keeps track of all participating students. If it works well, we may try it for the Fundraiser Holt Bolt next school year. Students will run around the building. We’ll have a map we will share soon. There will be prizes (TBA on details) and also Otter Pops (or something similar) for kids at the end of the event. There will also be t-shirts for all students and staff! This is my first jog-a-thon at Holt, so let me know if I’m missing anything or if you have any questions.

• CORRECTION (times were swapped): Field Day, Wednesday, June 15th – Holt’s annual end-of-year Field Day will be Wednesday, June 15th. Grades 3-5 will be 8:45-10:15. Grades K-2 will be 12:00-1:30. Linked here is the 2022 Field Day Plan, including station direction, where classes will start, and map of the stations. Thank you, Alex, for coordinating all of this!

• COVID Updates – Two COVID updates:

• When to Stay Home w/Symptoms – We are almost back to regular-times standards for when staff need to stay home, which is fever or vomiting. The only new wrinkle is if you have symptoms on the COVID list you need to have a negative test, which I can administer to you here at school. The HR COVID person said staff, “need to stay home if they are sick – that goes without question. If it is congestion and runny nose, and they test negative they can come to work. As always, they must be fever-free for 24 hours before returning to work (if they had a fever).” COVID symptoms are:

• Fever of 100.4º or higher
• Chills
• Cough (non-persistent, dry coughs are okay, but congested coughs are not)
• Shortness of breath or difficulty breathing
• Fatigue
• Muscle or body aches
• Headache
• New loss of taste or smell
• Sore throat
• Congestion or runny nose
• Nausea or vomiting
• Diarrhea

• iHealth Rapid Test Expiration Dates – If families ask about the expiration date on the iHealth tests that were sent home with all students, the date have been extended to 9 months instead of the 6 currently listed on the boxes. Also, the date is likely to be extended to 12 months. Also, we still have extra tests if you know of any families needing rapid tests.

• G.I. Outbreak Update – Unfortunately the barfing continues, so we aren’t able to lift the LCPH safety measures just yet. Keep washing those hands!

• ELA Adoption Update – The ELA Adoption Team meet last Friday to review their independent scoring of the two pilot programs. If you’re interested in seeing the final scores, see the linked LA/ Literacy Materials Adoption Pilot Wrap Up & Celebrations Slide Show. I checked in with Robin S. and she said the team is moving forward with recommending Wit & Wisdom for adoption.

• TSPC PDU/PEER Form Temp Change – TSPC is suspending PDU Reporting through the end of next year, December 2023. HR is not requiring licensed staff to turn anything in, but continue to track PDUs, since you’ll need to have those ready for any renewals for January 2024 and beyond (if nothing else changes). Let me know if you have any questions on this.

• Self-Harm Event Recording – Linked here is the Self-Harm Video Recording from the community event about self-harm that was held April 25th at Sheldon. It could be a good resource if families reach out about self-harming behaviors.

• Asian American and Pacific Islander Heritage Month Activities – May is Asian American and Pacific Islander Heritage Month. Hello Holt Bolts,

This Wednesday is Administrative Professional’s Day, formerly known as Secretary’s Day, so a HUGE shout out to our AMAZING front office staff, Melanie and Sharon! Be sure to let them know how appreciated they are, because we all know that the above image is true.

And if you need a reminder that Holt is a pretty great school, I had two different visitors on two different days last week remark how Holt has such a welcoming, positive, and calm feel to it compared to other schools they’ve been. This is a nice reminder since it’s sometimes easy to lose perspective, especially this time of year when it’s easy to get frustrated with things, so although you may not always realize it, you all have created a pretty rad school here!

• Staffing Updates – Two staffing updates:

• Expo Updates – Shared at last week’s Staff Meeting, SJ took at job at Adams and Ashley Wolf took a job at Gilham. Since that announcement, Elizabeth Cobb is moving into the 3rd grade vacancy, which means Holt will have two 2nd openings and 1.5 SPED openings at this week’s Job Expo.

• COVID Utility EA Update – Rosie is no longer with 4J, so we will have subs in this position for the remainder of the year since building are not be staffed with COVID Utility EAs next school year. Our sub from this past week, Carol Eicher, has agreed to be our regular sub for the remainder of the school year Mondays through Thursdays, so please welcome Carol to Team Holt!

• REPEAT: Allan Out MONDAY – I’m attending a COSA Conference and will be out of the building this Monday, but I’ve asked the Monroe principal, Sun Saeteurn, to be on call if anything out of the ordinary comes up.

• UPDATE: Fire Drill, TUESDAY @1:10 – We got rained out last week, so we’ll try again for this Tuesday at 1:10. Linked here is the Building Evacuation Map and the Fire Drill Line Map.

Kona Shave Ice Fundraiser THURSDAY – Kona Ice it coming to Holt this Thursday at dismissal, so remember,  shave ice is always free to all staff members! Remind your students and start thinking about what flavor you want (Lavender Lemonade is my fav)!

• K/1 Hearing Screening, THURSDAY & FRIDAY (hallway closed) – Kindergarten and 1st grade students have their hearing screening this Thursday and Friday. UO speech language pathologists will run the tests out of the Speech and ELD classroom, which means classes should not use this hallways as an entrance/exit Thursday and Friday during testing, which is scheduled for the following times:

• Holt Spirit Day – Wacky Wear Day, FRIDAY! – Start planning your outfits for this Friday’s Wacky Wear Day! Get your kids pumped and don’t forget to log onto the Virtual Assembly at 7:40.

At the assembly we’ll play a game of Pictionary and are also presenting a special Holt Hero Award, which I’m told was something put into place pre-pandemic, but hasn’t been used yet. For folks like me who weren’t here for that discussion, linked here is the Holt Hero Award Nomination Form, explaining how it’s a special award for student community service outside of school that goes above and beyond. Maybe only one or two students a year would get this award, but we had a student who last week alerted their parents to a fire at a neighbor’s house in the middle the night, who was then able to contact the fire department before the fire spread.

• Friday PD: School Improvement Planning – Site Council met last week and have decided upon two umbrella School Improvement Goals; Attendance and Equity/Inclusion. Our next step is to develop strategies and action steps to improve in these areas, which I would like to get staff input on.

Some of the ideas discussed at Site Council for attendance were to focus on more Tier 1 school wide strategies, such as attendance challenges, or to create a strategies to reduce barrier for families, such as partnering with Safe Routes to School for carpools and walking groups. For equity/inclusion, we discussed ideas such as starting affinity groups, reinvigorating parent involvement after two years of mostly virtual parent involvement, and also taking a particularly close look at supporting ELD students, who are stood out when we looked at attendance, discipline, and academic data.

Start brainstorming ideas in these areas and come prepared to share on Friday.

• Friday at 4:00 @PublicHouse – Here’s a great way to end your week! Join colleges for a beverage at PublicHouse in Springfield! There’s pizza, Hawaiian food, Fisherman’s Market, Indian & Latin fare, and all sorts of good food to choose from, as well as a variety of beverages. Bring your family along if you’d like and hope to see you there!

• Staff Pockluck, May 2nd – The Sunshine Committee May Staff Pockluck is happening a week from Monday. Add your name to the Staff Potluck Luncheon Sign-Up! Sunshine will provide Birthday cake for May Birthdays!

• Next Year’s Master Schedule Update – Downtown is providing schools with guidance on master schedules and suggested/required times for content areas, so we need to wait until we get this official guidance before we can begin working on the master schedule for next school year. Principals may get more info this week, which I’ll share out once I get it.

• Digital Access to New ELA Curriculums – I wanted to highlight one item from the FAQ for the ELA Adoption, which is that staff can access everything digitally from for the two programs being considered for adoption starting next school year.

• What Role Does Vulnerability Play in our Classrooms? – I quite liked this Brene Brown video that came from the Spring 4J TAG Newsletter.

It’s hard to find someone in our field completely unfamiliar with shame researcher & author, Dr. Brene Brown. She’s written a good number of books outlining her research on shame, vulnerability, courage, resilience, leadership, and the list goes on. As teachers we know that our students learn best in classrooms where the teacher has created a culture of courage and belonging. Creativity and learning take place when children feel safe to risk and try to learn something new.

Gifted learners are not the only ones who find it especially difficult to appear vulnerable in the classroom, but the truth for all of us is that learning IS inherently vulnerable – by definition. How does our own personal “baggage” effect our teaching? How can we grow as human beings to better serve our learners? Watch this video of Dr. Brene Brown speaking to an audience made up entirely of teachers and see how it makes you feel. Listen to how she describes empathy as the antidote to shame. You just might find yourself inspired and even braver than before.

• Staffing Updates – Two staffing updates:

• Darrin Update – I know lots of folks are concerned and have been asking about Darrin. He’s asked us not to share too much, but we can share that he will be out the rest of the school year for medical reasons, but that he’s getting better daily and plans to come back in the fall. HR is having us put in for subs for the remainder of the school year.

• School Nurse Update – Martin McCarthy, RN has agreed to stay with Holt to support the current illness outbreak as well as providing nursing coverage. We will continue to have Hallie Ritter, LPN continue to be the one to provide on-site nursing services. SSD has already hired a new RN who starts early May and they’ve asked Maxim for another LPN who could help cover for absences, so we will have more staffing options soon.

• Job Expo Update – I was not notified of any changes from round one of last week’s Job Expo, so as of Saturday night, we still have 1.5 FTE special education teaching positions vacant for next year and no other staffing changes.

• REPEAT: Volunteer Appreciation Week, THIS WEEK – This week is Volunteer Appreciation Week. See the linked Sunshine Committee Volunteer Appreciation Doc for details and sign up on the Treat Table Spreadsheet to celebrate our volunteers and student teachers, bringing teats each day this week!

• Fiddle Pictures? – Did anyone get good pictures or videos of Kelly fiddling with your class? If you did, can you email them to me?

• iPad Cords & Charger Order Cancelled – Tech Department got wind of our order, so we do not have our off-the-books extra chargers and cords coming. However, the Tech Department is planning to order additional cables and chargers, so hopefully we’ll get those soon. For now, continue to put in tickets to 4jdesktop@4j.lane.edu if you need additional chargers so you stay on this list, but eventually, COWs will have a full set of chargers.

• Nut Products at Snack Time – I finally got an answer about how to handle nuts and allergies during snack time. Downtown said teachers should have a nut free space for students that require it. Also wipe down before and after any food break. You can say that a room is nut free, especially in a room where there is a significant medical need. You have to look at medical plans so the messaging will be different for different classrooms. Medical staff should weigh in for students with sensitivities to nut products.

• Summer Job Opportunities w/KITS – KITS emailed that they are looking for KITS Site Supervisors, KITS Lead Educators, and KITS Parent Group Facilitators. Job posting close this Sunday, but if you missed that deadline, let me know and I can reach out to the KITS Coordinator on your behalf.

• Self-Harm Community Event – 4J is hosting a Self-Harm: Suicidal/Non-Suicidal Self Injury Community Event on April 25 from 6-7:30pm in the Sheldon Auditorium to learn what to do when your child exhibits signs of cutting, what it means, and where to seek help.

• District Admin Updates – Coming from Springfield, David Hulbert has been hired at the new principal for Edison starting next school year. Also, Peter Tromba, principal of Spencer Butte Middle School, has accepted a high school principal position in Asheville, North Carolina. See this email for details.

• HANDBOOK HIGHLIGHT: Class Placements – This week’s highlight from the Holt Staff Handbook, is on Class Placements. This topic is going to be revisited at the next Leadership Team Meeting and brought to rest of the staff if we want to tweak or change any parts of this process:

Class Placements
Procedure:
• Each spring our staff works to place students currently in Grades K-4 into balanced classes. Staff uses an electronic matrix to configure classes for the following fall. Point values were assigned to various attributes in an attempt to equalize the classes given a variety of factors. Our Grade 5 teachers work to complete transition paperwork for our middle school. All placements go to the front office and administration at the conclusion of this process. The administrator(s) then review the lists, verifying that there aren’t extenuating variables which need to be considered.
• Kindergarten teachers, along with Administration, meet following the first full week of school in September to configure the classes for the school year.
• Administration makes the final decision on all classroom placements, considering the needs of the teachers, educational assistants, students, parents, and school.

Moving students
Prior to school start and during the year:
• Classroom placements are an administrative decision. We do the best to include teacher feedback in all decisions. Requests for classroom changes by families will not be considered until the second full week of school. All requests should be directed to the building administrators. No classroom changes will be considered until Friday of the second full week of school. If a change can be made it will be made the following Monday. Any changes made after the initial two week request are an administrative decision. Medical and Emergency moves are determined as needed.

Parents:
• Parents MAY NOT make requests for classroom/teachers through you. If parents have information about their student they feel is important for placement for the following grade, the office has a form that is due at the end of May for them to use. Those forms will be given out by office staff to teachers when placement time comes, to the grade level. Please disregard any emails or notes you may have received from parents regarding placements.

Staff Responsibilities:
• Please remember to use neutral comments like “wears glasses”, “seat close to teacher”, or “see me for more information” in the comment section of the grid. Back of the cards are now left blank
• Some students will be assigned to classes based on need (ELD, SPED). These decisions are made by staff in those areas and administration.
• Card comments: please remember anything written on a student card is public record. Please keep comments helpful, but neutral. If you feel you have specific information that a teacher needs to know about a student, mark the “see teacher” field
• Class lists are created using the “green” and “blue” cards, as well as an electronic matrix. As you build each class, it is helpful to keep in mind these characteristics and details:

⁃ Behavior challenges, CICO, and IEPs
⁃ Academic skills, Title, should be in Title but not enough room
⁃ Speech
⁃ Gender
⁃ Parent volunteers
⁃ Personality conflicts between students
⁃ Parental needs (how frequently does parent contact teacher)
⁃ TAG
⁃ Medical issues

• When your team has finished creating classes:

⁃ Make a master list (ideally alphabetical by last name) of each class created, wrap it around the cards and secure it with a rubber band. These go to Melanie asap.
⁃ NO information about class placements may be shared with families- not even that they have been created.

• A New Resource for Free Digital Field Trips – This Edutopia Article share how the Museums for Digital Learning was developed in partnership with teachers and provides curated material on a variety of subjects. They have resource kits and ebooks sourced from museums across the country. It has materials for kids at all grade levels. Create a free account and check it out!

Fifteen items of note for this week:

• Staffing Updates – Two staffing updates

• REPEAT: Holt SPED Openings for Job Expo – Spread the word that Holt is the place to be to your teacher friends! Let’s find someone good for our 1.0 and 0.5 SPED jobs for next year!

• School Nurse Update – I’ve honestly lost count of how many school nurses we’ve had this year, but our latest nurse, Awbree Cardwell, has taken another job outside of 4J, but Hallie Ritter is coming back to fill in until SSD can hire another school nurse for us and Martin McCarthy is taking over duties on our suspected Norovirus outbreak. Welcome back, Hallie!

• Caesar the Llama Visit, THURSDAY @12:45– You may have seen this llama on some educator friends’ social media around 4J, but we finally nailed down the owner of Caesar the Llama for a visit at Holt. Cesar will come at 12:45 and will visit each wing for classrooms to come out to pet, visit, and take photos with Cesar. I’m thinking the schedule will be as below, but let me know if you see any issues:

• Friday PD/Planning Day – Downtown still doesn’t know the time for the district PD portion of the day or if they do know they haven’t told principals, so watch for a separate email with my guess at what the schedule for this Friday will be. We’ll focus on Second Step, Kelso’s Choice, and I’ll also hold a separate Classified Staff Meeting following the all-staff meeting.

• Kindness Rocks! – I’ll add this to Friday’s agenda, but we received a Kindness Mini Grant for the Kindness Rocks! Holt Rock Project 2022. Participation will be optional since this grant was written before our staff agreement regarding grants that impact the entire staff, but coming out of the Holt Student Council, the idea is to create our very own painted rock garden with messages of kindness. Students will decorate their very own rock with kind words or colorful images. See the above linked file for additional details and we can talk logistics on Friday.

• CPR/AED/First Aid Training Available Friday – If you’d rather attend a CPR/AED/First Aid Training at Edison (the swing school location next to Market of Choice) this Friday, 9:00-2:30, which had 14 last minute cancellations, let me know ASAP before those slots get filled. The training is free of charge. See this email for details.

• 4J Login Change, DUE FRIDAY – Be sure to follow up on 4J Technology’s emails about claiming your 4J account with the new RapidIdentity system. Linked here are the directions. You’ll need to use your 4J email and password to view the file. I’ll add this to the end of the agenda for Friday’s PD so walk anyone through this who may need help. I know it’s tripped up a few people.

• Volunteer Appreciation Week, NEXT WEEK – Not this week but next week is Volunteer Appreciation Week. See the above linked file from the Sunshine Committee for details and sign up on the Treat Table Google Doc to celebrate our volunteers and student teachers!

• Fire Drill, 4/19 @1:10– Not this week, but next week on Tuesday, April 19th at 1:10 will be our April Fire Drill. Linked here is the Building Evacuation Map and the Fire Drill Line Map.

• Earth Day is April 22nd – Not this week, but next week is Earth Day, which is annually observed around the world on April 22nd. If you’d like ideas for this day, linked here are Edutopia Resources, Education World, the EPA Website, and Tana’s Earth Day Email from last year.

• Suspected Norovirus Updates – It’s still called a “suspected” outbreak until someone ill gets a stool sample tested, but since it quacks like a duck, and acts like a duck… so Lane County Public Health (LCPH) and 4J are treating it as if it were confirmed Norovirus. I shared these updates at the end of our Friday PD Meeting, but to update everyone here is an email summary and here are the highlights:

• Drinking Fountains Closed Again – Any drinking fountains that were uncapped and flushed have to be closed again.

• Additional Cleaning Measures – The short version is custodial staff are doing the types of nightly deep cleaning we did last spring, using electrostatic disinfection nightly, using a stronger disinfectant in restrooms, and replacing and re-testing the sanitizer solution used to wipe down cafeteria tables.

• PE/Music Restroom Re-Opened – LCPH said we can re-open these restrooms as long as common touch points are cleaned twice a day, which Ryan started doing on Friday.

• Student Lunch Service Changes – Student cannot reach into common areas for food, so the mild cooler closed and will be passed out by staff, extra fruit & veggies cannot be out and additional food will be added to trays instead, eating utensils will be provided on trays instead of in a bin, and the “No Thank You” bin is closed.

• COVID Updates – Two COVID related updates:

• Badging In Still? YES! – I asked downtown if we still need to bad since we’re no longer contact tracing and the answer was, yes, we still need to badge in.

• Volunteer Message to Families – Downtown is sending the following message to families about volunteers being allowed in schools again, so heads-up you may have parents reaching out to you:

Volunteers are essential!

In non-pandemic circumstances, thousands of parents and community members volunteer to support 4J schools each year. While visitors and volunteers in schools are limited due to the pandemic, dedicated volunteers are providing a variety of essential supports this school year.

Volunteers are serving in 4J schools to support essential needs for health and safety and critical instructional supports such as small group instruction. Volunteers also are needed to help outdoors with landscape maintenance.

Each school has identified different needs and volunteer opportunities. If you would like to volunteer to provide essential supports, please ask your school about available volunteer opportunities. Volunteers who may have contact with students or may go into a school building must be fully vaccinated and complete a background check process.

• Outdoor School Staff Volunteers – 5th Grade is going on day trips for outdoors school this year (overnight was cancelled when Coyote Outdoor School couldn’t hire enough staff), but we are looking for any interested staff members to help chaperone on Monday, April 25th. Subs are being offered by downtown to help with outdoor school.

• Mental Health Events and Training Opportunities – There are several upcoming events and training opportunities around grief, mental health, and suicide.

• Applied Suicide Intervention Skills Training (ASIST) April 12 & 13ASIST is a 2-day, in-person, April 12-13th, advanced training appropriate for people responsible for suicide interventions, safety planning and follow-up care within their school or organization. This training is offered by Lane County Public Health and Lane Education Service District.

• Community Resilience Forum, April 14th – Community members are invited to join a conversation about how we navigate losses and strategies for supporting each other. Spanish and ASL interpreters will be available on site. The event will be recorded and can be viewed the following day on preventionlane.org. Child care will also be available.

• Question, Persuade, Refer (QPR)– QPR is a 1.5 hour virtual training for anyone interested in learning more about suicide prevention and how they can play a part in helping others in distress. QPR workshops are facilitated by members of the Suicide Prevention Coalition of Lane County and are appropriate for all audiences. We’re always adding new dates which you can find by going to the Services tab on suicidepreventlane.org.

• Youth Mental Health First Aid Two-Part Course – Youth Mental Health First Aid (YMHFA) is a 6 hour virtual training for anyone who would like to learn more about mental health issues among youth and how they can provide support and navigation of services. YMHFA is offered by the Oregon Family Support Network in cooperation with LCPH and is open to all people who live in Lane County. There is an April 27th and June 16th training.

• Assessing and Managing Suicide Risk (AMSR), June 22 – AMSR provides participants with the core competencies to screen, assess, safety plan and manage the care of people at risk of suicide. No previous training is required, however AMSR provides advanced skills for professionals who have already taken QPR or ASIST. Click flyer or website to learn more about AMSR content and objectives.

• Strategies for Managing Challenging Student Behaviors – Student misbehavior has been particularly agonizing for teachers this year, but this Edutopia Article covers proactive steps educators can take to remedy it, including:

• Staff Potluck Monday! – I forgot to put this on the calendar way back when Sunshine originally sent this out a couple months ago, but it’s not too late to add your name to the Staff Potluck Luncheon Sign-Up! Sunshine will provide Birthday cake for April Birthdays!

• Volunteer Appreciation Week and Treat Table Sign-Up – Sunshine also shared the April 18-22 Volunteer Appreciation Week Sign-Up to recognize our small but dedicated volunteers, as well as student teachers and practicum students.

• Staff Shout Outs – Click the Shout Outs Link to post a shout out about a staff member who has gone above and beyond! You can also use the shout out notes in the Staff Room table. These will be shared in the next Sunshine Newsletter!

• Holt Openings for Job Expo – Holt Will have one full-time SPED teaching position and one half-time SPED teaching position at the Job Expo later this month if you have any teacher friends you want to recruit to come work here at Holt! SSD is pairing the half-time job with a Gilham half-time SPED job, so it will actually be a full-time position. Spread the word that Holt is the place to be!

• Summer School Classified & Licensed Jobs – The new SEALs Summer School Program has a number of openings if folks are looking for summer work. The 4J Jobs website has postings for Teachers (Elementary and Middle), Counselors, Secretaries, and EAs (Elementary and Middle). There are also job postings for K.I.T.S. (Kids in Transition to School) and E.S.Y. (Extended School Year). Most positions close Wednesday.

• Friday PD – School Improvement Plan Updates – This Friday’s PD time will be an update and chance for input on our School Improvement Plan being worked on by Site Council. We’ve looked at a variety of data and have used the ORIS Tool to examine areas of need. Our next step will be to develop 2-3 goals and I wanted staff to have a chance to share your thoughts on priority areas. If you’d like to review the data, info, and past meeting minutes, you can go the Holt Staff Drive > Meetings > Site Council > 2021-2022 > Minutes.

• April 15 PD/Planning Day – Principals were told last Wednesday that we are in charge of the PD for this day (5.5 hours of PD, 2 hours of prep), though a portion of the day that’s a district led Zoom, but downtown doesn’t know yet what time that will be, so I can’t announce times for the building PD at this time. However, as I shared last week, I will plan on doing an all-staff review of Kelso’s Choice and the Second Step Bully Prevention Unit (which is different from the Erin’s Law Student Safety Unit). Let me know if you have any additional topics you’d like us to cover or if you’d like to help lead or assist with the Kelso or Bully Prevention review. I’m also planning to hold a Classified Meeting this day, but will announce the time of this meeting once downtown figured out the time for their portion of the day.

• SSD Staffing Allocation Update and Clarification – I shared last week how SSD Licensed & Classified Allocations were different this year, with no program identification between LC and CLC staffing. If you are interested, linked here is a Google Slide Show and Google Doc that SSD Admin went over with principals last week, but the elevator speech version is that IDEA tells us special education is NOT a place where students go to receive services, but rather special education services are to follow students as determined by the IEP.

• REPEAT: 2022 Electronics Recycling Competition – Remind kids they can drop off any old electronics at the collection site in front of the office this week. See the Electronics Recycling Competition Flyer for details, but donations can be anything with a plug or that takes batteries (toys, cell phones, monitors, computers, phones, cables, etc.).

• Suspected Norovirus – If you’d didn’t hear through the grapevine, C-Wing had a suspected Norovirus outbreak with half a class out sick with similar symptoms (i.e. barfing). Lane County Public Health ordered nightly deep cleaning for that wing and for classes to use hand wahsing instead of using hand sanitizer, so remember the continued importance of washing hands and not touching your face, even for non-COVID reasons.

• Oregon Blue Book Student Essay Contest – If you’re looking for a writing topic that may grab your kids’ interest, the Oregon Blue Book Student Essay Contest theme for the year is, “Oregon Students Share Their Pandemic Experience.” Students can submit written or video essays. Written essays must be 100-300 words and will include an illustration to go with the essay. Video essays must be two minutes or less. Winners will be featured in the 2023 Blue Book and also invited to the State Capitol for the official Oregon Blue Book Release Party. The contest is open until October 20, 2022.

• HANDBOOK HIGHLIGHT: Hall Passes – This week’s highlight from the Holt Staff Handbook, is on Hall Passes:

Hall Passes:
• Any student coming to the office must have a hall pass (hot pink). Please remember if they are coming for a break you need to note the time that they are able to return. If you need more hall passes, please let the office know.
• Generally, students should have permission to be in the halls with a note, or in some cases, a self-manager badge. All students in halls should follow the regular rules of the halls and walk quietly.

• 100 ways to slightly improve your life without really trying – This Guardian Article has some fabulous tips! Whether it’s taking fruit to work (and to the bedroom!), being polite to rude strangers, or taking up skinny-dipping, here’s a century of ways to make life better, with little effort involved. Some of my favorites were:

22. Laugh shamelessly at your own jokes.
34. Go for a walk without your phone.
60. Drop your shoulders.
91. If in doubt, add cheese.
97. Listen to the albums you loved as a teenager.

But I firmly disagree with this one (utensils MUST be loaded in the same order they go into the drawer):

And one bonus tip I did a few years ago that was a life changer:

101. Turn off you phone notifications. My phone only has text and phone notifications turned on. All other apps I check when I’m ready to, not when they tell me to.

Hello Team,

Hope you all had a good spring break. The highlight of my break was FINALLY getting/forcing my children to watch the first Star Wars film. I’ve earlier tried to get them to willingly watch, but I gave up on that and announced to them that they had no choice and that we were watching whether they liked it or not whether they liked it or not. And if you were wondering, I had them watch the non-special edition versions where Han shoots first. They still preferred “Turning Red” but whatever.

• Staffing Updates – Five staffing updates:

• 22-23 Staffing Spreadsheet – Linked here this the complete classified and licensed 22-23 Staffing Plan. Custodial and Nutrition Services staffing are done by downtown, so that is not included here. Let me know if anything looks off or if you have any questions.

• Teaching Assignment Change – One change you may notice in the above linked staffing plan is that Lisa Z. and Elizabeth swapped grade levels, so for next year, Lisa will move back to 1st grade and Elizabeth will move up to 2nd grade.

• New CLC Staff – Joining Richard and Darren in the upper grade CLC is Julie McWhorter as our new CLC EA. Julie is a Holt parent and a former middle school teacher who took time off from teaching to be with her newborn child. She was our first choice for the position, so please say HI to Julie when you see her on Monday. Welcome to the team!

• SSD Staffing Info – I shared earlier Holt’s SSD Allocations, but one thing SSD has done differently this year is they no longer differentiate between LC and CLC allocations. As part of the “Learning for All” initiative, where students regardless of need (excluding Life Skills) stay at their neighborhood school. They have also eliminated 1:1 EA staffing and instead have a section noting “Students needing more intensive adult support.” Holt already does a pretty good job of offering a flexible continuum of services, with students receiving support in the LC or CLC regardless of placement, though for our SPED team this may complicate case management, but I’m sure we’ll figure things out.

• Student Service Coordinator – 4J added this 8-hour classified position to Howard, Chavez, and River Road the year and is now expanding it to Holt and a few other schools. If you’re a 4J old timer, this position is similar to the old Family Resource Center Coordinators, who supported families by directing them to community services, resources, and agencies. If you’re curious, this is the Job Description.

• UPDATED: Artist Schedule – Any classroom teacher who had changes already knows, but linked here is the Updated Artist in Residence Schedule for The Art of Fiddling and the Mystique of Louisiana with Kelly Thibodeaux. Session will be in the Music Room and regular Music classes will be in classrooms during the three week residency.

• Recess Rules Review Monday – A reminder we’re reviewing recess expectations this Monday according to the schedule below. Teachers should come out your class during the review, which will focus less on “Rules” and more on getting along, communication, and problem solving, which is where most of our playground issues stem from.

Many EAs have groups right after recess duty and end up having to start groups late if lines are not picked up on time. Also remember that morning and lunch recess are 5-minutes shorter on Fridays.

• Holt Spirit Day, FRIDAY, Sports Day & Assembly! – This Friday is a Holt Spirit Day and this time it’s Sports Day! Wear your favorite team gear or simply wear your Holt spirit gear. I’m planning to wear my “Furies” baseball jersey and if you know what that’s from without using Google, you are seriously rad.

Linked here is the Sports Day Assembly Agenda. Teachers should log on at 7:40 and then turn on your cameras once kids come to school. Festivities begin at 7:55. 

 

• FRIDAY PD – OSAS Testing Security Training – Gloria will give the annual OSAS test security training this Friday at 1:30. Teachers and EAs who will be in 3/4/5 classrooms or SPED classrooms when testing occurs should attend. EAs can bank trade time for coming to this training. K/1/2 teachers will have a separate async PD activity I’ll share by email.

• COVID Rapid Tests Going Home with Students 4/4 – ODE has sent rapid tests to school districts with directions to distribute to all students at Title I schools. We’ll count these out for classrooms to send home next week on Monday, April 4th. I’ll include info in the next Quick News, along with the linked Home Kit Instructions (English and Spanish) and the linked videos (English and Spanish) on ​​how to use the iHealth COVID-19 Antigen Rapid Tests.

• 2022 Electronics Recycling Competition – Remind kids we’re in the middle of the 2022 Electronics Recycling Competition and to drop off any old electronics at NextStep (245 Jackson St.) during March and April (making sure they tell them it’s for Holt) OR drop them off at the collection site in front of the office we’ll set up the week of April 4-8. The school with the most “e-waste” collected wins a $500 gift certificate and a Next Step Robot made by a local artist. Holt won this competition in the past, so let’s see if we can win again!

• April 15 PD/Planning Day – As of the week before spring break, Instruction Department leadership had not met or shared out the plan for the April 15th PD/Planning Day. This day is supposed to be 5.5 hour of PD and 2 hours of prep. We asked at the last principal meeting if the PD would be district based or building based, but they did not not at that point. If it is building based, I am planning on doing an all-staff review of Kelso’s Choice, since we have many new staff and many since we didn’t have to use it for a couple years there. I’d also like to review the Second Step Bully Prevention Unit (which is different from the Erin’s Law Student Safety Unit). I’ll keep folks posted once I know the district plan for this date.

• McKinney-Vento Program Updates – Four updates regarding the 4J McKinney-Vento (Homeless) Program from an email sent to principals:

• 4J McKinney-Vento Referral Form – There is a new online referral option for staff and community members to refer students for McKinney-Vento supports. The 4J McKinney-Vento Referral Form works best, but referrals can also be made by email or phone (541-790-6888). This link is also on the Holt Staff Dashboard.

• Who Qualifies for McKinney-Vento? – Students are eligible if their housing situation isn’t fixed, regular, or adequate. Examples of living situations include:

• living in a trailer or RV
• staying with others (extended family/friends) due to financial or other hardship
• living in a motel/hotel
• living in substandard housing (electricity/water turned off, over-crowded)
• sleeping in a vehicle, tent, RV, public space or other space not meant for habitation

If you become aware of any students in one of these situations, let me know and we can notify the McKinney-Vento Team to reach out to the family for support.

• New McKinney-Vento Website – The McKinney-Vento team as created a new user friendly 4J McKinney-Vento Website that includes resources, eligibility information, and a link to the above referral form for staff, students, families, or community member to make referrals to the team.

• Current District McKinney-Vento Count – Linked here is the current 4J McKinney-Vento Count through March. Holt has more homeless students than any elementary or middle school in the Sheldon Region and has the fifth highest count for any elementary school in 4J.

• No Student iPad Sharing – Although student iPads are staying at school, they are still checked out to individual students, so it’s important students are not using other studnets’ iPads. This is important because the personal liability rules still apply for damaged iPads (we may not know who damaged the iPad if they are sharing) and also for privacy reasons (so students are not getting access to others’ personal files or log-in information).

On a related note, I heard from a Tech Department buddy it was decided right before spring break that all of 4J will start keeping iPads at school, but they’re waiting to announce this change until they figure out the logistics of carts, chargers, and securing iPads at school, so we only went rogue for a few days there. ;)

• Post Mask Policy Transfers – Following the change of mask policy, Holt only had 3 students change pathways and it was 3 students moving from K-5 Connect back to in-person.

• Nut Free Lunch Table – Mentioned at last week’s Staff and Classified Staff Meeting was that for liability reasons, downtown is no longer allowing schools to be “nut free” and instead telling families we will offer “nut free tables” at lunchtime, which they believe will be easier to guarantee as nut free. I’ll be sharing the following article in the next Quick News:

In the past, we have designated our cafeteria and school as nut free. School District 4J has determined schools do not have the ability to guarantee that eating areas are completely nut free. The health and safety of students is exceptionally important to us. We can guarantee that we have a nut-free eating area in our cafeteria that guarantees that students eating at that table have nut-free meals. Students sitting at a nut-free table must have a documented nut allergy and may be joined by students who have school provided meals, as we can guarantee that all school provided meals are nut-free.

 

• Safety Planning (i.e. Risk Assessment) Resources – Mostly for our IPBS Team, but maybe be of interest to others, the 4J Safety & Lagging Skills Planning Webpage lists resources to create a safety plan for a student going through a Behavioral Safety Assessment (BSA). This email provides additional info how 4J is trying to shift focus in plans to identifying the lagging skills driving a student’s behavior and providing an opportunity for learning, modeling, and practicing those skills.

• Sluggo’s Reading Challenge Video – If you want to show a video to kids about the reading challenge, the Ems sent a pretty entertaining 2-minute video explaining the bookmarks.

• District Admin Updates – Downtown emailed principals several admin updates over the break. The Charlemagne principal for next year is Joe Hadley, current South Eugene HS assistant principal. The Camas Ridge principal for next year is Hobie Blackhorn, current assistant principal at Shasta Middle School, The Awbrey Park for next year is Jared Tiecke, current principal at Mt. Angel School Middle School.

• New Resource: Care Solace – 4J has partnered with Care Solace, a new mental health service that matches students, staff, and families in need to verified, local service providers, securing appointments in days, not weeks or months. Principals or counselors can make referrals (don’t ask Max yet, counselors haven’t been trained just yet), so let us know if there are situations that could use a referral.

• Lane County Schools – Suicide Alert Meeting Info – Most of this is geared towards older students, but there is some info in this email from Lane County that does apply to students as young as 4-years old. There’s a Slide Show, Resources (including crisis support, counseling, support groups, bereavement services, and general websites), and a Toolkit for Schools.

• HANDBOOK HIGHLIGHT: Translating – This week’s highlight from the Holt Staff Handbook is on Translating. Most school wide communication falls on me, but for those occasions anyone is sending something out school wide, DeepL is a more accurate translation service than Google Translate.

We will translate school-wide correspondence in Spanish, if possible.

• Intervening Early to Improve Students’ Math Self-Efficacy – This Theory Into Practice Article say that self-efficacy (students’ belief that their efforts will produce success) “is arguably the most powerful motivational resource that drives individuals to engage, persevere, and accomplish goals in various domains.” In classrooms, self-efficacy is “the strongest predictor of students’ academic achievement.” But self-efficacy in math declines during the elementary grades. The authors say it’s urgent to counteract this negative trend before students reach adolescence, and suggest communicating these core messages to all students:

• Anyone can get smart and do well at math.
• My brain is like a muscle, and I can train my math muscles.
• I can do math better by working hard, using good strategies, and getting help.
• Overcoming difficulty is part of doing well in math.
• Girls can perform just as well at math as boys.

Conveying these messages well can change students’ fixed mindsets and gender stereotypical beliefs. The messages are most effective if they are presented in engaging classroom activities and that it’s better to conduct these activities with a classroom of students rather than individually, because some of the beliefs being counteracted are social in nature. Howdy Bolts,

My crystal ball tells me we will see “interesting” behaviors this week. Between spring break and masks becoming optional, I think it’ll be important staff do A LOT of pre-teaching of behavior expectations this week and not count on “They should know this by now.”

Seventeen items of note for this week:

• Staff Allocation Updates – We’re still waiting for Student Service Department (SSD, i.e. special education classified and licensed staffing) allocations, but we did get our English Language Development (ELD) allocations, whis is the same as this year (0.8 FTE) and we also got our SIA (Student Investment Act) 1st grade EA allocation, which is 3 hours per 1st grade classroom, which downtown projected us for three 1st grade classrooms, meaning 9 hours.

• REPEAT: Fire Drill, TUESDAY @1:10 – Tuesday at 1:10 is our March Fire Drill. Linked here is the Building Evacuation Map and the Fire Drill Line Map.

• REPEAT: Lockdown Instruction Before Fire Drill – Related to the above, downtown is requiring schools to review Lockdown and Evacuation Drills with students. ALICE is no longer being used in 4J and it’s replacement is not in place yet, so in the meantime, teachers should simply do a short review with students off of the 4J Safety Poster (below), which says the following for each drill:

• TIME UPDATED: Staff Social, Bowling at Emerald Lanes, THURSDAY! – Don’t forget we have a staff social this Thursday at 4:00 at Emerald Lanes! Come visit with work friends, have some beverages, show off your bowling skills (or non-skills if you’re like me, but I can show off my rad bowling shirts). See you there!

• COVID Updates – Five COVID related updates:

• Drinking Fountains & Legionaries Disease – I mentioned at Friday’s Meeting that we’re now allowed to use drinking foundation again. However, do not let students use the classroom drinking fountains until they have been flushed for a full 5-minutes (a good job for a kid). Since that water has sat stagnant for over a year, we don’t want anyone getting Legionaries Disease.

• Mask Up in Nursed Office & Isolations Room – The state has determined that school health rooms and isolation rooms are healthcare settings. This means if staff are interacting with students closely or for a sustained period of time, masks will be required for staff in the health room. If the interaction is brief or contact is not close, masks are only strongly advised. Masks should be offered to students that will be in the health room for a sustained amount of time. If students are symptomatic or sick, they will be required to wear a mask. Examples;

• A student comes into the health room briefly for scheduled medication–no masks required for staff or student.
• A student comes into health room for injury or illness that requires some observation or close contact (observation after a head bump or inhaler use)–Staff required to mask, mask offered to student.
• A student comes into health room not feeling well or is symptomatic–masks required for both student and staff. Student should be moved to isolation space until picked up to go home.

• Rapid Tests if Symptoms at School – Although we’re not doing test-to-stay for close contacts any longer, we can still administer rapid tests for any student or staff who start exhibiting symptoms while at school.

• Teaching Kids to Respect Others’ Mask Choices – If teachers haven’t already, be sure to take some time during your Monday Morning Meeting time to remind students to respect individual choices when it comes to masking or not. If you want a canned slide show about this, the Adams principal shared this Student Masking Slide Show.

• COVID Flowchart – This is more for front office staff, but if you’re interested, linked here is the latest COVID Flowchart for when a student tests positive, shows signs of illness, or is exposed to COVID.

• iPads Staying at School – Starting Monday, most students will leave their iPads at school. Only BEST/YMCA kids will take them home, but please remind those students iPads at dismissal are to be in backpacks and not walking and iPad-ing at the same time.

• Holt Bolt, Thursday, May 18th – PAHS settled on Thursday, May 18th as the date for this year’s Holt Bolt. It’s on the calendar and that’s the date we’ll stick with unless something unexpected comes up.

• Check Lost & Found – Remind kids to check the Lost & Found this week. Anything left at the end of the day Thursday will be bagged and donated.

• Artist in Residence Schedule – Linked here is the Fiddle Artist in Residence Schedule (PDF or XLSX). I believe Lesli has checked in with grade level teams, but let us know if you have any questions. The residency title is The Art of Fiddling and the Mystique of Louisiana and Kelly Thibodeaux is the musician leading the lesson in the Music Room. Regular Music classes will be in classrooms during three week residency.

• ACTION REQUIRED: Claim You 4J Account4J Technology Emailed staff a RapidIdentity Quicksheet how to update your password and account security. The short version is go to this link and follow the directions.

• REPEAT: Erin’s Law, Lesson #5 BEFORE SPRING BREAK – All classroom teachers should use the Second Step Child Protection Unit for meeting the state Erin’s Law requirements. For each grade level, there are six lessons, which are to be covered at three points in the school year, with Lessons 1-4 in the fall, lesson 5 right before spring break, and lesson 6 right before summer break. 4J purchased only one kit per grade level, but linked here are Child Protection Unit Scans of the teacher guides if that makes things easier.

• REPEAT: ACE Award Nominations Open – Nominate a teachers or licensed specialists, administrator or supervisor, classified staff, or volunteer. Nominations are due by March 31st. See the 4J ACE Awards webpage for more info.

• REPEAT: March 18th Expectations – Teachers may work from the building or in another location. If teachers are not going to be in the building they need to let me know. Downtown has not given this flexibility to classified staff, but classified folks can utilize trade time this day to shorten your work day. I’ve scheduled a Classified Staff Meeting at 9:00 for this day, so let me know if you have any agenda items you’d like discussed.

• HANDBOOK HIGHLIGHT: Recesses – This week’s highlight from the Holt Staff Handbook, is on Recesses:

Recess
• Students are walked by teachers from the building to the asphalt/red curb at the beginning of recess. Students are released once EAs signal readiness. Please be on time, so that students receive a full recess.
• Students are picked up from recess on time. It would be very much appreciated if teachers would please review with students and reward them for staying on their spot in line (on the asphalt) and not move around once line up has begun. A significant percentage of physical aggression issues occur after the recess whistle has blown as kids are lining up.
• Recess supervisors will blow the whistle in soft play a minute prior to the 2 minute warning bell.This gives kids time to walk back from soft play to hard play and line up. The warning bell is a time for hard play students to return equipment and line up.
• Student Classroom Volunteers during recess:There will be NO VOLUNTEERS allowed in the classroom during any of these recess periods. If students approach a teacher about volunteering, the teacher needs to send them back to the appropriate place they need to be at that time. The only exception to this is if volunteering in another room is a part of a designed student support plan.
• Students Inside at Recess: Students are not to be in classrooms during recess. District policy is that students are to be out of the building during recess times. An occasional opportunity (not daily or weekly), is permitted, but students must be SUPERVISED. Students cannot be left alone in classrooms. A reminder also that students cannot be kept from recess for behavioral reasons or work completion.
• All classes need to have an assigned line for the end of recess times. Please work with the teachers/grades to assign class to lines. Consider flow, entrance to buildings etc when determining lines. A copy should be given to the office so that supervision staff can be informed.

• ODE Continuing Care and Connection Next School Year – An ODE Announcement to administrators that school districts are next year to continue to focus on care and connection. More info will be coming from ODE, but note they have quite a few resources on the ODE Care and Connection webpage.

• NASA Artemis I, Send Your Name to Space – Artemis I will be the first in a series of increasingly complex missions to build a long-term human presence at the Moon for decades to come. NASA is offering people a chance to have your name included on a flash drive that will fly aboard the space craft to the moon. I thought kids would find this fun and it also might spark an interest in space and science studies if any of you are doing that this spring. I got my NASA Boarding Pass!

• Staffing Updates – Three Staffing Updates

• CLC Job Postings and Interviews – Our two CLC vacancies are now posted on the 4J Jobs website and will close on Tuesday. If HR can get me candidate names in a timely manner, my hope is to hold interviews for the CLC Teaching position Monday, March 7th and the CLC EA position Wednesday, March 9th after school if any of you would like to volunteer your time to help with interviews. Let me know if you are interested and I will get you applications and interview questions.

• School Nurse Update – Holt has a new RN who was hired last week, Awbree Cardwell. She will be at Holt and Monroe. She’ll have the same hours as Hailee and will be on-site in the morning on Mondays, Wednesday, and Fridays. Nurse Cathy is going to start training her this week. And if you’re keeping score on the Holt Same Name Game, we now have Aubree & Awbrey, Ashley & Ashley, Debbie & Deb, Jackie & Jacque, Jeff & Geoff, Katie, Katherine & Kathy, Kelly & Kelly, Lisa, Lisa & Lisa, Liz & Elizabeth, and Robin & Robin.

• Sluggo’s Home Run Reading Challenge Kick-Off Assembly, March 7th – Tuesday, March 8th (Grades K-2: 8:30-9:15 and Grades 3-5: 1:15-2:00) is our virtual Kick-Off Assembly for Sluggo’s Home Run Reading Challenge. See Last Week’s Announcements or the Ems’ Email for details on how kids can earn 2 FREE tickets to an Ems Game. Attendance is optional for this assembly, but it can be fun for kids.

• COVID Updates – In COVID news…

• Mask Rules Updates (No Change) – You may have read the ODE and CLC announcements regarding new mask guidelines, but everything in 4J is status quo for now. March 19th (a staff work day) is when school district have the option to lift indoor mask rules. On a related note, I asked at a recent principal meeting if they were considering changing the mask requirement for when student are not around (like how it was last spring) and was told that’s a local rule and it is something they are looking at.

• Close Contact Sport at Recess OKAY – It was asked at a principals’ meeting last week if kids can now play close contact sports, such as soccer and basketball, and the answer was this IS allowed now.

• Working w/Minor COVID Symptoms if you had COVID? – It was also asked if a staff member who has had COVID in the last 90 days can come to school with minor cold symptoms (i.e. sore throat, cough, etc.). The answer was, yes, with minor cold symptoms, but they should not be at work if they look contagious. Staff need to be fever free for 24 hours and free from diarrhea/vomiting for 48 hours.

• Erin’s Law & Second Step Child Safety Unit, Lesson #5 – All classroom teachers should use the Second Step Child Protection Unit for meeting the state Erin’s Law requirements. For each grade level, there are six lessons, which are to be covered at three points in the school year, with Lessons 1-4 in the fall, lesson 5 right before spring break, and lesson 6 right before summer break. 4J purchased only one kit per grade level, but linked here are Child Protection Unit Scans of the teacher guides if that makes things easier.

UPDATE: DATE IS TBA • 4J OSAS Testing Window & Training Reminder – Principals and Data Coordinators were emailed the 4J OSAS testing window for 3rd, 4th, and 5th grade, which is April 11 – June 3. Gloria will give the annual test security training next week on Friday, March 11th at 1:30. EAs who will be in 3/4/5 classrooms or SPED classrooms when testing occurs should attend as well and can bank trade time for coming to this training.

• REPEAT: Read Across America, March 2nd – NEA’s Read Across America is this Wednesday. This year’s theme is: Celebrating a Nation of Diverse Readers. • Electronics Recycling Competition 2022 – Holt has won this in the past, but the 2022 Electronic Recycling Competition is coming in April. I’ll start advertising the event in the Quick News and on social media, but staff can also feel free to talk it up to kids as well. Here’s the blurb I’ll use:

Have any old electronics collecting dust? If it has a plug or takes batteries, and wether it’s working or not, just drop them off at at NextStep (245 Jackson St.) during March and April (making sure you tell them it’s for Holt) or drop them off at at Holt’s main entrance the week of April 4th and 8th.

Cell phones, monitors, computers, phones, cables, etc. we’ll take it all!

The school with the most “e-waste” collected wins a $500 gift certificate and a Next Step Robot made by a local artist. Holt won this competition in the past, so let’s see if we can win again!

 

• GagaBall Pit Update – Our Gaga Ball Pit it here, but it’s a permanent installation and not a portable pit, so I need to get approval from the Facilities Department before we can put it in, so it may be a while before we have GagaBall up and running. Stay tuned!

• District Admin Updates – Morgan Christensen, principal at Kennedy MS earlier this year, will continue as the Title IX Coordinator through the end of the year. Jennifer Hebard, assistant principal at at Kennedy MS, will become interim principal through the end of the year. Scott Marsh, principal at Edison, is moving to serve as the interim assistant principal at Kennedy MS for the rest of the year. etired admins will cover Edison for the remainder of the school year. • The only exception are registered service animals. All service animals must be approved by the front office.

• Women’s History Month – March is Women’s History Month. Jacque found a cool Women’s History is Epic “Wall of Fame” Slide Show for 23 school days in March from Book Wrangler, which contains direct links to Epic! books on each of the woman highlighted.
