Hello Holt Staff,

It was a long week, but we’re building up our stamina, right?

Twenty-seven items of note for this week:

• New Building Behavior Support Assistant, Julie Zybach – We’re pleased to announce that Julie Zybach will be our new Building Behavior Support Assistant (i.e. Behavior EA), who many of you already know from a long-term sub job last year and this year subbing for Lisa P. in Title. Julie is also a Holt parent of a 5th grader, so we have a new member of the Holt Parent/Staff Member Club. Julie’s first official day in her new position will be Wednesday and Jenny and I are working on securing another EA Sub to take over. Please welcome Julie to Team Holt!

 

• Wednesday PD: Shared Staff Goals Development – Wednesday at 1:30 in the library will be an optional meeting to brainstorm shared building goals teachers can cut-and-paste into TalentEd as your goals for the year if you choose. With the district push for morning meetings at the elementary level, I was thinking that could be one area of focus. We might also possibly look at some of our equity based goals on our SCIP. I’ll try to draft a few ideas ahead of the meeting to get the ball rolling, but let me know if any of you have ideas as well.

 

• Fire Drill, FRIDAY, @8:20 – This Friday at 8:20 will be our first Fire Dill of the year. It’s fine for teachers let students know about the drill ahead of time to do pre-teaching before it happens, since this is our first one of the year.

See the Holt Staff Handbook for complete details on Fire Drill Procedures, but highlights are:

• Students and staff clear the building, following the Evacuation Routes Map.
• Teachers should take their Emergency Binders (let me know if you do not have one).
• Classes walk single file to their marked spot at soft play/playground (see map).
• Students at specialists (PE, Music, Title, ELD, SPED, etc.) return to their homeroom teacher for attendance
• Teachers take attendance and raise their green card once all children are accounted for.
• Notify the admin or designee or of any missing/additional children in your line by raising the red card.
• Admin or designee running the drill will announce the all-clear when classes may return to the building.

On a related note, I’m planning on holding a “Safety Week” the week of Oct. 30th to review all the most common safety drills.

 

• Dynamo Math Groups Delayed – Due to staffing issues, the start of Dynamos math groups will be delayed until late October or early November. Dynamos reading groups start:

1st-2nd grade start Tuesday, Sept. 26
3rd-5th grade start Thursday, Sept. 28
Kinder will start mid-October

 

• School Spirit Assembly, Sept. 29 @8:05 – We’ll have our monthly School Spirit Assembly on Friday, Sept. 28 in the gym. The assembly will start at 8:10, but all classes should be in the gym by 8:05. Stay tuned for details! The first spirit day theme will be “Ultimate Holt Spirit Day” where we encourage kids and staff to deck themselves out in Holt Colors (purple and green) or Holt Gear!

 

• PTO Updates – Here is the PTO Event Calendar for the year. The first big event is the Costume BINGO & Trunk-or-Treat event for Thursday, October 26th, which will take place during the Book Fair. They might also have some food trucks come. The Spring Carnival is planned for April and the Holt Bolt Jog-a-Thon will be in May (so we can better avoid fall rain or bad air quality)

 

• YMCA Student Roster – Not on my blog, but attached to my announcements email is a list of all the students enrolled in YMCA.

 

• Hispanic Heritage Month Resources – Sept. 15 – Oct. 15 is Hispanic Heritage Month. Helpful resources can be found on the Library Lowdown Hispanic Heritage Month Slide, Hispanic Heritage Month Collection on Sora, Common Sense Media, and the US Gov Hispanic Heritage Month Teacher Site.

 

• Stop, Walk, Talk Reminder – Staff decided last spring to teach Stop, Walk, Talk for common language for kids to solve minor (non-phsycial) problems on their own. I’ll put this on a futrue Wednesday PD to review with teacher, but if people want to teacher want to review this with student earlier, we we agreed last year to use lessons 1 and 2 of the Stop, Walk, Talk Bully Prevention Lessons. Lesson 1 takes about 50 minutes and lesson 2 takes about 30 minutes. Lessons 3, 4, and 5 offer additional practice for specific situations (Gossip, Inappropriate Remarks, and Cyberbullying) if teachers would like to cover these as well.

I’m also a fan of this short Stop, Walk, Talk YouTube Video done in the style of a silent film to teach kids how to use it. 

 

• Visitors & Volunteers – With COVID restrictions on visitors and volunteers gone, I’d asked for clarification on the current 4J Volunteer/Visitor Policy and I got the answer I was hoping for, which is that any parent, guardian, or adult coming into the building (whether a visitor or volunteer) needs to sign-in at the front office and also have completed a background check.

For volunteers, we are no longer limited to volunteering only for safety or instruction.

For visitors, a change from pre-COVID rules is we are no longer allowing the flood of parents in the morning to walk their children to class or breakfast, without first signing in at the office and having a completed background check on file.

The only exception to this is for scheduled meetings (IEP, 504, conferences, etc.) or large school events (open house, curriculum night, family night, PTO meetings, school carnivals, book fairs, etc.).

 

• Student Head Injury Reporting – Not new, but a reminder that 4J policy requires parent notification for all student head injuries. Linked here is the Head Injury Notification Letter and below are the steps to follow:

1. Student experiences head injury
2. Staff member completes letter and notifies guardians.
3. School nurse receives email notice of letter to guardian
4. If child is diagnosed with concussion or activity restrictions, guardians notify school.

• FREE White Board Easel (broken wheel) – Does anyone want a free white board easel? The only catch is it has a broken wheel, so it probably needs to be stationary for the most part.

 

• School Board Policy AAC: Racial Harassment – Schools are required to inform and instruct students on School Board Policy ACC – Racial Harassment. District staff are working to take the policy and turn into a kid friendly presentation for elementary schools to use with students. More info can be found on the 4J Hate & Bias Resources Webpage.

 

• Use 4jdesktop or Freshservice for Tech Support – Please do not grab Rob in the hallway if you need tech support. Instead, put in a ticket by emailing 4jdesktop@4j.lane.edu or using the 4J Freshservice Website. This documents what all is being asked of Rob at Holt and is what determines future TSS staffing levels at our building. On a related not, Erica Bowman is taking over for Rob this week. She may not be on site as much, but if you put in a ticket, she will come out if it’s something she can’t take care of remotely from downtown.

 

• Raptor Alert App on Pause – For folks not at the Staff Meeting or who missed it in the minutes, principals were emailed last week that use of the Raptor Alert App is on pause to address some tech issues. I’l keep folks posted for when we’re ready to try it again.

 

• Raptor Alert on Personal Devices – It was asked during inservice week the rules around installing the Reptor Alert App on personal vs. school devices. Principals were told building staff can choose to add this app to their personal device, however it is not a requirement. In my opinion, the app loses most of its usefulness since staff do not carry their laptop or iPad with them at all times, and even if they did you’d lose wifi as soon as you left the building. Downtown is working on a new training for staff on Raptor Alert, so we’ll see if they address this issue or not, but I’m thinking reunification situations would most likely rely on paper/paper and not the app.

 

• Equity & Inclusion Administrator Draft Job Description – If you’re interested, here is the Draft Equity & Inclusion Administrator Job Description, which takes the place of SSD Admins, though Angela Crum is still the district admin for Sheldon Region.

 

• Kid Art for CASA of Lane County – Former Holt teacher Jacque Barton is looking for student artwork that could be used for thank you and holiday cards for CASA of Lane County. See Jacque’s Email for details, but the short version is:

Thank-You Ideas: Ocean scenes, birds, cats and dogs, family, nature, abstract, etc.

Holiday Art Ideas: Fall trees, pumpkins, scarecrows, winter scenes, snowmen, penguins, mittens, hot coco, etc.

No Pokemon, but email artwork to Jacque Barton <jacqueb@casa-lane.org> or she can pick-up them up at the office.

 

• 4J Air Quality Info – Downtown emailed principals the current air quality guidelines they are following. Nothing seems different than before except I noticed they said schools will provide staff with N95 masks for any staff wanting one when AQI goes over 100.

 

• WREN Newsletter & Workshops – The latest WREN Newsletter has several new PD opportunities for both classified and licensed staff. Most of them are virtual and most of them offer a stipend if you attend. Check them out!

 

• UO Diversity, Equity, Inclusion (DEI) Study – See this flyer if you’d be interested in doing a 30-60 minute Zoom interviews on DEI and then receive a $25 Amazon gift card for completing the interview.

 

• Holt Resource Map (add your info) – I’ll put this on a future Wednesday PD or Staff Meeting, but downtown wants all school to complete a “Resource Map” that lists licensed staff members’ degrees, endorsements, certifications, areas of expertise, etc. If you’re so inclined, add you info now to the Holt Staff Resource Map.

 

• SSD September Newsletter – If you are interested, here’s the September SSD Newsletter that was send to SPED teachers and principals. Lots of info in this one on info about Abbreviated School Days, meeting types, IEP timelines, mental health, and a newly created position.

 

• MagicSchool.ai Educator AI Tool – Here’s an educator specific AI tool called MagicSchool.ai. You can use it to help lesson plan, differentiate, write assessments, create rubrics, write IEPs, communicate clearly, and more. I tired it asking “Raina” to write a SMART Goal for elementary morning meetings and got a far better result than I did from ChatGPT.

• HANDBOOK HIGHLIGHT: Inside Recess – Since we very nearly had to do inside recess last week due to poor air quality, this week’s highlight from the Holt Staff Handbook seemed timely, which is on Inside Recess. Teachers should note of posting above your door your inside recess expectations/choices for students:

Inside Recess:

Indoor recess takes place in individual classrooms under the supervision of EA personnel. Having quiet activities available to students (board games, cards, coloring materials, hopscotch, manipulatives, etc.) is important.

Expectations:
• Students may not go in the cubbies
• No electronics. This includes iPads or classroom computers
• Students should choose a seated activity
• Games and activities should be provided and taught
• Students must stay in their own classroom
• Permission is needed by supervision staff to use the bathroom
• When the lights turn off turn and look at the adult by the door
• Classroom expectations/choices should be posted above your classroom door
• A trial plan is in place for allowing some access for under cover supervision during recesses
• Classroom teachers will have expectations in Guest Teacher binder and post on the wall (near or above the door) what room expectations are.
• All certified staff will teach their students what appropriate activities are prior to the first indoor recess.

Supervision:
• EAs and additional staff will be assigned to hallways and classrooms for supervision
• Teachers will take inside recess as their regular break time and are not required to supervise classes

Hello Team,

We made it through our first week of school in one piece!

Twenty-one items of note for this week:

• Staff Shout Outs! – We’ll share Staff Shout Outs at the start of Staff Meetings once again, so complete the Staff Shout Out Google Form to recognize or show appreciation for a colleague. The link can always be found on my blog and on the Holt Staff Dashboard.

 

• Morning Announcements, Monday @8:00 – I’ll start doing Monday morning announcements this week at 8:00 on Zoom. The Zoom link is on the Staff Zimbra Calendar. I’ll do them at this time each Monday until we have our usual student news crew in place. I’ll do a few short announcements and end with the Pledge of Allegiance. Add you name to the Pledge of Allegiance Sign-Up if you’d like some students from your class to lead the pledge.

 

• Fresh Fruit and Vegetable Program (FFVP) Begins Monday – The FFVP program will start Monday. 5th grade student volunteers will deliver snacks to classes in the morning. Nutrition Services never gave me the official procedures, but going off past experience with the program:

• Raw fresh fruits or vegetables will be delivered each morning in bags.
• Staff or students passing out snacks should wash hands or wear gloves.
• Fruits or Vegetables should be served daily (not saved overnight)
• Leftovers should be sent home with students

There were some supply chain issues last year that resulted in no snacks on short weeks, but I haven’t heard if that’s the case this year or not, but there’s a short week Oct. 9, so we’ll find out in a four more weeks.

 

• N.E. Parking Lot on Monday – Be aware that four spots in the north eastern part of the parking lot along Calvin St.will be coned off for Facilities and EWEB work on an underground water pipe leak. I can’t remember the exact amount (Jeremy knows), but it’s a pretty massive amount of water continuously leaking.

 

• Short Recesses on Wednesdays – A reminder, now that Wednesday is our early release day, this is also the day we have shorter 15-minute recesses, so remember to blow the while and to pick up your classes 5-minutes early.

 

• Wednesday PD: SafeSchools Modules – I’ll probably keep our Wednesday PD times limited to business times until our Leadership Plan is officially approved and the Equity & Inclusion Team and Leadership Team have time to plan our PDs for the year. This Wednesday will be one of three Wednesdays where staff will be given time to complete the Vector/SafeSchools training modules. PRO-TIP: If you didn’t know already, the modules allow you to take the test first, if you’re feeling cocky. ;)

 

• Behavior EA Interviews Wednesday – I’m screening candidates this weekend and will set up interviews for this Wednesday after school if anyone would like to help in hiring our second Building Behavior Support Assistant (BBSA). We had 19 applicants, so that’s hopeful for finding someone good!

 

• Wednesday PD Next Week: Optional Staff Shared Goals Planning – Wednesday next week will be time for any staff interested in drafting shared licensed SMART goals folks have the option of cuttting-and-pasting into TalentEd. For reference, here are the 22-23 Optional Shared Staff Goals, which were a little light on the “Measurable” part of SMART, but we had an okay from the Licensed HR Admin since SEL was still a mandated focus from ODE.

 

• CORRECTION: Fall Benchmark Testing – See Debbi and Jenny’s Emails for details, but the short version is Title 1 EAs will begin pulling students next week to administers individual easyCBM assessments for falll benchmarking, though teachers can choose to begin testing earlier on your own.

CORRECTION on EasyCBM fall benchmarking:
Week of Sept. 11-15: Title EAs pull last year’s Title students to hallway for Title screeners (NOT EasyCBM)
Week of Sept. 18-22: Title EAs monitor classrooms while teachers pull all students to hallway for EasyCBM testing one on one

Remember to check 504s and IEPs for accommodations. A schedule for for the week of Sept. 18 is coming soon.

 

• Title EA Support – Be aware that although Title 1 groups have not started yet that EAs are scheduled for push-in and other duties. It’s fine to ask someone on the fly for help, but be aware they may need to say, “Sorry, I can’t help, I’m supposed to be doing ______ right now.”

 

• Building Meetings Prior to Leadership Plan Approval? – I put this on the Thursday’s Staff Meeting Agenda, but do we want to go ahead and hold meetings such as Leadership and PBIS/SEL before knowing if our Leadership Plan has been approved and before we officially know who’s on those teams? I’m fine either way, cancelling until the plan is approved or going ahead and meeting with interested staff, but I wanted folks to know our first of these building meetings are on the calendar for next week with PBIS/SEL on Tuesday and Leadership on Thursday.

 

• EA TEAC3H Training Opportunity – Shared at the Back-to-School Classified Staff Meeting, there’s a PD opportunity for EAs to learn strategies for student behavior support. It is asynchronous, takes 20-25 minutes a month for STEP 1 and 2 for each module (there are 8 modules over the course of the year). Step 3 and 4 are practice-based and take about 5 minutes each within Canvas (outside of “practicing” the skill with kids). It takes 2-3 weeks to complete each module. Participants will receive a $40 (VISA or Amazon) gift for a pre-and post-survey, as well as a $20 (VISA or Amazon) gift if you do a brief interview in the spring. See the Pilot Program Intro Video for details and let me know if any of you are interested.

 

• Request for Student / Classroom Support – A reminder we combined our assistance forms, so staff should complete the linked Request for Student / Classroom Support Form to request a CARE TEAM staff member to connect with you about a student’s attendance, academics, behavior, classroom management, instructional support, mental health, counseling, basic needs, etc. Also, Kim sent out the Scheduled Break Sign-Up Form to set up scheduled breaks, which will start the week of Sept 18, though right now most of Calming Room team is currently occupied with some new high flyer friends.

 

• Mental Health Therapist for Elem Schools – Based on current needs, downtown is prioritizing elementary schools for their Care & Advocacy (C&A) efforts to provide direct, on-site, mental health support one day a week. The C&A team will be providing mental health case consultation with administrators and counselors, meeting with referred students up to 3 times to help them build skills and strategies that will support their return to learning, and advocating for community resources as needed. I’ll keep folks posted when this will start, but referrals can be made through the Request for Student / Classroom Support Form.

 

• DHS Abuse/Neglect Reporting on Dataport – As a reminder, staff are to use Dataport to report all incidents of child abuse and/or neglect. This link can also be found on the Holt Staff Dashboard. Do note that you cannot view Dataport unless you are connected to the 4J Network at school or logged on with a 4J VPN from home. Step-by-step instructions for reporting can be found on the 4J Instructions and Forms for Reporting to DHS Webpage, but directions are more clear on the 4J Student Safety Website, which actually links to Dataport. Linked here are DHS Reporting Training Slides that were presented to counselors. And don’t forget the DHS Call Pro-Tip for skipping the long hold time. When you call, once you start hearing the recording, press 1 and then 6, which will skip you ahead in line to the next screener.

 

• Start of the Year Feedback – The first week of school seemed to fairly go well besides some high intensity new friends, but let me know your thoughts on anything we should do different so I can make note of that for next year.

 

• Free LGBTQ+ Books – District admin shared with principals you can Request a FREE Set of LGBTQ+ Affirming K-12 Books from GLSEN. There are four grade-range options: K-2, 3-5, 6-8, or 9-12. LGBTQ+ students at schools with an LGBTQ+ inclusive curriculum, which includes LGBTQ+ affirming books, have higher GPAs, are less likely to hear anti-LGBTQ remarks at school, and are less likely to report missing school due to feeling unsafe. Resources are limited and will be prioritized in part on a first come, first served basis.

• Behavior EA (Abby Parks) – Already announces at our staff meeting last week, but please welcome our new Building Behavior Support Assistant (BBSA, i.e. Behavior EA), Abby Parks. Abby was at Holt all last year in a long term SPED EA sub. Abby is also continuing as our second as one of our two school crossing guards. Our second Behavior EA Job Posting is up now and closes Wednesday if you know of anyone good who you think should apply. We already have 11 applicants, so that’s a good sign!

 

• Classroom Help Sign-Up – If any staff are available to help your colleagues get their classroom ready, please add your name to the Class Set-Up Help Spreadsheet and check in with the folks need ing help on Tuesday.

 

• Tuesday Staff Meeting Cancelled – We don’t have any pressing topics, so Tuesday’s “If Needed” Staff Meeting is cancelled.

• Wednesday PD: Curriculum Night Planning – Wednesday at 1:30 in the library we’ll meet to decide on the format for our Curriculum Night / Back-to-School Night. Last year was a mix of some classes doing formal presentations to families and other grade levels did a more casual open house.

• PBIS Common Area Rules Review – Teachers should find time this week or next to review the PBIS Common Area Rules Review Slideshow with your class to go over Arrival/Dismissal, Restroom, Cafeteria, and Hallway. There’s also a classroom slide if you want to use it.

 

• Rainy/Smokey Arrival Plan – Classified Staff on Friday reviewed and revised our Rainy (also smokey) Arrival Plan, which is:

KG & 1st in Cafeteria
2nd & 3rd in the Gym
4th graders Library
5th under covered play area (or Library if smokey)

 

• Dismissal Job Assignments Map – A reminder to everyone, classroom teachers walk non-bus riders outside to your grade level’s designated pick-up spot (see same as above Arrival & Dismissal Map). For bus riders, at least one staff member from each wing should walk them down the hallway, through the cafeteria, and out to the buses. If buses are late, students are to wait under the covered play area. Alex, Ashley, and Robbie will help supervise as well.

• easyCBM Assessment Window Sept. 11 – Oct. 6 – Downtown shared the testing window for fall easyCBM benchmarking, which is 4 weeks in the fall, and will be Monday, Sept. 11 through Friday, Oct. 6. Testing windows for winter and spring benchmarking will be 3-week windows (1/3 – 1/24 and 5/13 – 6/3). Watch for testing details from Debbi and Jenny.

 

• EdTech TOSA Available 9/6 – Kellyclare Gardner is visiting schools the next few weeks and will be at Holt on Wednesday, Sept. 6 from 8:00-11:30 to help folks that need assistance with Edtech (Clever, Seesaw, Lalilo, Smartboard, Teacher doc cams, Printing QR Codes, Printing student passwords and more) She is developing a sign up sheet for folks, but drop ins are welcome. Her plan is to set up shop in the staff rooms and she is available to come back if needed.

• Master Schedule Updates – Two items regarding the 23-24 Master Schedule.

• Library Schedule – Grade level teams can add teacher names to library schedule. Some teacher names were already added close to what was earlier on the schedule, but teams can swap names around as you want. Each class will have a weekly 30-minute library lesson and a weekly 15-minute checkout. For the checkout time, teachers only send students who returned their books and can checkout a new book. For Wednesday checkout times, Title EAs will escort students to the library.

• PE/Music Schedule Corrected – The PE/Music/Library Specialist tab is now correct.

 

• HANDBOOK HIGHLIGHT: Scents/Cleaners/Air Fresheners – An important reminder from the Holt Staff Handbook, is on Scents/Cleaners/Air Fresheners:

Scents/cleaners/air fresheners: Perfumes, highly scented deodorants, air freshening spray, and plug-ins altogether must be removed from classrooms and commons spaces due to staff and students sensitivity

 

• PE/SEL Booster Resources – Here are the PE/SEL Booster Resources Doc mentioned at last Friday’s PD. Save yourself a ton of time by using these for Morning Meeting ideas on greetings, for sharing, group activities, and end-of-day closing activities. This doc also has ready-to-use Morning Meeting slideshows for the first four weeks of school. This link is also on the Holt Staff Dashboard

 

• Dead 4J Links – With the district website upgrade, if you had any links you’d bookmarked or shared on a blog, website, Seesaw, or other doc or app linking to the 4J website, they are now most likely dead and have been assigned a new numerical URL.

 

• Enrollment Info – Holt is now very close to our projection of 464 students with 459 students currently enrolled. If you’re interested, here’s the district Enrollment as of 09/01/23, which for us is minus the 10 kids who enrolled on Friday.

 

• Additional Licensed and Classified BEST Hours – If you’re interested in additional hours, see Levi’s Email about adding BEST EA hours, anywhere from 1-hour to 4-hours, or a licensed Academic Coordinator position.

 

• HR Updates – Two HR items were shared with principals:

• TalentEd “Roll Over” Delay – The roll over from 22-23 and 23-24 has had issues, so not all staff have access just yet or may be attached to the wrong school. HR hopes to have these fixed in the next couple weeks.

• Paid Leave Oregon Information – Paid Leave Oregon (PLO) is a new program that allows employees in Oregon to take paid time off for some of life’s most important moments that impact our families, health, and safety. Some life qualifying events that keep you from working may be covered under Paid Leave Oregon if they fall into one of three different types of leaves: Family Leave, Medical Leave, and Safe Leave. If eligible, you can take paid leave to:

(a) care for yourself or members of your family during the birth of a child, or to bond with a child after birth, adoption, or placement of a child in your home through foster care,
(b) care for yourself during a serious health condition,
(c) care for a family member when they have a serious health condition, and
(d) if you or your child experience sexual assault, domestic violence, harassment, or stalking.

• SafeSchool / Vector Training Delay – These were supposed to be available on 8/21, but that did not happen. We don’t have a timeline for when they will be sent available, but principals were told to give staff 1-hour in September and 1-hour in October to complete the online training before the Nov. 1 deadline. OSHA has added new required trainings, so the new trainings total more than 2 hours, so I’ll plan to give folks a third hour of time to complete the modules before the deadline. Here are the mandatory trainings for all staff (there are additional required modules for school psychologists, counselors, social workers, and principals):

• Curriculum Getting Started Planning and Resource Guides – Content Specialists compiled key information to help teachers plan for the new school year with the Getting Started Planning and Resource Guides for Science, Health, PE, Math, ELA, and Social Studies, including resources, scope and sequences, available materials and curriculum. This is also linked on the Holt Staff Dashboard.

 

• 4J Learning Hub – The 4J Learning Hub isn’t yet linked on the new 4J website yet, but it’s worth bookmarking if you haven’t already. You do need to log onto your 4J Google account to access the site. The link is also on the Holt Staff Dashboard and also on my blog.

 

• Library Lowdown: Free Staff Library Cards! – I mentioned this last week, but the latest Library Lowdown had info on how school staff, even if you live outside the city limits, can get a FREE library card, which it totally worth it just for the Free Streaming Services. My other favorite freebie is a free online subscription to Consumer Reports. Just bring your school photo ID and your current Oregon driver license/ID to one of the branches to sign up.

 

• Bystander Intervention for Educators – WREN is offering another Zoom PD October 12th from 4:30-6:00pm on Bystander Intervention for Educators, in which you will be paid a $75 stipend for attending. I’ve signed up! See the latest WREN Newsletter to sign-up today.

• Building Strong Foundations With Classroom Routines – Sure I share this every year, but it’s a good one. Investing time early in the year to establish procedures and expectations lets teachers and students enjoy a classroom that runs more smoothly (almost!) every day. The other oldie but goodie from Edutopia is an article on how Relationship Matter More Than Rules and how community building in the classroom starts on day one. Greetings Holt Bolts,

It was great seeing licensed staff last Friday and I’m looking forward to seeing the whole team back together again later this week!

Sixteen items of note for this week:

• Behavior EAs TBA – We have two strong candidates we’re waiting on HR to make a job offer. Hopefully our new folks can start soon!

 

• ALL Licensed Staff to Conscious Discipline PD – Downtown asked principals to clarify that all licensed staff (counselors, PE, Music, SPED, Title, SSC, Library, Coaches, etc) and not just classroom teachers are supposed to attend.

 

• Snacks to Expect at Meetings – Monday we will have snackey types of food and coffee. Thursday we’ll have breakfast burritos, coffee, and my usual assortment of breakfast snacks. Friday is a shorter meeting will be leftover snacks.

 

• Master Schedule Notes – Two items on the 23-24 Master Schedule.

• EA Schedules – The 2023-2024 Master Schedule now includes the EA Schedule, though if folks spot anything that looks off, we can adjust.

• Specialist Schedule Corrections – We noticed the PE/Music/Library Specialist tab on the 23-24 Master Schedule is off for a few grades, so we’ll be working this week to make sure the specialist tab matches the times on the main tab.

 

• ParentSquare Info – If you were taken aback and surprised by the 4J Email and 4J Staff Update that went out to staff and families saying “All district and school, grade level and classroom information” will now come via ParentSquare, principals and Elementary Directors were also taking by surprise. We haven’t heard a training timeline or rollout plan yet, but it is live now if staff want to try it out. The Tech Department linked to resources below, but it’s pretty intuitive and user friendly, so I was able to figure it out without reading any directions and will use it from now on for parent and family communications. It really is a pretty slick app and gives you all sorts of information views, languages selected, types of devices, and other stats. Teachers don’t have to use it yet until we get rollout information, but you can feel free to try it if you’d like.

• Classroom Newsletters to Allan – I’d like to have copies of classroom newsletters when teachers send them out to families. I’m not positive you can CC on ParentSquare, but you can in Synergy. This helps me keep up to date on what’s happening or going to happen in classes when families ask and it also lets me know details of any class activities that I might be able to get local media to come out and cover. I love promoting our school! Let me know if anyone tries ParentSquare. I may be able to see posts as the building admin on the app.

 

• Principal Visits to Classrooms – As teachers start planning, I’d like to do my annual visit every classroom sometime during the first few weeks of school to greet students and introduce myself. I’ll read a favorite story to your class and chat with the kids a bit. Teachers, please let me know a 10 minutes block of time I can come and visit sometime this month. Thank you!

 

• easyCBM Assessment Windows – The current easyCBM windows have been 6 weeks at each benchmark assessment. There has been some discussion on a district team that this is too wide of a window and measurable growth happens in that 6 week window, so downtown is shortening that window to 3 weeks and will bring us a draft schedule soon. Stay tuned for more info.

 

• TalentEd Self-Assessment & Goals – All staff, both classified and licensed staff, need to complete the Self-Assessment/reflection in TalentEd by Sept. 30. Licensed Staff need to complete the Goals Development Form by Oct. 30. Once school gets started I’ll plan to again put a team together to create some optional building goals licensed staff can use if they would like.

 

• Self-Evaluation and Goals Guidance – For the self-evaluation, when you score yourself between Ineffective, Area for Growth, Effective, or Exemplary, most people will be in the Area for Growth or Effective range. If you score yourself Exemplary, that’s an area you should be teaching others across the district. It’s also totally fine to mark ineffective if that’s where you think you are.

For goals, I would say don’t make extra work for yourself and pick a goal you’re actually planning to work on. Licensed staff need to come up with a measurable SMART Goal, but for classified staff pick something like committing to trying Conscious Discipline practices or working on learning more kids names or working to keep your small group materials better organized. Essentially, make it a practical goal.

 

• BIPOC Mental Health Support – If you know of any BIPOC students in needs of counseling or mental health support, Looking Glass is now offering free services to families. I’ll put this in the Quick News, but keep this in the back of your mind for students who might benefit. See Megan, Kim, or Allan to make a referral or use the CARE Team Request Form.

 

• Ed Tech Update Highlights – I wanted to highlight an EdSurge Article in the latest 4J Ed Tech Update about using ChatGPT. Make a free account with your 4J or personal email and try it out! Use it to answer a tricky parent email (“Write an email reply saying why elementary kids should not wear Crocs to PE.” or “Write a lesson plan for a hands on activity teaching double digit subtraction.” or “Write an elementary parent newsletter article telling them only heathy snacks are allowed.” I started trying it last spring and it was a great timesaver. I always had to edit what it somewhat, but AI did most of the heavy lifting. Also noteworthy in the update, the Back to School Resources from ShakeUpLearning looked worth checking out.

 

• Beginning of the School Year: Safety/Injury Prevention Message – Risk Management asked principals to remind staff to stay safe while setting up your classroom; using safety ladders instead of chairs, using carts or hand trucks to move heavy items, consider stretching first, and using the “Green Zone” versus yellow or red zones for lifing heavy items. See the Risk Management Email for details.
 

• On the Road w/Steve Hartman: Kindness 101 – Here’s a cool news story about a 5th grade teacher who for 15 years has tried to promote kindness by showing a different On the Road with Steve Hartman segment each day (a revival of the old old Charles Kuralt segment us old timers might remember). This prompted CBS to create a Kindness 101 Facebook Group for Teachers. If you want to check out some of the segments or possibly show them to your students, here’s a CBS Evening News YouTube Playlist, which has over 500 segments, and a CBS Sunday Morning YouTube Playlist, with nearly 300 more. Segments are only 2-3 minutes and could be an easy way to show kids stories of kids and adults working to make the world a better place.

• SPED EA Professional Development – SPED EAs will attend a Zoom PD session this Friday from 12:30-2:30 to learn about a new intervention curriculum, UFLI Foundations. Here I am interrupting your summer again. If you’re just catching up now, be sure to read the Back-to-School Staff Announcements and the August 14 Announcements.

Twenty items of note for this week:

• Staffing Updates – Five staffing updates:

• School Nurse (Haley Ingalls, RN) – Haley Ingalls will be our new school nurse. I haven’t had a chance to meet her yet or know her background, but SSD was happy with her hire.

• 2-hour Night Custodian Returns – Robert Bolden, our 2-hour night custodian, is back from his leave. He’s primarily at Monroe, but when he’s finished over there he comes to Holt to help out for 2-hours.

• BEST Coordinator (Levi Thompson) – Our very own Behavior EA, Levi, has been hired as our new BEST Coordinator. SSD also added an hour of SPED EA time to his position, so part of his day will be assisting the SPED Team. This leaves us with two Behavior EA vacancies, but we should be able to hire out of the Behavior EA Pool job posting that closed last week. I know of at least two good candidates who have applied, so we should be in good hands.

• Kitchen Staff Updates – Kyrsten Potterf has moved to McCornack and Diana Lyons has moved to Buena Vista. Nutrition Services has added Cindy Leighton from Roosevelt to join Deb, Kathy, and Amber in the kitchen.

• BEST EA Job Postings – BEST EA Job Postings for this year will be posted soon if anyone is interested in additional hours.

• Inservice Week Agendas – Attached to my email, on the Staff Google Drive, and linked here are the Staff Meeting agendas for the building time on Monday (Leadership Plan & Licensed Staff Nuts & Bolts), Thursday (All Staff – SCIP, Equity, Nuts & Bolts), and Friday (Licensed Staff BEPA 2.0, SEL/Morning Meeting Info, and Classified Staff Meeting). Let me know if you have any additional agenda items. At the meetings, feel free to bring a comfortable chair if you don’t want to sit on library stools (Monday & Friday) or a cafeteria bench (Thursday). Also feel free to bring your laptop if you want to reference some of the documents we’ll be referencing at meetings (Draft Leadership Plan, SCIP, 4J Racial Harassment Policy, etc.)

 

• Inservice Week “Structured Collaboration” – If you’re wondering about the “Structured Collaboration” time on Thursday of Inservice Week, the 4J Back to School Agendas and Links document now has a menu of activities teams and/or individuals can do, but basically it’s prep time.

 

• SPED EA Professional Development – All non-Life Skills SPED EAs will attend a PD session on Friday, September 1st from 12:30-2:30 via Zoom. You’ll be learning the foundations of UFLI, one of the new reading intervention curricula that was just purchased. As a reminder, SPED EAs do not attend the August 30 session with SPED teachers. Also, there is no extended contract available, so if this is outside of anyone’s normal work hours, please balance your hours over the course of this week so you can attend this training. I’m guessing the Zoom link will be posted on the 4J Back to School Agendas and Links doc, which can also be found on the Holt Staff Zimbra Calendar.

 

• Draft Leadership Plan Additional Ideas – Linked here is a Draft 23-24 Leadership Plan, which we need to submit a draft of to JCAC by Sept. 1. Take a look and let me know your ideas ahead of the 8/28 Staff Meeting. If you want to see some additional ideas, linked here is a Leadership Plan Brainstorming Sheet some elementary principals used to share their initial ideas.

 

• Welcome Back Assembly Friday, Sept. 8 @1:30 – Linked here is the Assembly Map and Directions for our Welcome Back Assembly on Friday, September 8th at 1:30. If the AQI is good, we might try doing the assembly outside this year to mix things up. I have this on the 8/28 meeting agenda for us to work out the details.

 

• Request for Student / Classroom Support – We combined what was Gloria and Darla’s request for assistance forms, so now complete the linked Request for Student / Classroom Support form to request a CARE TEAM staff member to connect with you about a student’s attendance, academics, behavior, classroom management, instructional support, mental health, counseling, basic needs, etc.

 

• Kindergarten Smart Start – The Kinder Team has already gotten this info, but you may have seen in the Quick News that downtown is changing Kinderzone, which is now called Kinder Smart Start. Linked here is the Kindergarten Smart Start Resources & Guidance, but as with Kinderzone, all staff will be expected to help with kinders on their first day, Wednesday, September 6th. More info will come on after the Kinder Team has attended the Smart Start PD inservice week.

 

• Nutrition Services Updates – Nutrition Services shared with principals a couple changes coming this year:

• Field Trip Sack Lunch Request Change – When classes need lunches for a field trip, instead of letting our kitchen staff know, we now need to email nutrition@4jlane.edu three weeks before the field trip, letting them know:

▪ # of students
▪ Type of meals
▪ Dietary restrictions
▪ Packaging requirements
▪ The Draft itinerary
▪ Point of Contact

The Field Trip Request Form has been updated to include this change. For details, see the linked Nutrition Services FAQ and the 4J Travel & Field Trips Webpage.

• Free & Reduced Meal Forms – 4J has to renew its Community Eligibility Provision (CEP) application, which allows Holt and a few other schools to offer free meals to students without parents being required to fill out any paperwork. However, in order to collect the required information for the application, we DO need to have families fill out the Free and Reduced Meal Forms this year. Downtown is working on a communication we will send out, but I’m thinking this is something we hand out to families throughout the year; during enrollment, at conferences, at Family Nights, Quick News, etc.

 

• Human Resources FAQ – HR sent principals an HR FAQ and I wanted to highlight three points:

• Unpaid Leave Days – Employees must request this time in advance from their supervisor (me). Supervisors will work with their Directors to gain approval. HR may contact Directors to discuss any potential hardship on the program, before final approval of the leave. To request unpaid leave, the employee should visit the HR Leaves of Absence webpage.

• Leave Request Required for 6 Days or More Absence – If an employee is going to be fully off work for more than 5 consecutive days, they are required to request a Leave of Absence through Human Resources, which includes being out sick more than 5 days, in which case you’d request a leave the 6th day you are out sick. Request forms can be found on the HR Leaves of Absence webpage.

• Employee Assistance Program (EAP) – All staff are eligible to use the EAP program. The District offers EAP benefits through Uprise Health. EAP is a free and confidential service to our employees and their dependents and provides a wide variety of benefits. To access services call 866-750-1327 or go online to uprisehealth.com and use the access code: OEBB.

• 4J Discipline Matrix – The 4J Discipline Matrix is finally finished and ready to be shared. I’ll plan on this being a topic for a future Wednesday PD, but thought I’d share it now for anyone who wanted a sneak peek. Besides the matrix, it includes links to resources for prevention and intervention, response protocols, safety and wellness resources, and board policy. If you want to do an even deeper dive, here’s the 50-page of Discipline Matrix Supporting Document (the matrix links to various sections of this doc), which includes guiding principles, a description of the matrix, guides to classroom climate (prevention), and intervention practices, responses to minor/major referrals, and administrator tools for decision-making and planning around both ISS & OSS.

 

• Menchie’s Bookmarks – In the Work Room on Monday will be Menchie’s Frozen Yogurt “Sweet Reading Rewards” bookmarks you can give your class if you want. Kids read 10 books, the teacher signs it, and the kid gets a free frozen yogurt!

 

• Lift Furniture, Don’t Drag It – When rearranging or setting up your spaces, if you don’t want your floor scraped and scuffed, remember to lift furniture instead of dragging or pushing it across the floor.

 

• ELA & Math Materials Coming – Wit & Wisdom Student Books have been delivered and will be brought to each grade level’s wing this week. Coming later this week will be the updated Wit & Wisdom teacher guides (you can keep your old ones if you choose), along with complete sets of curriculum materials for grade levels where we’ve added a section. Math workbooks from Central Print are also coming this week, which we’ll deliver to wings, but it’s not everything for the entire year. There will be three more deliveries arriving over the next several months – October 12th, December 4th, and January 23rd.

 

• No Holt Water Bottles this Year – We used ESSR funds to buy these the last three years, but we do not have ESSR funds this year and did not purchase them for students.

 

• Technology Support – You are still able to request technology support by sending an email to 4jdesktop@4j.lane.edu, but be aware this will be changing. The preferred approach is to login to the Freshservice Portal to create the request tech support, so you might want to bookmark this webpage. It’s also linked on the Holt Staff Dashboard.

 

• Insurance Open Enrollment Deadline, Sept. 15 – A reminder that you need to choose your insurance plan by September 15th, or else you will lose your health insurance benefits for this year. See the 4J Open Enrollment 2022-23 Website for details.

 

• WREN Newsletter & PD Opportunities – Linked here is the August Western Regional Educator Network (WREN) Newsletter, which includes online PD opportunities regarding Addressing Microaggressions, Bias and Triggers, Equity Foundations, and others. Sessions are open to all staff!. Note that participants do get a stipend for attending trainings, which range from $100 for a 2-hour virtual PD to $800 for multi-session PDs. Pretty sure I’ll sign up for some of these since I can do them after school from home!

Hi Everyone,

Keep on summering, like you’ve never summered before!

Twelve items of note for this week:

• 7-hour EA Job Posting Update – The 7-hour EA position I mentioned in my last announcements that all schools are getting has been changed by downtown to a 6.5-hour Building Behavior Support Assistant (BBSA) Position (i.e. Levi’s position). This means we’ll have two Behavior EAs next year. The job posting is a pool hire and I’m not quite sure how the hiring process will go, but I’ll keep folks posted.

 

• Class List Email Friday, Sept. 1 after 3:00 – 4J is continuing the practice of classroom teachers emailing families class placement instead of posting class lists outside of the office. Teachers should plan on sending a welcome email through Synergy to families of all students in your class after 3:00 on Friday, September 1st.

 

• Holt PBIS Incentive Programs – A reminder for Holt veterans and an explanation for newbies, linked here is an explanation of Holt’s Positive Incentives, which includes ZAPs, Orange Tickets, Spirit Tickets, the ZAP Fairy, and prize explanations. See the Holt Staff Dashboard Behavior Column for more info, including the ZAP Prize List, the ZAP Drawing Nomination Sheet, and others.

 

• Elementary Testing Coordinator – Since there are no longer ESCs, we are in need of someone to take over test coordination. The EEA contact offers a stipend of 2% of your total salary for whoever takes over this duty, which covers both easyCBM benchmark testing and OSAS. Let me know if you are interested or have any questions. I’ve done testing coordination before and can certainly help whoever takes on this duty.

 

• Air Quality Index (AQI) Correction – An AQI greater than 150 (not 200) is when we move recess and any other outdoor activities inside and we are to use using PurpleAir (not AirNow.gov).

 

• New Student Screening Coming: SAEBRS – Downtown shared the following with principals about a new Social, Academic, Emotional, Behavioral Rating Scale (SAEBRS) we’ll have students take three times a year:

As part of our MTSS journey, and in alignment with best practices in supporting our students’ mental and behavioral health, we will be adding a social/emotional benchmark screener to our activities this year. The Social, Academic, Emotional, Behavioral Rating Scale (SAEBRS) is a research-based, nationally-recognized rating scale that teachers use to capture a snapshot of student behaviors, and older students can even rate themselves. Much like an academic benchmarking tool (like easyCBM), the SAEBRS is simply one piece of data that building teams can use when determining how to provide supports to their students. Four of our schools piloted the SAEBRS in 2021 and found the results to be very helpful in understanding student needs. The ratings will happen three times per year, starting in mid/late October, will take 2-3 minutes per student, and can be completed entirely through Clever. There is nothing that you need to do now. More information to come!

 

• Safe Schools Training Modules – The normal training courses are scheduled to publish on August 21. They will include AED, BBP, Child Abuse Mandatory Reporting, Understanding Boundaries, and a new one called Influences of Unconscious Bias in the Classroom. There may be more added, but these will be available when staff return to the building.

 

• State Law for Students on Abbreviated Days – I mentioned in my last announcements that all elementary schools are getting additional EA time as a result of changes in state law that could lead to more students on shortened school days coming back full time. If you are interested linked here is an Abbreviated School Days: Impacts of SB 819 Slideshow that contains more info. We only have one student on a shortened scheduled, but this new law is going to greatly impact high schools and online programs. The short version is that schools now need to hold a meeting every 30 days for any student with an IEP or 504 or who are in the process of being evaluate for either to decide on a shortened day (unless the parent signs off on meeting every 90 days). Parent can now opt out of a shortened day at any point versus prior rules where it was a team decision. Also, the superintendent must now personally review the complete records of every student on a shortened schedule and if a district is found not in compliance the superintendent’s license will be sanctioned.

 

• Student Teacher Laptops, Email, Badge, etc. – See Step #3 at the bottom of the 4J University Student Placement Process webpage for how to get your student teacher a 4J laptop, email, badge, Synergy, and/or Seesaw access.

 

• Math Adoption Coming – 4J is beginning a two year math adoption process. The adoption will be K-10, which is a first for 4J.

Greetings, Holt Bolts!

Hope you all are still enjoying your summer. For folks wanting the scoop on fall info, below is my super long back-to-school staff newsletter. If you’re not interested just yet, feel free to file this away to read at a later time.

My summer has been a mix of good and bad. To start with the bad, a good friend of mine since middle school unexpectedly died last month (though I hung out with him two weeks before he passed when my family was vacationing in Santa Cruz) and my 98-year-old dad just last week entered into hospice. It’s been a long time coming for my dad, who’s been dealing with dementia for a while, but my mom will now get some support with a hospice nurse coming in every day, so that’s welcome. For the good, my family and I had a fun two-week trip down to San Francisco and Santa Cruz, which was our first big trip post-COVID. Besides that trip, I also took a good amount of time to turn my brain off with movies (Martin Scorsese’s After Hours was the best movie, and Freebie and the Bean was a close second, though Oppenheimer was fantastic and I’m watching the Barbie movie with my kids this weekend, but my favorite movie viewing experience of the summer was making my kids watch 1979’s The Warriors, which they did end up enjoying), TV shows (the final season of Barry was my favorite), books (Cinema Speculation was my favorite book and I’m almost finished with Chaos: Charles Manson, the CIA, and the Secret History of the Sixties), and video games (mainly playing Fallout 76, which most gamers hate). So although my summer was a mixed bag, it was overall still a good one with plenty of family, friends, and relaxation.

But back to business, for folks new to Holt, I usually send my announcements once a week on Sunday mornings. They can get long at times, but I prefer to over-communicate rather than under-communicate. Not all of the info applies to all staff members, so read the bold headings and decide for yourself if that’s something you need to know about or not.

• Welcome 23-24 New Staff – Most of these were announced earlier, but please welcome the following fabulous new (and some returning) staff members to TEAM HOLT!

• 1st Grade (Leah Willow) – Leah was an ELA TOSA for the past three years, but before that taught 1st grade here at Holt with Heidi and Lisa. 

• 2nd Grade Teachers (Jenny Bemiller and Megan Gullekson) – Jenny comes to us from Chavez where she taught 2nd grade and before that taught 1st grade in Bethel. Megan was our temp 1st-grade teacher last year, so we’re very glad to have her back this year in a non-temp position joining 2nd grade. 

• BEST Coordinator (TBA) – Coming Soon!

• Counselor (Megan Travis) – Megan comes to us from Spring Creek where she’s taught kindergarten and 5th grade. Before working in 4J, she worked with neuro-diverse students ages 2-18 at the Sheldon Community Center for 20 years with our very own Kim McManus. 

• Instructional Coach (Carla Zimmerman) – Carla comes to us from Howard where she was their Instructional Coach. Before that, she was the ESC and taught 1st, 3rd, and 4th grade at different times. Also, I worked with Carla for the eight years I was principal over there. 

• Nurse (TBA) – Coming Soon!

• Office Assistant (Keri Schneider) – Keri joined Holt last year as a Title 1 EA and is re-joining us this fall as our new Office Assistant, taking Sharon’s spot as Sharon moves into the head secretary position. 

• PE Teacher, 0.2 (Jenifer Pleus) – Jenifer is a retired 4J PE teacher who’s taught for over 40 years, primarily at elementary, but also at middle and high school. I also worked with her for a time at the old Howard building. This year she’ll be part-time at both Holt and Gilham. 

• Secretary (Sharon Alberts) – Sharon is moving from her office assistant position here at Holt into the head secretary role. 

• SPED Teacher, 0.5 (Sheryl Carroll) – Sheryl comes to us from Edison where she was their full-time SPED teacher. She’ll be split between Holt and YG, working here in the mornings and at YG in the afternoons. 

 

• SSD EA Staffing Updates – Darrin Heffington, who was on leave last year and covered by Abby Parks all year long, resigned from his position over the summer. SSD is not filling his position, but they did add back Julie McWhorter’s 1:1 SPED EA position (now 6 hours instead of 5.5) and Laura  Peterman’s 4-hour SPED EA position. This still puts us 5 hours less than we had last year for SPED EA staffing, so we will continue to advocate for more SPED support given the level of student need.

 

• 7-Hour EA Vacancy – In response to the change in state law around abbreviated (i.e. shortened) student days (parents can now refuse shortened school days for their child and insist on full days), downtown is giving all schools an additional 7-hour EA. It’s not a SPED EA position, but this person will primarily support students receiving special education services, most likely in the primary grades. I submitted a requisition to HR last week and expect it should get posted this week. 

 

• 1-Hour Crossing Guard Vacancy – Are any classified staff interested in adding 1 hour to take over Darrin/Abby’s crossing guard position? Let me know if you are. If we don’t have any takers, I’ll post for the position.

• Optional New Staff Member Orientation and Q&A, 9/1 @10:00 – I’ll be available Friday, Sept. 1 at 10:00 in the library to share some Holt nuts & bolts logistics, answer questions, and provide any assistance for new folks. I can get busy during the inservice week, so I like to set aside a time when I’ll be available for new staff. You can also always text, call, or email.

 

• Updated School Map – Linked here is an Updated 23-24 Holt School Map of where folks are working this year. Let me know if you spot anything that looks wrong. The map can also be found on the Staff Google Drive under MISC > Maps.

 

• Building Access & Sign-In – SEAL finishes Tuesday, August 15th and KITS finishes Friday, August 18th. If your class was not being used for SEAL or KITS, you’re welcome to come in anytime. If you do come in early and outside of regular work hours, be sure to remember to sign in on the sign-in/sign-out sheet, which will ensure the building is armed if you’re the last one out.

 

• New Leadership Plan Format – Linked here are documents regarding the 23-24 Leadership Plan Redesign. This is a pilot between EEA and 4J for one year and what happens the following year is to be determined. Elementary schools are getting significantly more than in the past. Holt previously received 22 sub days for 7 staff members, which cost downtown around $7,000, but this year Holt is getting $43,000 that we can divide in $500 increments between however many staff members we decide. If you follow the above link, you can see what types of duties can be compensated, but I think most of our 22-23 Leadership Plan positions fall into one of the allowable categories:

1.  Safety and Well-being for all students and staff
2.  Meaningful Community Engagement
3.  Equitable Outcomes

Linked here is a Draft Leadership Plan to get the conversation started for our Aug. 28 Staff Meeting. Let me know now if there are other duties you think we should consider compensating and which of the allowable categories they fall under. Draft plans are due Sept. 1, though it’s a very basic Google Form and I think JCAC just needs to see if our proposed leadership positions are allowable. After getting feedback from JCAC, we will have until Oct. 15 to submit our final plan. 

 

• 23-24 Master Schedule – Linked here is the 2023-2024 Master Schedule which is also on the Holt Staff Dashboard. The non-SPED EA schedule is still being worked on but should be finished by inservice week. I’ll work on making it look pretty with colors and such soon. And as a reminder, there are no Title 1 groups on the early release days, which is now Wednesdays. 

 

• Who is A/B and C/D on the Schedule? – Grade-level teams should let me know which classes will follow the A, B, C, or D schedules and I’ll add names to the Master Schedule and the Library/PE/Music Schedule tab.

 

• Monthly Meeting Schedule – Linked here is the Elementary Monthly Meeting Schedule downtown wants schools to follow. I’ve added a proposed meeting schedule for the year, which generally has:

• Team Sign-Ups – If you’d like to sign-up to be a member of one of our building teams, please add your name to the Team Sign-Up Sheet (2023-2024). Leadership Team (monthly), PBIS Team (monthly), IPBS/SEL Team (twice a month), and I added an Equity Team Meeting (monthly). Teams can be big or small, and we can make adjustments after we finalize our Leadership Plan, so don’t be bashful about adding your name.

 

• 2023-2024 Class Lists – Here’s the link to the 23-24 Class Lists that were created last spring, which are also in Synergy, but the spreadsheet does have additional student info. As usual, there will be new move-ins and move-outs, so some adjustments will likely need to be made.

• Holt Staff Fun Facts – I’ve updated the Holt Staff Fun Facts Spreadsheet if new staff members can add your info or if other staff want to update your info, such as what you want kids to call you (“Mr. Chinn”), your favorite coffee drink (almond milk hot chocolate extra hot), or your hobbies (Filmgoer, Video Games, Books, Comics, Bigfoot Enthusiast).

 

• Staff Walk-Up Songs – Baseball players have walk-up songs. School staff should have their own theme music too! What would your walk-up song be? Fill out this Staff Walk-Up Song Survey to build our Back-toSchool Staff Meeting music playlist and also to see if you can guess your colleagues’ self-selected theme song. Need some inspiration…  here are the MLB Player Songs they chose and here’s another walk-up song list.

 

• ArtSpark Artist in Residence Survey – Holt gets two Artist Residencies funded by ArtSpark. I want to get your preferences early, so we can lock in an artist and date before the good ones are taken. Please fill out the linked Artist in Residence Survey to help start the conversation when we make a decision at one of our inservice week meetings. Here’s a link to the 23-24 Artists in Residence available, which has some fun new offerings, such as Larry Meyers doing paper mache masks.

 

• Holt Staff Dashboard – I’ve updated the Holt Staff Dashboard for this school year, but also left prior year dashboards on separate tabs. For new folks, this is your one-stop-shop for the many links that get shared out by the district (Absence Management, Curriculum Links, District Phone Lists, etc.) and at the building level (Master Schedule, Class Lists, DHS Online Reporting Forms, etc.). Let me know if there’s any info you think we should add, change, or delete.

 

• Curriculum Resources – I wanted to highlight that the Holt Staff Dashboard Curriculum Resources column includes links to Online Second Step Materials (codes for your grade level are in front of your teacher guide, but let me know if you can’t find them),  the Second Step Pacing Guide, 4J Science & Math Resources, the 4J K-5 Health Webpage, 4J Science Resources, 4J’s LearnZillion Portal, and the Elementary Learning Hub, which links to grade level specific resources for SEL, Social Studies, Science, Health, and other curricular areas and 4J programs. 

 

• 2023 Wit & Wisdom Teacher Editions Coming Soon – Downtown is sending out the latest 2023 teacher editions of Wit & Wisdom to all classroom teachers. See this email for details, but teachers can either keep or recycle their old ones. 

 

• COVID Protocols Gone – I shared this last spring, but this year there is no notification requirement for staff who test positive for COVID. From now on, as with all illnesses, staff who feel ill should stay home until fever-free for 24 hours (100.4 or greater) without medication. See this email for details.

I’m still trying to get clarification on visitor & volunteer policies, particularly the pre-COVID practice of parents walking kids to their classes in the morning. A group of us are wanting the policy to be that any visitor must sign in at the office and have a background check on file, which keeps safety and security practices consistent, but rumor has it some schools already started allowing that again. 

 

• New Staff Email, Calendar, Google Access? – I think I’ve given all our new folks access to the Staff Zimbra Calendar, and the Staff Google Drive, and added folks to Staff Email Lists. Let me know if I’ve missed one of these for any of you or if there are other things, such as access to digital curriculum materials you need help accessing.

 

Parent Handbook – Linked here is the Holt Family Handbook that Site Council worked on last year. It’s all current practices, so there shouldn’t be any surprises in there, but there is one section we’ll want to discuss as a staff regarding footwear rules (banning or strongly discouraging flip-flops). 

 

• Welcome Back Burritos, Coffee, & Supplies! Friday, 8/25 @9:00! – Join us for breakfast burritos, coffee, school supplies, and socializing with work friends! Brought to Holt Staff by the amazing group at The Hope Project on Friday, August 25th at 9:00 in the School Garden! 

 

• Breakfast Burrito Orders Due 8/28 – Since classified folks aren’t here on the 25th, let’s do breakfast burritos one more time for the first day we’re all back together! If you’d like a breakfast burrito at our Back-to-School Staff Meeting on 8/31, just fill out the linked Breakfast Burrito Google Form by 12:00am, Monday, August 28th (student teachers included). You’ll need to log onto your 4J Google Account to complete the form. Let me know if you have any trouble and I can input your order for you.

 

• Back to School Family Newsletter – Linked here is the  Holt Family Welcome Back Quick News (which is long and not very quick). I’ll send it to families on August 14th. I’ll wait to post it on the Holt Website until then, but let me know if you spot anything that looks incorrect or if there’s any info I’m forgetting to include. 

 

• Staff Handbook and Holt Nuts & Bolts Info – Much of this information is covered in the Holt Staff Handbook, but below are a number of nuts & bolts times I wanted to remind staff about:

• Morning Arrival Plan – The morning arrival plan is the same as last year, which, depending upon the bus arrival times once we get them, will be:

7:25, buses arrive and students are supervised in the cafeteria.
7:35, students are released to line up at the same grade level entrances (map)
7:35-7:50, students arriving later who want breakfast can go to the cafeteria until 7:50.
7:50, first bell rings, and students go to class.
7:55, tardy bell rings, and all doors close.

I’ll review this plan with supervisors at the Classified Staff Meeting on Friday, Sept, 1st for input and any tweaks we might want to make. Here’s my initial plan for where supervisors will be stationed:

• CORRECTION: Smokey or Rainy Day Arrival Plan – If get a downpour (kids can be tough if it’s light rain) or if the Air Quality Index (AQI) is over 200 150 according to Airnow.gov PurpleAir, we will use the same rainy day plan as last year. This would also apply to days with poor air quality, with the exception of moving the 5th graders outside into the gym:

• End of Day Supervision – Same as last year, but for new staff and a reminder to Holt veterans, classroom teachers walk non-bus riders outside to your grade level’s designated pick-up spot (see same as above Arrival & Dismissal Map). For bus riders, at least one staff member from each wing should walk them down the hallway, through the cafeteria, and out to the buses. If buses are late, students are to wait under the covered play area.

• Student Tech Contract (K-2 and 3-5) – Linked here and on the Holt Staff Dashboard are the K-2 Holt Student Technology Contract and the 3-5 Holt Student Technology Contract. Teachers should review this document with students, using it as a teaching tool, and then have students and parents/guardians (later possibly at conferences) sign the agreement.

• Synergy for Parent Communication – To keep communication systems consistent for families, staff agreed last year that we will all use Synergy for all parent communication, as opposed to some classes using Seesaw, ClassDojo, Zimbra, or another tool. Teachers may still use Seesaw, ClassDojo, and other apps, but should use Synergy for newsletters and communications with families.

Still, Seesaw is great for having kids record themselves reading or taking a picture of their work and posting it for their parents to see, which is a pretty easy way for teachers to involve (and to ingratiate yourselves with) parents. Linked here are a number of 4J Seesaw Resources.

• 4J Tech Subscriptions – Linked here are the current 4J Technology Subscriptions. Sadly there is no BrainPOP or Mystery Science, but there were enough teachers who said they were using Mystery Science, so we did purchase a site license for that. I believe I’ve made sure all current and new teachers are connected to our account, but let me know if I left anyone off. 

• Work Hours, 7:30-3:30 – For full-time staff, regular work hours are 7:30-3:30, with students entering the building at the 7:50 morning bell. 

• School Hours, 7:55-2:25 – Same hours as last year, 7:55-2:25, except for the early release day moving from Friday to Wednesday, 7:55-1:10. 

• Morning Announcements, Sept. 11 @8:00 – I’ll start doing morning announcements Monday, September 11th at 8:00. I’ll do them at this time each Monday until we have our student news crew in place. I’ll do a few short announcements and end with the Pledge of Allegiance.

• Fresh Fruit and Vegetable Program (FFVP) – Nutrition Services said the FFVP program will start Monday, September 11th. I’ll share logistics for delivery and serving expectations once we get closer, but thought you’d want to let families know to bring snacks that first week of school. 

• Cafeteria Food Composting Video & Lesson for Students – To teach students how composting works in the cafeteria, see the linked district Love Food Not Waste for Schools Google Folder, which has many resources, but the main one of interest is the 4J Cafeteria Waste Stations Slide Show, which is probably the best way to review the program with kids.

• Tech Support Requests – Staff can submit tech support requests to our TSS (Technology Support Specialist), Rob Geerling, by emailing 4jdesktop@4j.lane.edu, or the 4J Freshservice Website for technology help requests. 

• Make Sure Your Voicemail is Set Up – All teachers should ensure your 4J voicemail is set up and working. See the linked 4J Phone Voicemail Manual or this Quick Start Voice Mail User Guide for how to set it up, as well as for info on phone functions. If you have questions, please contact our TSS, Rob, at 4jdesktop@4j.lane.edu. And if you are moving classrooms, do not move your phone to your new room. Phones are connected to a particular port, so moving them would cause you issues.

• No Reimbursements– A reminder that 4J no longer allows staff reimbursements. See the prior announcement for details, but let Sharon know if you need to order anything. 

• Prep Time for EAs – A reminder for teachers that the Classified Staff OSEA collective bargaining agreement obligates EAs assigned instructional responsibilities prep time and for building admins to notify teachers of the District’s expectation that EAs who provide instructional support be provided the opportunity to discuss scheduling prep-time. See the linked email for details.

• Entered ALL Absences into Absence Management (even if you don’t need a sub) – All staff, even custodial and kitchen staff now, should use Absence Management (formerly AESOP) to enter all absences, including when you don’t need a sub or even if it’s just for an hour. If you cannot enter an absence by 6:00am for a sub, call, text, or email Allan and/or Sharon so we can get it entered.

Kids in Hall Need a Pass – If you need to send a student somewhere in the building, make sure you give them a hall pass. If you spot stray children walking in the hall, make sure they have a pass. If they do not, send them back to class and escort them if possible. And DO NOT believe students when they say, “But my teacher told me [INSERT EXCUSE HERE].”

• No Pizza Parties (but…) – This rule isn’t new, but Nutrition Services is cracking down on Pizza Parties and other class parties involving food, which are not allowed at school because they compete with the school meal program. However, teachers are allowed to do a pizza party if they purchase pizza through the school kitchen or if it happens after a grade level’s regular lunchtime. Check-in with me or Deb if you’re planning a food-related party to make sure it’s within guidelines.

• Field Trip Info – See the linked 4J Field Trip Approval Process if you or your grade level are planning a field trip. You’ll need to submit a Field Trip Request Google Form to HR 30 days before a trip. Linked here is a PDF of the Google Form if you want to see all of the info you need to collect before submitting a request. It’s fairly extensive, such as needing to include your volunteers, but HR said you can add that later closer to the field trip date. Also, due to the continuing bus driver shortage, all bus field trips need to fall between 9:00 – 1:45, so drivers can return in time for their regular bus routes (see email for details). These links can also be found on the Holt Staff Dashboard and on the left column of my blog under District & State Links.

• Sub Plans and Notebooks – Make sure your Sub Plan Notebook (different from the Emergency Binder) is up to date. Notebooks should include the following:

• Class list
• Student Health Information
• Behavior Support Plans
• IEP and 504 Plan Accommodations
• Emergency generic sub plans with your schedule

There should be a notebook for this in every classroom, but if yours is missing, see Sharon, Keri, or Allan.

• High Holy Days – Schools should avoid scheduling major events, tests, or assessments of any kind during major religious holidays. I’ve added these dates to the staff calendar, but see the 4J Religious Holidays & Accommodations website for full details.

• Wear Your Holt Shirt WEDNESDAYS! – Wednesdays are our regular day each week to show school spirit, so remember to wear a Holt shirt, gear, or purple & green this day each week. Go, Bolts!

 

Mid-Term Grading Days – I asked what’s the expectation for these days, It’s still kind of vague and I’m sure we’ll get more details once we get closer to these dates, but at this point was told it will be:

November 9 – 3.75 hours of ELA Planning, 3.75 hours of Assessment and Conference Planning

April 12 – 3.75 hours of ELA Planning, 3.75 hours of Strategic Family Outreach

 

Conferences – Nov. 20, 21, 22 – Conferences are to be 16 hours of Parent Conferences and 8 hours of “Parent/Staff Outreach.” We’ll get more details on the outreach portion, but I’ll propose to staff we work 12 hours days (8:00 am to 8:00 pm) Monday and Tuesday and make the Wednesday before Thanksgiving a comp day, which we will decide at an in-service week Staff Meeting. 

 

District Admin Updates – The new Student Services Department (SSD) Director is Seth Pfaefflin, who was previously the South & Churchill Region SSD Admin. Former SSD Director, Kat Lange, is the new Executive Director of  Youth & Family Support, a new position, who oversees both SSD and other departments and programs. Taking Seth’s place is Della Thomas, who was previously the District 504 Coordinator. The new Kennedy Middle School Principal is Laura Clark, who was an assistant principal at Churchill HS. See this email and this email for details and see the District Reorganization Charts for how downtown is organized this year. 

 

• SELCO’s Educator Grants, Due 9/30 – Super easy grant for free stuff! SELCO’s SPARK! Creative Learning Grant Program will accept applications starting August 15th for projects up to $1,000 that inspire curiosity, make learning accessible, and spark something new. Applications are due September 30th. Visit the above link for details and to apply.

We made it! Another year down and I can’t think of another group I’d rather have spent it with!

Nineteen items of note for this week:

• Water Balloon Launch AM Recess, MONDAY – AM Recess Monday we are going to have some wet fun if any of you want to join. Kids will stand behind the kickball backstop while any interested staff can come out to hurl water balloons towards waiting students through the chainlink backstop (I have a few water balloon launchers to add to the fun).

• Field Day, TUESDAY – Field Day is this Tuesday. Grades 3-5 will be 8:45-10:15 and grade K-2 will be 12:00-1:30. See the linked Short-Version Field Day Doc for details, but the main things teachers need to prep for is to divide students into 4 color groups before field day, Red, Blue, Green, and Yellow. Two related items:

• Missed PE/Music Prep – If teachers want their PE/Music prep time, let me know and we will work to have someone cover your class for a 30-minutes during your field day time.

• Recess Still Happening (Hard Play & Field Closed) – Recesses will still take place during their usual times, but only soft play will be open while Field Day is in progress.

• Kona Ice Fundraiser, TUESDAY @1:30 – Kona Ice will be here TUESDAY at 1:30. Teachers should send bus riders who have money to hard play at 1:30. And remember, all staff get a free shave ice! Just show your badge!

• Team Meetings, CANCELLED – Team Meetings are on the calendar for Wednesday, but since it’s the last week of school, teams do not need to meet or send out minutes unless you have info you think is important to be communicated out.

• Holt Spirit Day – Summertime Tie-Dye Day, THURSDAY – Student Council didn’t set a firm date, but we’re calling the last day of school Summer Tie-Dye Day!

• Last Day Lunch Plan, THURSDAY – Grade levels will come to the cafeteria to pick up a sack lunch on a 5-minute rotating basis. Kids will put lunches in their backpacks to take home (bus riders included).

The plan will be for classes on Thursday at 10:55 to line the hallways, and starting at 11:00, the 5th grade will parade through our hallowed halls one final time while staff and students clap and cheer them on. See the linked Clap Out Map for the path, which will be D > C > B wing, and when the parade is over, all grade levels can dismiss students.

• Office Assistant Interviews 6/22 @10:30 – I’ve tentatively scheduled interviews for Sharon’s replacement on Thursday, June 22nd, 10:30-12:00. If anyone would like volunteer their time to help with interviews, let me know and I will send you the interview materials.

• Technology Summer Checkout Form – If staff are planning to take home any school technology (laptop, iPad, doc cam, etc.), complete the linked Technology Summer Checkout Form 2023-24.

• iPad Configuration Proposal – Our excellent TSS, Rob, is hoping to create a K-2 and 3-5 iPad configurations, which would make iPad setups easier and would pretty much eliminate the possibility of an iPad having the wrong configuration. Rob crated a Google Sheet listing all the apps what would appear in the two configurations. No one would lose apps you currently use, but you might see some additional apps (6 at most) you don’t currently have. Let me know by the end of the week if you think this should be a staff conversation in the fall. If I don’t hear from anyone, I’ll tell Rob to go ahead with this plan.

• PAHS Updates – Linked here is the PAHS Draft Calendar of Events for next year. I’ve also added these to the Staff Zimbra Calendar. The main dates of note are that they want to have the school carnival and the Holt Bolt both in the spring. They’ll still do the October Costume BINGO Event, which can say is the opportunity for kids to dress up at school if we don’t want to do a Halloween/Dress-Up Day during the school day. Also of note, Kimberly Brown and Amanda Knight are the new Co-Facilitators (both kinder parents, so we’ll get them for a while!), who are looking into making PAHS their own 501(3)c, which I think is a good move. They’re also rebranding PAHS the Holt Parent Group, since they heard from a number of parent they were confused by the name PAHS.

• Summer School Dates – These are also on the Zimbra Staff Calendar, but these are the dates and times summer school will be in session:

KITS: June 27 – August 18, Tuesday – Thursday, 7:30-3:30
SEAL: July 10 – August 15. Monday – Friday, 7:30-3:30

 

 

• Leadership Plans for 2023/24 School Year – Principals on Friday were given supporting documents for the New Leadership Plans. I’m not sure if these are final or are still being negotiated, but figured I’d share for anyone interested.

• New Kinderzone Format – I already shared this with the kinder team, but the linked Kindergarten Smart Start Proposal (i.e. the new Kinderzone) was shared with principals, which will go to the school board for input next month.

• Suggested Elementary Content Minutes – Linked here are the 23-24 Elementary Content Minutes and Schedules Guidelines. This has the suggested minutes for each content area, although downtown did acknowledge that the suggested minutes exceed the available minutes in the days, so this is merely information for us to consider.

• 23-24 Elementary PE Info – Linked here is an email that was sent to PE teachers regarding the new PE minutes expectations. I shared this information earlier at a staff meeting, but here it is all in writing.

Hello Holt Bolts,

If kids and adults seemed nutty this week, I’m sure it’s because Saturday’s full moon was the lowest of the year. Credit to Candace for sharing this factoid!

Nineteen items of note for this week:

• 23-24 Staffing Updates – Two updates:

OFFICE ASSISTANT – Our office assistant position did not have anyone bump into it, so the position should post sometime this week.

NURSE – Our fabulous School Nurse, Eden, is sadly leaving us next year and is moving to her neighborhood school, Howard, where her kiddo will attend kindergarten next year. It’s been great working with you this year and you will be missed! SSD will place someone soon.

• REPEAT: Fire Drill, TUESDAY @8:05 – Our final Fire Drill of the year will be this Tuesday at 8:05. Linked here is a copy of the Building Evacuation Map and the Fire Drill Line-Up Map.

• REPEAT: Sheldon Senior Grad Walk, THURSDAY – Sheldon HS will hold a Grad Walk on this Thursday at 9:45. Classes are invited (though not required) to line the halls to clap and cheer (signs are a nice touch) for seniors in their cap and gowns who attended Holt as I lead them through their elementary hallowed halls one final time. See this email for details, but basically it’s a chance for seniors to connect with staff they knew, to be cheered on by kids and staff, and also serve as an inspiration to our elementary kiddos. SHS said they’ll connect with us soon with additional details, but they’re planning on two buses worth of Holt alumni coming to visit!

• REPEAT: Report Card Grading Day Expectations, FRIDAY – This Friday is a regular work day for both classified and licensed staff. For licensed staff, HR allows teachers to work from home if you notify your administrator (me) in advance, but be sure to plan ahead if you need to collaborate with any colleagues this day. Also, be sure to use this time for grading and not use it to run errands around town. Teachers are highly visible members of the community, so keep in mind public perception. HR has said that if working off-site on grading days is abused, we will not be allowed to continue the practice. For classified staff, this is a good day to cash in any accumulated trade time you’ve built up, but remember you need to notify me before you begin accumulating trade time.

• Report Card Info & Guidance – For reference, downtown asked principals to share the linked Report Card Guidance for when you start working on report cards. Their link is formatted a little funky, so here’s a PDF Version that’s not sideways on the second page.

• CORRECTION (K-2 & 3-5 times were flip flopped) Field Day, June 13th – Field Day will be Tuesday, June 13th. 305 will go 8:45-10:15 and grade K-2 will be 12:00-1:30. Field Day will run similarly to last year, but see the linked Field Day Doc for details, but the main things teachers need to prep for is to divide students into 4 color groups before field day, Red, Blue, Green, and Yellow.

• Kona Ice Fundraiser, June 13 @1:30 – Kona Ice is coming to Holt Tuesday, June 13th at 1:30. Teachers should send bus riders who brought money to hard play at 1:30 (15-minutes earlier than last time), so they have time to buy and eat their shave ice before having to get onto the bus. And remember, all staff get a free shave ice! Just show your badge!

• Last Day Lunch Plan, 6/15 – Deb is already planning our last day of meal service, which will have grade levels coming to the cafeteria to simply pick up a sack lunch on a 5-minute rotating basis, which they will put in their backpacks to take home (bus riders included).

• REPEAT: Erin’s Law & Second Step Child Safety Unit – All classroom teachers should use the Second Step Child Protection Unit for meeting the state Erin’s Law requirements. For each grade level, there are six lessons, which are to be covered at three points in the school year, with Lessons 1-4 in the fall, lesson 5 right before spring break, and lesson 6 right before summer break (within the last two weeks of school). Each grade level has their own kit, but linked here are Child Protection Unit Scans of the teacher guides if that makes things easier.

• James Brown Award – James Brown Award Nominations – This award is in honor of James Brown, one of the first custodians at Holt. He worked extremely hard to make our school a safe, clean, and beautiful place to be. Throughout his 13 years at Holt, he was a hard-working, dedicated, humble, and kind member of the staff. Each year, a staff member is recognized who exemplifies the characteristics resembling James. • 23-24 Staffing Updates – Two updates:

0.2 MUSIC – I’m happy to announce we have rehired Tracy Zehner as our 0.2 Music teacher for next school year.

OFFICE ASSISTANT – HR has put a hold on this position and there is a possibility they will place a displaced employee into this position. They said they will let us know if we can post or not sometime this week.

• Kendall Subaru AdoptAClassroom Drawing TUESDAY – Kendall Subaru is once again “adopting” Holt and there will be six lucky teachers who will get $500 to spend on their classroom. We’ll stick with our criteria from last year for who is elected, which is one winner from each of the following:

• new teacher (5 years or less)
• switching grades (last 2 years)
• 1 upper
• 1 primary
• SPED (this is a requirement of the grant)
• Specialist

We’ll also take off winners from the last two years. I’ll spin the Wheel of Names in the library on Tuesday after school to select the lucky winners, and that way folks can keep an eye on me so that I’m not cheating if you’ll like to watch, but you do not need to be present to win. ;)

• ELA and Math Student Consumable Order, DUE TUESDAY – See this email for details, but consumable orders for Math and ELA are due this Tuesday. One rep per grade level should complete the linked Order Form.

• Annual Safety Inspection, WEDNESDAY @10:30 – Our annual safety inspection is this Wednesday at 10:30. Linked here is a handout of the Most Common Classroom Safety Violations. The two main items we got dinged for last time were:

• Combustable items hanging from ceilings
• Door egress width (3 feet) blocked by rolling carts and other items

• May Spirt Assembly & Talent Show Combo Assembly, THURSDAY @8:30 – Our combo School Spirit/Talent Show Assembly will be this Thursday, 8:30-9:30 in the cafeteria. Linked here is the Assembly Map and Directions. Stay tuned for additional directions for the performers.

• Friday PD: Double Prep – For the final Friday PD of the year, it’s a double prep to make up for the missed prep on Grading Day next week.

• Raptor Alert Log-In Issue – If you had trouble logging onto the Raptor Alert app, try deleting the app from your phone or iPad, reinstall it, and then try logging in again. That fixed the issue for everyone who’s tried it so far. I don’t think the rostering issue is fixed yet, but staff can sill poke around the app to see what it looks like during a drill/emergency.

The Calendar is pretty empty at this point, but the inservice week is more fleshed out. I’d asked if they could move the District Back to School Event to Thursday, so we could do our all-staff back to school meeting the day classified staff report back, but was shot down on that.

• 2023-24 Class Lists Review – Linked here are the 2023-24 Class Lists for staff to review and make any suggested revisions if you spot any bad combinations or imbalanced classes. • 2023-24 Holt Calendar – Leadership last week added a few dates to the Holt Staff Calendar for next year for the Welcome Assembly and Meet Your Teacher. We’ll discuss the proposed date for Curriculum Night (Tues. Sept. 26th) at the June 6th Staff Meeting.

• 2023-24 District Calendars – Staff were emailed next years Employee Work Year Calendars and also the District Calendar. I’ve had a few people ask about the two Mid-Term Grading Days. Principals asked about these at our meeting last week and our directors had not heard either what the plan is for these days. Principals also asked about the three days off for conferences, wondering whether the expectation is there is 16 hours of conference as in the past or if there’s a new expectation of 24 hours of conferences. Elementary directors were left out of the loop on this one too, so we’ll have to wait to hear what upper district admin says the plan for these dates are.

• REPEAT: Licensed IEP/504 Time Log DUE JUNE 8 – I’ve shared this before, but the Licensed IEP/504 Time Log is for licensed staff to record times you’ve attended IEP and 504 meetings during your prep time or beyond regular work hours. The deadline is to complete the form is June 8th and payment would be on your June 30th paystub. Teachers can receive up to 12 hours compensation.

• Mystery Science Subscription Renewed – There were enough staff wanting Mystery Science for next year, so we will renew the subscription for another year.

• Building Budget Cuts Next Year – If we seemed more free-spending with building funds this year, it’s because we used ESSER funds to cover all the school supplies (paper, materials, copies, etc.), which are what normally eat up most of the building budget. ESSER funds go away next year, so we’ll have to go back to pre-COVID stinginess with the school budget.

• Water Balloon Launch Last Week of School – We have a kind donation from Annie of a ton of waterballoons, so I was thinking we could do something I’ve done in the past. At recess the last week of school, we can have kids stand behind the kickball backstop while any interested staff can come out and hurl water balloons towards waiting students through the chainlink backstop (I have a few water balloon launchers to add to the fun). This way we can control kids not getting too wet. We’ll plan to do this at recesses on Monday the last week of school, so let me know if your grade level would rather we not do this with your classes. All staff are welcome to soak some students if you have a grade level you’d particularly like to get wet!
