Howdy Holt Bolts,

The above meme has been floating around quite a bit this past week, but also keep in mind it’s been 3 years since staff have had a normal school year. Don’t forget to take care of yourselves!

Seventeen items of note for this week:

• PBIS Updates – From your PBIS team. Please review to understand process and procedures this year.

ZAPS
• Green tickets given to student for following a rule, showing kindness, etc
• Frequency: A LOT – give these out!!
• Tickets are placed in the red spinner by the teacher
• Name and room number need to be written legibly.
• During weekly announcements on Mondays, Allan will announce winners from the drawing. (2 students from each grade)
• ZAP’S may also be drawn at an Assembly.
• Some ZAPS have an Electra Instant Winner and those students can instantly pick a Prize (see the office schedule below)
• Students are given a menu of choices for their prize (in the office). More info on menu below.

ORANGE TICKETS
• Given to a class for doing an exceptional job – walking quietly, helping out, listening, etc
• Frequency: as needed but we are trying to earn the prize each month
• Tickets are placed on the Orange You Fantastic wall by teacher (Wall is by the Calming Room)
• When the school earns a particular amount (50 right now) they earn a prize. They are earning an extra recess at this time.
• Sometimes we will work together as a whole school and sometimes by class in which the teacher can choose the reward.
• Allan will announce what prize we are earning and Kim will send out an email to remind teachers as well

HOLT BOLT AWARD
• Given to an individual for outstanding demonstration of character that goes above and beyond just following rules
• Frequency: this is a VERY SPECIAL award that is not given all the time.
• Student receives a certificate to go home

PRIZE MENU
• We know that trinket prizes have some impact and certainly bring happiness to students for a short period of time.
• We also know that experiential rewards can have a longer period of positive reinforcement and the district is moving that direction.
• ZAP winners will go to the office to pick out one of these “non-tangible” prizes at the office. PRIZE COUPON You can use this link to show students what they can earn if their name is drawn.
• Ideas for additional rewards are more than welcome
• OFFICE SCHEDULE: 9 AM and 2 PM (Fridays until 12 PM). No more than 2 students at a time.

GOLDEN TICKET TABLE
• Working within the COVID guidelines for tracking and our capacity to provide the Golden Ticket Table, the following is a starting approach that may be adapted as go along.
• The GOLDEN TICKET is a prize option on the PRIZE COUPON list for the ZAP drawing each Monday.
• The GOLDEN TICKET table is available on Fridays.
• The ZAP drawing will include 2 students from each grade who can choose from the PRIZE COUPON list. If they choose the GOLDEN TICKET, they can choose (2) friends to eat with them at the GOLDEN TICKET TABLE on that Friday. They will also be released first to go to recess.
• GOLDEN TICKETS can only be earned this way. We are not able to accommodate other options (like turning in 10 ZAPS) due to the tracking necessary for COVID.

• October 15th PD Update – I shared last week the PD plan for this day was, “Professional Development (5.5 hours), Guest speaker – Race/Equity, SEL Building Specific, Teacher Planning Day” so I asked for details at a last week’s principal meeting and found out downtown got busy did not scheduled a guest speaker and instead are doing a 1-hour district tech webinar and turning the rest of the day over to principals. The ELA adoption committee is meeting, so I won’t be in the building to lead any PD (I’m sure you’re devastated), so the plan for the day will be:

For collaboration team, teams can choose what’s useful for you; planning lessons for students on quarantine (since TOSAs are no longer providing canned lessons), review the library of pre-made Seesaw and Nearpod lessons, begin looking at fall benchmark data, or other tasks useful to your team. I’ll add this to Tuesday’s Staff Meeting agenda to make sure this plan works for folks. I’ll keep you posted if downtown changes anything.

• Monday Announcements Begin This Week – I’ll do announcements this Monday at 8:00, announcing Zapp Winners, the Pledge of Allegiance, and reminders of upcoming events. We have auditions for student announcers this week, so hopefully we’ll have kiddos doing it soon!

• School Picture Day, WEDNESDAY – Shared earlier, lined here is the Picture Day Schedule. Grade levels have been assigned times and teams should decide who takes which of your grade level spots (or if you want us to choose, we can do that too). A few classes had to be given specific times to work around specialists.

• Quarantine Student Lesson Option– I heard another idea one principal gave teachers for students in quarantine. Since the direction states “Teachers send the essential components of their daily in class learning and activities as a Seesaw assignment.” one school has teachers simply sending that day’s Journeys story and/or activity through ThinkCentral and the LearnZillion video for that day’s lesson. Other options shared earlier are using the TOSA created 10-day lessons, which are good through October 15th (found on the 4J Student Quarantine Extended Absences K-5 doc) or sending out the Monthly Library Choice Board from District Librarian Amy Page.

• Site Council Reps – Our first Site Council Meeting of the year is next week. There are 5 licensed reps and 3 classified rep positions. Rep positions are 2-year terms, though I don’t recall who was on year-one or year-two, but I do know we have at least one classified and one licensed rep opening. There were only two classified reps last year and Kristina was one of the licensed reps. If other reps can let me know if you are on year-one or year-two, we can decide how many open positions we have. Classified reps were Jackie and Lisa. Licensed reps were Geoff, Jenny, Kristina, Leslie , and Liz. I’ll add this to the Tuesday Staff Meeting Agenda as a check-in item.

• Classified Meetings are Back! – I’d originally had these on the calendar for the first Friday of each month, but then took them off when Friday PDs got scheduled on top of them, but since those on pause I’ve added Classified Staff Meetings back to the calendar, though it’ll be the second Friday for October. See a separate email for that agenda.

• 2019-2020 Mandatory Elementary School Bus Safety Training – The state requires all students, even non-bus riders, to receive instructions on bus safety before the end of December 2021. Linked here is a Bus Training Info Sheet (English and Spanish) and Emergency Exits Handout sent to principals, but all classroom teachers need to do is show a bus safety video. There’s the  Newer Bus Evacuation Training Video or the quaint 1990s relic The Safest Way Out. Teachers then let me know the date you showed the video for the report I have to submit to Transportation.

• Walk+Roll to School Day, WEDNESDAY – Get your students pumped for our first Walk & Roll to School Day! All students are encourage to walk, bike, carpool or ride the bus to school. If they live a long way from school, they could try parking a ten minute walk from school and walking the rest of the way. Older students can walk on their own. Younger students will need to walk or bike with an adult. The goal is to reduce traffic and pollution around our school and to promote physical activity for students. Students who ride the bus are doing their part by participating in the biggest carpool of all.

• Staffing Updates – Two staffing updates:

• Kyla Lenker (COVID Utility EA) – Kyla is set to start this Wednesday. She’ll work out of the Calming Room with Kim and Max.

• Emergency Sub Licenses – Classified subs now only need a high school diploma, so if you know of anyone interested in applying for the sub pool, please refer them to the 4J Jobs website.

• TalentEd Professional Goals – There’s been talk by downtown about reducing TalentEd tasks, so I’m going to ask at the principals’ meeting on Monday if licensed goals are required or not. If they are required, I’ll schedule a time for a group of interested teachers to come up with optional building goals teachers can use if they want. Stay tuned.

• Safety Week Feedback – Let me know if you have any feedback that would make any drill we did last week go smoother, whether it’s changing around evacuation lines, flow exiting the building, or anything else.

• 4J Nutrition Services Updates – This Nutrition Services Update was shared with principals in response to last minute menu changes. The short version is there are supply chain issues and menus are having to unexpectedly change when items aren’t getting delivered. The other piece of info is they are not taking any requests from buildings at this time while they sort through their current set of problems (I was one of the troublemakers who last week contacted them about bringing back chocolate milk for kids).

• Student iPads Potentially Staying at School – Principals got fired up last week about having to send home iPads daily and the issues it’s creating. In response, downtown is now looking at how best to address these issues. More to follow.

• Updated 4J COVID Reporting Process – If you’re interested, the linked COVID Reporting Email and Docs were sent to principals and office staff regarding how and when to report suspected COVIC cases. The short version is we report if a student is COVID positive or has been a close contact to someone who is COVID positive, but we DO NOT report if a student has primary COVID symptoms or if a student is taking a COVID test and does not have any symptoms.

• Taking Small Steps Toward Equity – It can be difficult to know how to keep going with equity work, but starting with culturally responsive teaching is helpful in getting past, “Okay, I get it… what do I do now?” See this Edutopia Article for ideas on diversifying explicit the curriculum as well as diversifying implicit curriculum. Making small changes can make a big difference.

Greetings Holt Staff,

Nineteen items of note for this week:

• Staffing Updates – Four staffing updates:

• Michael Larsen (CLC Teacher) – Regular Holt sub, Michael Larsen is taking Kristina’s spot at our CLC Teacher. Michael has a Masters Degree in Special Education and prior to teaching worked as a CLC EA. To help with the transition, Michael will start on Monday and will overlap with Kristina through her last day on September 30th.

• Max Taylor (Behavior EA) – Max was hired as our new Behavior EA and started last Friday. He recently graduated from the UO with a Sociology Degree and has experience working as an office assistant at Chavez.

• Kyla Lenker (Utility COVID EA) – Kyla joins us as our Utility COVID EA. She has an Elementary Education degree and most recently worked as an EA in Junction City. Before that she worked as an inclusion specialist with middle to college-aged individuals experiencing DD. Kyla has an intake meeting with HR later this week and should be able to start soon after.

• Student Office Assistant (Anna Moore) – Sheldon High School student and former Holt student Anna Moore will be our new Student Office Assistant. We’re still working out her exact hours and start date, but she should be starting soon.

• Walk+Roll to School Day – Not this week, but next week on Wednesday, October 6th is Walk & Roll Day! Please encourage your students to walk, bike, carpool or ride the bus to school. • Rainy Day Arrival Plan – This is Oregon, so we’re only going to do the rainy day arrival plan if it’s an downpour. However, if we do get a downpour, here where grade level cohorts will be stationed and who will be supervising:

• Updated Inside Recess Supervision Plan – Related to the above, linked here is the Updated Supervision Schedule, which includes a revised inside recess supervision schedule for where recess supervisors are stationed.

• COVID & Quarantine Updates – Holt has not had any positive staff or students at school yet, but it’s only a matter of time before we a class or groups of students and/or staff have to quarantine while we contact trace. Talking to other principals who’ve had to do this, please take note:

• COVID Cleaning Update – I asked at a principals’ meeting about the discrepancy between what custodians were told and what’s in the district COVID-19 Communicable Disease Plan and the COVID-19 Infection Prevention Cleaning and Disinfecting Protocols. I’m not totally satisfied with the answer since I still see discrepancies, but an email from the custodial manager said the plans and practices are aligned.

• Seating Charts to Allan ASAP – If you have not already, give me your seating chart as soon as possible. This also goes for PE, Music, Title, and SPED groups. Paper or electronic copies are fine.

• 6-feet apart if you don’t want to quarantine – If you have a COVID positive student, any student who were within 6-feet of them for for 15-minutes cumulative time over the day will also need to quarantine. This also applies to staff, so keep yourself and students 6-feet apart whenever you can if you want to avoid dealing with quarantines.

• Do staff quarantine after a close contact? – If a staff member is fully vaccinated and was identified as a close contact, they DO NOT need to quarantine unless they are presenting COVID symptoms (Fever > 100.4, cough, shortness of breath, chills, difficulty breathing, or new loss of taste/smell) and continue work as normal.

• How long do students quarantine after a close contact? – When kids are quarantined individually either through exposure at school or at home, they cannot return for 14 days.

• What happens when an entire class has to quarantine? – Linked here is the full doc of What happens when a positive case has been identified? but here is the short version:

Day 1 – Asynchronous lessons from classroom teacher
Day 2+ (if necessary) – Synchronous lessons from classroom teacher, following the K-5 Connect Schedule
Day 3 – Students NOT identified as close contacts return for in-person learning

• What happens when individual students have to quarantine? – Also on the What happens when a positive case has been identified? doc is this full answer, but below is the short version:

1. Teachers send parents the Family Quarantine Letter (edited to fit how you are sharing lessons).

2. Teachers provide students lessons by either Option A: Send the essential components of your daily in class learning and activities as a Seesaw assignment or Option B: Until Oct 15, assign students the pre-made lessons created by TOSAs (linked on the above doc).

3. Students may access a district teacher (not their brick and mortar teacher) during office hours (links and times are in the above doc).

4. Communicate and collaborate with case manager for any student on an IEP or 504 or ELD.

• Student Quarantine Extended Absences K-5 – A longer more detailed version of the above is described in the Grades K-5 Student Quarantine & Extended Absence Process I shared last week. The following Teacher Quarantine Flow Chart has also been created to assist teachers with this process, which includes details on preparing students now before a quarantine, what happens for a whole class quarantine, and for individual student quarantines.

• How do I know if a student is on quarantine? – I shared this earlier, but as a reminder, if a student has a little grey house next to their name on your Synergy seating chart, that student is on quarantine. District contact tracers are sometimes slow to update this, so just ask myself or office staff if you’re wondering about a particular situation. 

• DUE: Classified & Licensed Self Assessment & Goals – All staff, both classified and licensed, need to complete a self assessment in TalentEd by September 30th. Licensed staff need to also complete a Goals Development Form by October 30th, which later next month we can develop some optional building goals people can use.

For the self reflection ratings, how I evaluate staff on the 1 – 4 scale is a 3 is the target. If you’re a 3 (Effective), you’d doing a solid job. If you’re a 4 (Exemplary), you should be going around the school district teaching other staff that area. A 2 (Area for Growth) is not necessarily a bad thing. It just mean there is room for improvement. For myself, I can think of lots of areas I know I can get better at.

• iPad Charging Options – If teachers want a charing stating in your classroom Brian got his hands on some extra chargers and there are a couple options:

• COW Cart w/Chargers – Long term, I think we’ll be able to keep iPads at school and won’t be required to send them home daily, so COW carts are probably the best long term solution. Brian can wire a cart with about 5-chargers for now (chargers are on backorder and can be fully wired up with chargers later).

• Power Strip w/Chargers – Short term, if you’re tight on classroom space right now, a power strip with 5 chargers hooked up might work better for now. If you’d like this option, also let me know how long of a cord you’ll want for your power strip.

Teachers should let me know if you’d like one of these options.

• Second Step Tips – In addition to the digital resources I shared last week (let me know if you didn’t get access), each grade level should have at least one physical kit, as well as the bullying prevention unit materials. • Site Based Safety Committee – 4J has been out of compliance regarding state requirements for building Safety Committees. Myself, Kim, and Darla will make up the team, but I wanted to open it up to anyone else who would like to join. Linked here is a Safety Committee Email from Brooke Wagner with a description of committee and committee member obligations. Let me know by the end of the week if you’d like to join or if you have any questions.

• Friday Afternoons – I shared earlier that I’m pushing pause on Wednesday and Friday PD/PLCs, but downtown officially told principals October 1st should be 1-hour of protected prep and the remaining time in the afternoon should be protected for teachers to create asynchronous content that can be used by students in quarantine.

• Student Birthday Treats – I’m putting this in Monday’s Quick News, but for health and safety reasons we cannot allow families to send swag bags or gifts to students on someone’s birthday. We can allow pre-packaged foods, such as store-bought cupcakes, popsicles, or individually packaged treats.

• Chairs Up at End of Day – A reminder to staff, please have students put chairs up at the end of the day.

• October 15th PD – A few people have ask what the plan is for the Friday, October 15th PD Day. All that’s been shared with principals is “Professional Development (5.5 hours), Guest speaker – Race/Equity, SEL Building Specific, Teacher Planning Day.” So now you know as much as I do.

• Highly Qualified recruitment change for SPED EAs – To open up the classified candidate pool, HR Emailed principal they are no longer requiring applicants for SPED EA vacancies to meet HQ standards, which is a minimum two years of college. I’ve heard rumors this may soon apply to general EA positions as well, so if you know of anyone good out there who couldn’t apply for position before that they should do so now, whether it’s for a permanent job or as a sub. UPDATE: HR Emailed principals Sunday that beginning immediately, ALL educational assistant candidates who are at least 18 years of age and have a high school diploma or equivalent, will be referred to hiring administrators for consideration.

• Licensed Rover SubsHR Emailed principals they have hired 5 “rover” subs who will fill any unfilled sub jobs, which have been rampant across 4J. They plan to hire 5 more. If there are days where there are no unfilled licensed sub jobs, they’ll be assigned to any unfilled classified sub jobs.

• REPEAT: EEF Grant Applications DUE NEXT WEEKEEF Grant Application are due Friday next week. No one has brought a grant to me yet, so unless someone tells me this week they want to submit a grant, I’ll plan to recycle some old grants for books, PBIS stuff, and various supplies.

Hey Everyone,

Hope you all had a good 3-day weekend.

Twenty items of note for this week:

• Staffing Updates – Three staffing updates:

• Title 1 EA Updates – Lori Tingue was hired last week as a 2nd grade teacher at Gilham, so instead of reposting for her position, we’ve taken her hours and reallocated them to Annie, Ben, and Iris and have shuffled the EA schedule around a bit.

• Behavior EA Vacancy – Our 6.5-hour Behavior EA Job Posting closes this Tuesday, September 8th, so please encourage anyone you know who’d be good (or even someone who is simply teachable) to apply.

• Classified Sub Shortage – We have one unfilled EA sub job in AESOP are if you know any subs who are available. It’s for Jason Martinez in the CLC while he’s on his parental leave.

• Virtual Meet Your Teacher, WED (KG) & THURS (1-5) @12:00 – The Zoom link is on the Staff and Family Zimbra Calendar. Kinder does theirs on Wednesday at 12:00. Grades 1-5 will be Thursday at 12:00. My plan is to welcome families, have teachers introduce themselves (and maybe name a favorite book to read to students), do a review of arrival/dismissal procedures, what to bring to school, and some covid safety procedures. Next I’ll send people to breakout rooms for 15-minutes, at the end of which I’ll close all breakout rooms, do a short wrap up (GO, BOLTS!), and then I’ll stay on to answer any questions.

• Kinderzone Plans – The Kindergarten Team has already connected with staff where you’ll be helping this day, but linked here is the Fall 2021 Kinderzone Plan.

• Enrollment Updates – At the start of August we were 104 students below our projection of 529, but now we’re around 60 under projection and downtown will hopefully release the 9 kinders on our wait list. Nearly every school in 4J is under projection and we are far from the lowest. If you’re interested, linked here is the District Enrollment as of 09/03/2021.

• Meals Change of Plan – Principals got a message late Friday that 4J is pivoting to eating meals outdoors and that more details are forthcoming. That’s about all I know, meaning we don’t know if this means both breakfast and lunch, for how long we’ll be doing this, what’s the plan when it’s raining, what’s the plan when air quality is hazardous, and not to mention how kindergartners would make it from the cafeteria to the covered play area without spilling their trays. There’s an Elementary Principals’ Meeting Wednesday morning, so hopefully we’ll get additional details then (the day before kindergarten’s first day). Stay tuned.

• Transportation Updates – Schools do not have their morning bus arrival times yet, but 4J’s Find My Bus Stop website is now live for families. I’m planning to call Transportation on Tuesday if I don’t hear from them over the weekend about bus arrival times. More to come.

• Meeting Schedules – Due to the above two items and the “Golden Hour” of prep moved to Fridays and PLCs to Wednesday, on the Leadership Team agenda for Tuesday is to look at revising our meeting schedule. We need to shift our Wednesday meetings to either Tuesday or Thursday (I lean toward Tuesdays). I’m also going to propose we go down to one Staff Meeting a month. Since we’re now meeting twice a week, I figure we can add some business items to those meetings. Also, so that teachers get their guaranteed amount of prep, the length of afternoon meetings may be shortened depending upon when buses arrive and when teacher begin supervision students in the morning. Downtown is requiring teachers get 20-minutes of prep at the start of the day before supervising students. So more to come on this topic as well.

• Tech Updates – Four technology related updates:

• iPads Distribution for New Students – Teachers will give students new to Holt their iPads and chargers on their first day of class. If students new to Holt are coming from another 4J school, they should already have an iPad. Student devices are tracked using Learn21, the districtwide device management system. Brian has a bunch of iPads ready to go. Our plan is to checkout iPads to the new student in Learn21, put a sticky note with their name on it, and give those to teachers to distribute the first day of school. All kindergartners will get new iPads and all 3rd graders will get a new iPad with a keyboard case once they return their 2nd grade iPad (grade 3-5 iPads have a keyboard case).

• Headphones Replacements – Brian has a stash of headphones for all new students as well as for students who lost or broke their headphones over the summer. I’d advise students keep their headphones at school, but teachers may send them home if you choose.

• Seesaw Updates – Justin Huntley and his team were able to go into Clever to activate the Seesaw tile district-wide. This means if a student logins in using their QR code, they’ll be able to see the Clever page and the Seesaw title is back on there. Furthermore, Justin will be setting up our specialist in Seesaw this week.

• EdTech Subscriptions & Tools – If you missed it in the flurry of last week’s tidal wave of PD, here are all of the district purchased EdTech Subscriptions and Tools. Not on the list, we also have a subscription to BrainPOP through December, which is a pretty rad website. Be sure to check that one out and maybe the district will get BrainPOP Jr. and BrainPOP Español if enough people use it. Also, don’t forget GoNoodle Plus is free to educators this school year if you sign-up.

 

• Missing Classroom Materials Inventory – In the spring, teachers filled out a Materials Inventory Survey. If you have any updates, additional missing materials or or newly discovered excess curriculum materials, please submit an update in the above survey or email me directly with your update. If you need to review what you submitted in the spring, here is the Spring Materials Inventory Results.

• Wear Your Holt Shirt FRIDAY! – The normal spirit day is Wednesday for wearing your Holt shirt, but everyone should wear your new green Holt shirt this Friday for the first day of school where we’ll have all K-5 students in the building!

• Updated School Map – Linked here is an Updated 21-22 Holt School Map of where folks are working this year. Let me know if you spot anything that looks wrong. This doc can also be found on the Staff Google Drive under MISC > Maps.

• Skipped Videos from Friday PD – The COVID Protocols went longer than I’d expected, so I skipped a couple videos at Friday’s Staff Meeting, but if you’d like to watch them or the two documentaries that were mentioned during Learning for All, see below!

• Care and Connection Resources – SSD Collaboration Facilitators put together these Care and Connection Resources for teachers to use with students during the first week of school. Some are a little too worksheet-like for my taste, but there’s also some really good stuff in there worth checking out.

• Color Printing – If teachers need to print in color, please contact Melanie. The office copier is the only one in the building that prints in color, but this printer hasn’t been added to staff laptops because the office copier is often loaded with labels, special paper, or is needed to copy materials for parents waiting to register children and we don’t want large jobs being sent to it. Also try to avoid printing class sets in color unless it’s a for special purpose or event.

• K-5 Connect & EOA – Families who submitted interest in the online pathways have until Thursday, September 9th to confirm they are enrolling.

• Updated District Retention Policy – 4J has unofficially used this process the past few years, but linked here is the updated 4J Grade Placement and Retention of Students Policy. In the past it was simply principal decision, but the new policy makes it more of a team decision, similar to an IEP eligibility process.

• REPEAT: Classified & Licensed Self Assessment & Goals – All staff, both classified and licensed, need to complete a self assessment in TalentEd by September 30th. Licensed staff need to also complete a Goals Development Form by October 30th, which later next month we can develop some optional building goals people can use.

• REPEAT: EEF 2021-2022 Grant Applications DUE OCT 1stEEF Grant Application are due October 8th, 2021. Before submitting grants online, let me know your grant title and idea so Site Council can rank order grant submission (no need to do a full write up for this step). Let me know if you have any questions or care to discuss grant ideas.

• VIDEO: Starting Each Class With A Warm Welcome – One last video I passed over during our PD last Friday is a really good one, so I’m ending this week’s blog to highlight it. Keep in mind that a good welcoming activity is also a proactive classroom management strategy. It builds class community, establishes a sense of shared values, and makes everyone feel included. It can be as simple as a smile and greeting students by name as they enter the classroom, but it makes a HUGE difference. :)

Hello Holt Staff,

Welcome back to the 2021-2022 school year! If you hadn’t read my prior announcement from earlier this month, be sure to go back and review those for info about this school year.

Sixteen items of note for this week:

• Staffing Updates – Three staffing updates:

• Staffing Reduction – Last Thursday I was notified Holt was being reduced by one full-time teacher due to under-enrollment (nine other schools also lost 1-2 teachers each), but since Ashley Wolf is joining Eugene Online Academy (EOA), we do not have to displace anyone. However, we did need to shift someone into Ashley’s 2nd grade position. Downtown suggested and I agreed that one of our four 1st grade teachers should move into that position, so the 1st grade team met on Friday and Lisa volunteered to take Ashley’s spot. Thank you, Lisa.

In terms of overall enrollment, we were projected at 529 students and currently have 440 enrolled, which puts us 89 students under-projection. We only had 37 students request to go online (ten at 1st grade, four at KG, nine at 2nd, four at 3rd & 4th, and eight at 5th), which is fewer than most schools our size.

• Behavior EA Vacancy – Mandy has been offered a position with more hours at Spencer Butte Middle School, so we have a vacant Behavior EA position. HR said they would get the position posted this week, so if you know of anyone good who wants a 6.5-hour position, please encourage them to apply.

• BEST Updates – Holt is slated to open a BEST After School Program this fall, but 4J is having a hard time filling vacancies for even existing BEST programs. Right now there are five BEST Coordinator vacancies out of seven programs. If it comes down to it, downtown is rightfully going to prioritize existing programs over new ones, so it’s a possibility we may have to wait another year before we get BEST at Holt. I have mixed feelings on this. I’m disappointed we won’t have this additional support for students, but I’m also a little relieved at not having to coordinate one more new thing. I’ll update folks as I find out more. Job postings for a BEST Coordinator, Assistant, and EA positions are on the 4J Jobs Website if you or anyone you know is interested.

• Class Lists Update – Not in my blog, but attached in my email is a spreadsheet of of students who chose EOA or 4J K-5 Connect. 2021-2022 Class Lists should be updated by Wednesday at noon. Sending and receiving grade levels should connect regarding who, when, and how you want to update your lists. Let me know if you’d like me to be a part of any class list meetings or discussions.

• “Golden Hour” and Meeting Schedule Updates – I’ve added this to Monday’s agenda, but the “Golden Hour” is no longer on Mondays and is back on Fridays, but schools need to decide if they want the PLC and district PD to happen on Wednesdays or Fridays. Below is what was shared with principals on Friday.

Building Schedule – The feedback was exceptionally valuable in developing the following guidelines. Please note, the 60 minutes of continuous prep is being scheduled for Friday this year only.

• 60 minutes of continuous prep must be provided on Friday this year.
• At least 20 minutes of daily prep must happen prior to teachers supervising students.
• Building decides how much morning transition time is necessary to bring kids in the building, get them breakfast and off to the classroom. (At least 10 minutes)
• PLC weekly (Wednesday or Friday).
• Professional development in ACT and building priorities weekly (Wednesday or Friday).
• No administrator initiated meetings on Monday.
• Building and staff meetings can happen on Tuesdays and Thursdays.

• School Supplies for 2021-2022 – School Supplies are being provided by downtown. They are in the library and teachers should take what you need, but not more (no hoarding). If grade levels need additional items not purchased by the district, connect with Melanie.

• COVID Protocol Updates – Six COVID Protocol updates of note:

• 2021-2022 Elementary FAQ – The school district as created a 2021-2022 Elementary FAQ. It’s a pretty exhaustive document, but let me know if you have any questions about protocols or if there are questions you have it does not answer. Additional info can be found on the previously shared 4J COVID Rules – Visitors, Volunteers & Field Trips.

• PE and Music Protocols – I’ve already shared this with Alex and Ashley, but if you’re interested in the guidelines for PE and Music this year, they are:

• Students must maintain 3-feet physical distance “to the extent possible.”
• Masks must be worn inside the building.
• Masks are not required outside.
• Staff do not need to clean surfaces or equipment between groups (We’re not seeing spread via surfaces).
• Every student washes hands or uses hand sanitizer leaving PE or Music (we’ll station a hand sanitizer station in the hall outside Music and PE hallway).
• No wind instruments in Music.
• Singing with masks on is allowed.

• Breakfast Update – Student will need to collect their breakfasts at the exterior building entrances and not at classrooms. This is due to 4J being out of compliance with Federal Meals Program rules and Nutrition Services likely being audited this year.

• Restroom Cohorting – Each wing should use the same restrooms they were assigned in the spring (see linked Cohort Map), but we do not need to use these restrooms during lunch or recess.

• COVID Testing Partnership with UO – I don’t yet have all the details yet, but 4J schools are participating in a voluntary COVID testing system with the UO where students can choose to be tested weekly at home. Our only role would be to distribute test kits and later ship the returned tests to the UO. Linked here is a Program Flyer.

• New Water Bottles – We did purple last year and this year we have green. They should hopefully arrive next week.

• Inservice Schedule Updates – I’ve sent updated Staff Meeting Agendas in a separate email for the principal led portions of inservice week. Zoom links are now all on the Staff Zimbra Calendar. For the all-district PD where everyone is joining the same Zoom (Keynote, ELA + Math Acceleration, and Literacy PD), downtown is hoping schools and/or grade level teams will watch one Zoom feed. Last spring when everyone joined separately, it caused some lagging issues. Here are some additional inservice week reminders and info:

• REPEAT; Single Student Desk Raffle! – The single student desks are to arrive Tuesday morning. We have enough desks for 8 (maybe 9) classrooms. Add your name to the Single Desk Lottery Google Form if you’d like something other than your current desks.

• REPEAT: Breakfast Burrito Orders Due 8/31 – Want a delicious breakfast burrito on Friday? Fill out the linked Breakfast Burrito Google Form by 9:00am, Tuesday, August 31st (student teachers included). You’ll need to log onto your 4J Google Account to complete the form. • Keynote Speaker: Keith Jones – See the YouTube video Keith Jones: Un-Rapping Disability to learn about this year’s Keynote speaker, Keith Jones, a musician and disability rights advocate.

• GoNoodle Plus is FREE! – GoNoodle Plus is Free to all educators for the 2021-2022 school year. See the GoNoodle News Release for info, but just sign up for an account to get in on the deal.

• LTD Bus Passes for Students – This program is more utilized by middle and high school, but free bus passes are available for all 4J students. If you know of a student who could use this, let me know and I can arrange for them to get a free pass. Additional information can be found on the LTD Website.

• FREE Program: Architects in Schools – Free design program for 3-5th – Architects in Schools (AiS) provides free architecture and design programming to 3rd-5th grade students and teachers. AiS materials can link to almost any classroom subject and is proven to be most impactful among low-income students, ELL students, and non-traditional learners, and reinvigorates student interest in school. If teachers are interested in using this program, see the linked AiS Flyer, Application Info, and Teacher Application. The deadline to apply is October 22nd.

• REPEAT: Who is A/B and C/D on the Schedule? – If you haven’t already, grade level teams should let me know which classes will follow the A, B, C, or D schedules and I’ll add names to the Master Schedule and PE/Music Schedule.

Howdy Everyone,

The countdown to school has begun.

Thirteen items of note for this week:

• Staffing Updates – Two staffing update for this week and we are now fully staffed for the year!

• Annie Carpenter (4-hour EA) – Annie is currently working as a Life Skills EA at ESY (Extended School Year Summer Program) and prior to that she was the Hybrid Utility EA at Awbrey Park. Before that she worked as an elementary EA in Veneta and way before that, I was her principal at Yujin Gakuen (I’m old). Please welcome Annie to Team Holt!

• Holt BEST EA Job Opportunities – If any classified staff are looking for additional hours, or if you know of anyone good, there are two job posting up right now, Program Coordinator Assistant, BEST Afterschool Program (closes 8/24) and Educational Assistant, BEST Afterschool (closes 9/5). Holt will get a BEST Afterschool Program this year and are partnering with YMCA, where the programs will serve 50-80 students and run until 5:30 or 6:00, five days a week, also proving students with a dinner.

• Inservice Schedule Updates – I’ve sent the Staff Meeting Agendas in a separate email for portions of inservice week that I’m in charge of. The most current dates and times are at the bottom of my announcements and also on the Staff Zimbra Calendar. Downtown made a few changes to the week, including adding an optional KinderZone Meeting on Monday (in-person), a Heggery training for 2nd grade Tuesday (Zoom), a meeting on Thursday for SSD Staff (Zoom), a Heggerty Training for New EAs on Friday (Zoom), and I added a Leadership Team Meeting on 9/7 to touch base with last year’s team. Downtown hasn’t sent all of the Zoom links the district-led PDs, but I will add them to the Staff Zimbra Calendar as they come in. Here are some additional inservice week items of note:

• K-1 & Title EA Heggerty PD – Noted above, any K-2 or Title 1 EA who has not participated in a previous Heggerty training should attend one of the Zoom sessions on Friday, September 3rd at 8:00-9:50 or 10:00-11:50. Anyone wanting a refresher is also welcome to attend. Zoom links are on the Staff Zimbra Calendar.

• Optional Q&A Session for New Staff, Wednesdays @9:00 – I’ll be available Wednesday 9/1 and 9/ 11 at 1:00 in the library to check-in, answer questions, or provide any assistance for new staff. I can get busy during inservice week, so I like to set aside a time when I’ll be available for new staff. You can also always email, text, or call.

• Transition Day 9/9 – Thursday, September 9th will be a day for kindergarten only to be in the building. It’ll be all-hand-on-deck for helping this day. Classified staff will push into classrooms as well as licensed staff, though if classroom teachers want to use this day for personal phone calls to connect with families, that is an acceptable alternative. This item is also on the BTS Meeting Agenda.

• Care and Connection Week – ODE is asking schools to focus on Care and Connection the first week students return, and also for the first week when staff return, which is why I’ve hacked off and impressed some of the PD time, so people have more time to plan and prep. I think it’s pretty clear staff will need extra time to plan since you can’t recycle your usual start-of-the-year activities since this is not a usual start-of-the-year. If you’re interested, there are some resources on the ODE Care and Connection Week Website.

• ArtSpark Artist in Residence Survey – Holt will get two Artist Residencies this year funded by ArtSpark. One big change is we can choose from both visual and performing arts artists, which means we can ask for artist who do dance, drama, or music. I want to get your preferences early, so we can lock in an artist and date before the good ones are taken. Please fill out the linked Artist in Residence Survey to help start the conversation when we make a final decision at our Back-to-School Staff Meeting.

• REPEAT: Breakfast Burrito Orders Due 8/31 – Want a delicious breakfast burrito for our first meeting back with the whole gang together again? Fill out the linked Breakfast Burrito Google Form by 9:00am August 31st and I’ll have a hot burrito waiting for you Friday morning. You’ll need to log onto your 4J Google Account to complete the form. I’ll also have food for folks the first day licensed staff report back (8/30) and also the first day classified staff report back (9/2). Let me know if you have any trouble with the form and I can input it for you.

• Single Student Desk Raffle! – The single student desks are supposed to arrive this week! We have enough desks for 8 (maybe 9) classrooms. Please add your name to the Single Desk Lottery Google Form if you’d like something other than your current desks. A few classrooms already have some older single desks, so if any of those teachers win this raffle, their old single desks will be added to the raffle at the end.

 

• COVID Updates – The latest RSSL has come out and and downtown is mostly solid in their COVID protocols. For the most part, protocols are the same as in the spring, except we have 3-feet physical distancing instead of 6-feet, staff must wear masks at all times unless in a room by themselves (with a few exceptions), and masks are not required outside. Let me know if you have questions or if there are questions I should ask.

• Updated Class Capacity – Taking into account the new 3-foot instead of 6-feet distance guideline, linked here is the Updated Holt Classroom Capacity Sheet. I’ll update numbers posted on classroom doors this week. Looking at current Student Totals, 2nd, 3rd, 4th, and 5th grade will be slightly over capacity. I’ve notified Jeff and Melissa about this, but the exact language of the RSSL advises for “maintaining at least 3 feet of physical distancing to the extent possible.”

• Open House, Not Allowed – Parent, volunteers, and other “non-essential” volunteers are not allowed inside schools, so that means no Open House. However, I am putting on the 8/30 Meeting Agenda to discuss if we want to do some kind of virtual open house, maybe individual class Zooms, or one big schoolwide Zoom where we introduce staff and then parents can pepper me with questions, or maybe just stick with a welcome email when we email class lists (see next item).

• Class List Email 9/3 @3:00 – We’ll likely need to update Class Lists once we see who all is going to EOA or 4J K-5 Connect, which I predict will not be as many students as last year. We’ll get that list sometime later this week, but the district class list notification process will be the same as last year, with all classroom teachers sending a welcome email at the same time, which will be on Friday, September 3rd at 3:00pm. I’d advise folks to “schedule” your emails in Zimbra, so you don’t have to worry about hitting send two something times at 3:00. Let me know if you’d like me to show you how to use the schedule feature.

• Breakfast & Lunch – Breakfasts will be as we did them in the spring. Grab-and-go meals which students will eat in the classroom. Lunches will be eaten the cafeteria, but classrooms will have assigned tables and students will have spots 3-feet apart. Linked here is the 4J Breakfast & Lunch Consideration Doc if you want all the details. This doc says to pass out breakfast at entrances, but I’m going to check if we can do it how we did last year in classrooms, since that was folks preference.

• Area Carpets are Coming Back! – You won’t be able to seat your entire class on the carpet at once with the 3-foot rule, but teachers are allowed to have their carpets back in class.

• Separate Supplies for Students – There has not been a lot of transmission over surfaces, but 4J is playing it safe and all students should have their own supplies, using either desk cubbies or the book boxes from last year to store items.

• Mask Lanyards for All Students – Downtown purchased mask lanyards for all students, which should help when students transition from indoors to recess or other outside activities.

• Water Bottles are Coming – I ordered a new set of water bottles for students since drinking fountains are still off limits.

• Other Questions? – When I get a chance, I’m going to update the Holt COVID Protocol Handbook and will share that soon, but what are we forgetting? What haven’t we thought of? I’ve already gotten some good questions from folks, so keep them coming. A few lingering questions downtown is still working out include:

• If a student has to quarantine for two week, do they go to EOA, get a paper packet, Zoom into their classroom, or something else?
• If breakfast is in the classroom, what time are schools letting students in so that teachers don’t lose contractually guaranteed prep time?
• If we’re not as worried about transmission over surfaces, does that mean we do not need to assign cohorts to specific restrooms?
• Can we offer on-site tuition based after school programs, such as Young Rembrandts?

• Podcast Suggestion: Jessica Lahey on Armchair Expert – Candace shared this Armchair Expert Podcast Episode (Spotify) with me where Dax Shepard interviews Jessica Lahey, a teacher and author. She speaks primarily about parenting, but nearly all of her advice also applies to teaching. Next time you’re working in your room, think about putting this podcast on in the background. It’s full of good advice.

Hello Fellow Holt Bolts,

Hope you’re enjoying your final two weeks of summer. Although I’ve been back at work since July, I’m still getting time in to read and watch some good TV & movies. Best book of the summer was Quentin Tarantino’s novelization of Once Upon a Time in Hollywood, best new shows of the summer were White Lotus and Brand New Cherry Flavor, though both are weird and I’m not sure are for all tastes, and the best movie was re-watching Edward Scissorhands as part of my “film appreciation” course for my children, which was the best received film so far. So although I’m sending you school info, please continue to rest and relax.

Sixteen items of note for this week:

• Staffing Updates – Two staffing updates from last week:

• Temp 1:1 EA Update – SSD changed their mind on this position and decided our 6-week 1:1 EA will be a long term sub job instead of a temp position, but lucky for us Kristina found us a good sub she’s been working with at ESY, Shanen Wentzel-Sheeley, who we’ve secured for this sub job.

• 4-Hour EA Update – We held interviews last week and had a solid pool to pick from. I’m currently waiting for HR to make a job offer.

• In-Service Schedule – Principals now have most all the info for in-service week (minus COVID protocols), so I’ll work on agendas this week and will see how much I can compact the different topics we need to cover. I’ll send out agendas in next week’s announcements, but I should be able to keep things shorter than the district suggested time blocks currently on the calendar. My general plan is for Monday to go over items more relevant to licensed staff and on Friday to go over items relevant to both licensed and classified staff. For Tuesday the following week, I went ahead and deleted the afternoon meeting time, but will leave the morning meeting on the calendar just in case there are any lingering items we need to go over.

• Breakfast Burrito Orders Due 8/31 – Want a delicious breakfast burrito for our first meeting back the whole gang together? Fill out the linked Breakfast Burrito Google Order Form by 9:00am August 31st and I’ll have a hot burrito waiting for you Friday, September 3rd. You’ll need to log onto your 4J Google Account to complete the form. Also, I’ll have food for folks the first day licensed staff report back (8/30) and on the first day classified staff report back (9/2). Let me know if you have any trouble with the form and I can input it for you.

• Open House, Transition Day, Kinderzone, and COVID Protocols – These are all on the calendar, but principals haven’t heard yet how these will look (or if we’re even allowed to have an Open House), which will largely depend upon 4J’s COVID protocols. The latest Ready Schools, Safe Learners Resiliency Framework hasn’t been released, so downtown is having to wait before making a decision on our official COVID plans and protocols. My prediction is we’re going to end up with most of the same safety measures and protocols we followed last year, expect with all students in attendance five days a week and no masks outside.

I was really hoping to start this year with more certainty, but that’s our world right now. Please reach out if you have any thoughts, questions, or concerns.

• Building AccessB, C, and D wings are now available and A wing rooms should be available by the end of the week. UPDATE: I spoke too soon. Furniture is being moved back into classrooms Monday and Tuesday, and hallways will be waxed Wednesday, Thursday, Friday, and dry on Saturday. Wings should be accessible after that. 

• Choose Kindness Grant – One of Holt’s three school rules is to Be Kind and the Eugene Kindness Campaign is offering grants to any school wide kindness projects, so get your wheels turning and share any ideas with me or the PBIS team.

• Mondays are the New Protected Prep Day – Principals found out last week the new “golden hour” of protected planning & prep for licensed staff is on Mondays. Early release will still be on Fridays and those days are now 2-hours of PD/PLC meeting time.

• New Student Synchronous Option – If you’re interested, the latest 4J Parent Newsletter, included information on a new synchronous option for families, separate to EOA, which is largely asynchronous. There’s not a lot of detail on how much synchronous time students will have in the new program, but students in either program will have rights back to their neighborhood school at trimester breaks.

• BrainPop Free for 4J! – Going through Clever, 4J has a free trial for BrainPOP, which is a great app. If you’re not familiar, it’s a collection of quality short animated educational videos on just about every topic you can imagine. The trial goes through December and 4J will most likely purchase a district license if teachers are using it. It’s a nice resource to supplement topics you’re already teaching and is also nice to show just kids during snack time. There are also quiz and response tools, but check it out!

• FREE Webinar: Dismantling Critical Race Theory in K-12 – Tuesday, August 24th via Zoom, 6:00-7:30 Mountain Time (5:00-6:30 Pacific Time) is a free webinar for educators to discuss the controversy surrounding critical race theory. Interested attendees must RSVP via Eventbrite to receive the Zoom Webinar link and password 24 hours before the event. See the above link for details.

Hello Holt Staff,

I won’t say “Welcome Back!” because there’s still three weeks of summer, but I figured I’d share the back-to-school info I have so far. 

For staff new to my weekly Allan’s Announcements, my intention is to send just one all staff email per week, so not to clutter up your inboxes. My hope is that staff read the announcements by the end of the day Tuesday each week (once school starts, that is). Announcements sometimes get long, but I like to err on the side of over-communicating rather than under-communicating. I’d advise staff to read the bold heading for each bulleted item and then decide from there if it applies to you or not.

Sixteen items of note:

• Staffing Updates – Please welcome several new Holt Bolts:

• Sharon Alberts (Office Assistant) – Sharon worked as our Hybrid EA this past year and is Holt’s new Office Assistant, now that Holt is making the shift away from two secretaries to one secretary and one office assistant.

• Ashley Castro (Music) – Ashley comes to us from Norfolk, Virginia, where she taught elementary music before taking time off to have her son and moving out to Oregon.

• Connie Chiakowsky (Nurse) – Connie was Holt’s school nurse in the past and she is returning to us this school year.

Emeli Iris Finn (3-hour EA)Emeli Iris just graduated from the UO with a degree in Communication Disorders & Sciences/Linguistics and is joining us in a newly created EA position.

• Robbie Cortez (Library Assistant/EA) – Robbie comes to us from New Mexico where he taught kindergarten, 1st, 3rd, and 4th grade, as well as has worked as a reading interventionist before relocating to the Eugene area.

• Melanie Pinto (CLC) – Melanie is replacing Cole in the CLC. She was most recently a special education teacher at Coburg Charter and Twin Rivers Charter School. Before that she was a teacher at Chavez.

• Robin Seno (Kindergarten) – Robin Seno most recently taught kindergarten at Yujin Gakuen and before that taught kindergarten at Howard. Robin also taught 3rd grade a number of years in California.

• Robin Vaughan (Kindergarten) – Robin Vaughan most recently taught kindergarten at Howard, but has previously taught 3rd grade and also worked as a Title 1 Coordinator.

• Wendy Williams (Kinder EA) – Wendy comes to us from Yujin Gakuen where she was Kindergarten EA and before that she worked at a Title 1 EA at Fairfield Elementary.

• EA Interview Volunteers – If any of you are willing/interested in helping hire our newest staff members I’m holding interviews this Tuesday, August 10th, 1:00-3:15 for a 4-hour EA position and will also hold interviews for a Temp 1:1 SPED EA on Tuesday, August 24th, 9:00-11:00. If you know of any good candidates for the temp position, please encourage them to apply. The posting should hopefully go this week. This person would support an incoming kindergartner and the position may become permanent depending upon how things go the first six weeks of school. UPDATE: SSD changed their mind and made this a sub job instead.

• In-Service Schedule – Principals just have dates, times, and topics, so I’ll share additional details when I get them, but at the bottom of this email and on the Holt Staff Calendar are what we know so far about the the first two weeks of school. For the PD I’m in charge of I’ll try to keep things useful but succinct so staff can maximize prep time.

• Building Access – Now that Migrant Ed has moved out, Ryan and Ritchie have started working on waxing floors. I’ll post updates on the Staff Zimbra Calendar, but C & D wing are drying and should be open as of Monday and A & B wing should be finished and available by Monday, August 16th, if not earlier.

• 21-22 Master Schedule – The 2021-2022 Master Schedule is linked here and is also on the Holt Staff Dashboard. The master schedule also includes EA Schedules and the PE/Music Schedule broken out.

• Who is A/B and C/D on the Schedule? – Grade level teams should let me know which classes will follow the A, B, C, or D schedules and I’ll add names to the Master Schedule, as well as put names on the PE and Music Schedule.

• Meet Your Teacher, 9/8 @2:00 – With the first day(s) of school later in the week this year, I’ve move the Meet Your Teacher Event later in the week as well to Wednesday, September 8th from 1:00-2:00.

• Transition Day, Sept. 9 – You may have noticed the 4J Elementary School Calendar 2021-22 has “Transition Day for Selected Grades” on Thursday, September 9th. Principals haven’t been told the plan for this day yet, but my guess is it will be an orientation day of sorts for Kindergarten and possibly 1st grade. I’m not sure what the expectation will be for upper grade teachers this day.

• Events for the Calendar? – Are there dates or events we need to add to the calendar? Meetings should all be there, but let me know if there are other Holtober Fest type of events that need to be.

• School Hours – A few people have asked what school hours are this year, but we’re back to regular school hours, which for Holt are:

Monday – Thursday: 7:55-2:25
Friday: 7:55-1:10

• COVID Protocol Updates – If you want to deep dive into what the state is requiring of districts, you can read Ready Schools, Safe Learners Resiliency Framework for the 2021-22 School Year. However, updates are being released soon, so downtown is holding off on announcing decisions just yet on cohorting, arrival/dismissal, meals, etc. For now, follow the current 4J Mask Guidelines (SHORT VERSION: Wear as mask if not vaccine verified or if students are around) and remember to “Badge-In” if you come to school.

• Relationships Matter More Than Rules – I really liked the thesis of this pre-COVID Edutopia Article on the importance of building positive relationships and creating positive community within the classroom at the start of the school year. Meaningful relationships matter for learning. The rules and policies you enforce are important for keeping a well-managed class, but rather than emphasizing control over your students, developing community and connection is a surefire ingredient for a good school year for all. Try the strategies in the above linked article to begin forging strong relationships.

Howdy Holt Bolts,

As weird and awful this school year was, I really did enjoy getting to know everyone and wanted to thank everyone for all your work and for making the best of a (hopefully) once in a lifetime school year.

Twenty-four items of note for this week:

• Class List Review – I’d like all staff to review the 2021-2022 Class Lists to make sure classes look balanced and avoided any bad combinations. I’d especially like for last year’s teachers to review next year’s class lists because this year’s small class sizes may not have been the best representation of student behaviors. (Just ask kindergarten teachers about kinder transition meetings where we’ll hear from Head Start, “They did great in class. They’ll be just fine.” except they forgot to take into account it was a class of 8-10 kids with 4 adults.)

• Materials Inventory Survey DUE WEDNESDAY – Downtown need the Materials Inventory 2021 Form completed by this Wednesday. Since most schools are adding classrooms next year, downtown is requiring an inventory of all core curriculum materials (Journeys, Being a Writer, LearnZillion, Number Talks Books, Second Step, etc.).

• Year End Check-List – Be sure to complete your End of Year Checklist before leaving for the summer. Hard copies were put in mailboxes earlier this month. 

• 21-22 Master Schedule – The 2021-2022 Master Schedule is pretty well set. I’d heard from three teams who requested adjustments, which we were partly able to accommodate. Let me know if there are any other fixes or adjustments that would improve the schedule (without creating other problems). Next we’ll begin building EA schedules and if grade levels are ready, you can let me know which classes will follow the A/B and C/D schedules (thought it’s also fine to wait until fall to decide).

• Monday/Tuesday Field Day Sign-Up – Any licensed or classified staff not directly working with students on Monday or Tuesday should sign-up to help during our two Field Days. Linked here is the Field Day Sign-Up Sheet.

• Rainy Day Field Day PlanNOAA’s Forecast has a 50% chance of rain Monday and Tuesday, so teachers should have a back-up plan (Magic School Bus, anyone?) in case there is a downpour (we’ll stay out if it’s just light rain or drizzle).

• 5th Grade Celebration Sign-Up – Any licensed or classified staff not directly working with students on Thursday should sign-up to help for an hour between 8:55-10:55. Linked here is the 5th Grade Celebration Sign-Up Sheet. You may need to request access to sign up.

• Tech Updates – Three technology related updates:

• Student Summer App Access – Student will continue to have access to all of the apps they’ve used this year until the “August Rollover” when Synergy moves students into their new grades.

• Grade Level iPad Images – If grade level teams want to make any adjustments to your student iPad image (adding, deleting, or rearranging apps or links), send in a ticket to 4jdesktop. This can be done now or in the fall, but Brian is ready to do it now if teams are ready.

• REPEAT: Summer Technology Checkout Form – If you are taking home any school devices (laptop, iPad, doc cam, or other devices) for the summer, please complete the 4J: Technology Equipment Checkout Contract 2020-21. Link is also on the Holt Staff Dashboard.

• Large Print Orders – If anyone is prepping for next year and has large print jobs, be sure to utilize InstaPrint instead of running them on the building copiers. It’s cheaper and it’s also easier on our machines.

• Staffing Updates – Our 6.5-hour Library/Title EA Vacancy posted on Friday and closes June 22nd. Our other openings (EAs 3-hour, 4-hour, 6.5-hour, and Office Assistant) had a total of 76 applicants, so I’m still screening candidates, but I’ll send an email later with final interview date/times for any staff who would like to help pick our newest staff members.

• Birthday & Classroom Celebrations – I put School Birthday Parties on the Leadership Agenda last week to see if we wanted to take the opportunity we had this year to permanently phase these out, but I’ve learned this was already a staff agreement that’s in the Holt Staff Handbook (page 16):

• Birthday parties are not celebrated at school.
• Any celebration in a classroom must follow 4j Wellness Policy if food is present
• If a celebration involves food, even pizza, it must be served following the grade level’s
• lunch period so that students can access full nutritional meals
• Celebrations revolving around birthday treats is discouraged. Currently staff uses their own discretion around other acknowledgements of birthdays since 4j does not have a district policy. The office will not accept deliveries of balloons, flowers, or treats that do not meet district guidelines.

• School Supplies for 2021-2022 – Thank you grade level teams for feedback on supplies not on the district list, but do know that our school supply funds are for items students will use and not teacher items (i.e. containers, organizers, or other teaching materials).

• Desk Update – Here’s a link to the Student Desk and Book Box we’re hopefully ordering. Downtown is slowing the ordering process down, but they’re now telling us we don’t need to receive them by June 30th, so that’s some good news.

• 21/22 Leadership Plan UpdateHR Emailed principals we are now allowed to resume Leadership Plan discussions for next year, but since the contract is currently being negotiated, what plans look like may change. Give that there’s only a week of school left and since leadership plan parameters may change, I think it’s best to save this discussion for the fall. See the above linked email for details.

• Summer K-5 Math Content Workgroup Opportunity (in August) – Interested in being part of a team of teachers to work on resources to support K-5 students as we navigate math next Fall. If so, see this email from Jaimee Massie.

• BEST Staff Openings – The BEST Program will be hiring EAs and also a BEST Site Coordinator for Holt. The district BEST Coordinator told me she thinks the postings will go up in July, so watch for that if you are interested.

• REPEAT: Report Card Info – On the linked Report Card Email, Melanie’s Email, and the Elementary Report Card Blog are the complete details for spring report cards, but the short version is:

JUNE 16: Teachers deliver printed report cards to the office (1 set only back-to-back. Melanie will print the copies for cum files)
JUNE 17: Classified staff stuff report card envelopes (please stop by the office to see how you can help)
JUNE 18: District couriers pick-up report cards from schools
JUNE 21: Report cards sent to EDMS for delivery to families.

The * is an option on the report card for students where there is no basis for a grade. Some report card fields have been pre-populated with a Y. SPED reports should also go to the office and will be mailed if they are four or less pages. Let me know if you have any questions.

• REPEAT: 2nd Grade iPad Return, June 18 – 2nd graders will get a different device in 3rd grade, so we will collect their devices on Friday from 8:00-2:00 (unless they are going to summer school). If you’re able to help with device collection, please add your name to the iPad Collection Sign-Up Spreadsheet. If students from other grades want to return their device, they can also return them this day.

• REPEAT: Olympic Field Day – Spirit Day! – Monday and Tuesday is Olympic Field Day. Teachers should assign a color (Red, Blue, Green, or Yellow) for each student to wear for field day.

Twisted Tale from Disney – Also any new Twisted Tales from Disney publishing I’ll be reading. Those go along the lines of “what if the prince never woke sleeping beauty” or “if Aladdin hadn’t gotten the lamp” Love me some fairy tales. 😊

The Anthropocene Reviewed (Signed Edition): Essays on a Human-Centered Planet by John Green – I’m mostly a non-fiction or lore reader, I just got this book on audiobook and it’s fantastic. You’ve probably heard of John Green (The Fault in Our Stars and Youtuber on Mental Floss), I prefer his science brother Hank more typically, but this is his first venture into non-fiction and he covers a variety of hilarious, interesting, and beautiful stories on humans and their willingness to persevere despite the absurdity and cruelty of the world.

The Living Dead, an unfinished novel by George A. Romero (the man who invented the “rules” for zombies with Night of the Living Dead) and finished by Daniel Kraus, who wrote the Oscar Best Picture winner The Shape of Water.

The Midnight Club by Christopher Pike. I never read any of his books as a kid, but the director of the smart and incredibly scary Netflix series The Haunting of Hill House is adapting this novel, so I want to read the book first.

Devolution: A Firsthand Account of the Rainier Sasquatch Massacre by Max Brooks
From the son of Mel Brooks, who’s other zombie themed books, The Zombie Survival Guide and World War Z, were a fun mix of mock-nonfiction and genuinely original and clever zombie scenarios, so I’m hoping this new book about Bigfoot rides that same fine line between parody and seriousness.

Once Upon a Time in Hollywood: A Novel by Quentin Tarantino – This movie is probably by favorite Tarantino film, though I’ll also say it’s probably his most idiosyncratic and probably his least accessible for the casual viewer, but it is a special treat for hardcore film nerds. Uber film nerd that he is, Tarantino grew up reading film novelizations and decided he wanted to write a novelization of his own movie and I can’t wait to read it when it comes out later this month.

We’re almost to the finish line!

Nineteen items of note for this week:

• Report Card Updates – Principals should get an update on Monday about how report cards will be send home, but what we do know:

Report Card Blog Updated Soon – Brooke is sending me updated info to put on the Elementary Report Card Blog so watch that site for new info, but it currently has a number of nuts-and-bolts resources that are still useful.

Parent Reports Coming Thursday – 4J Data folks told me easyCBM data will be uploaded to the Parent Reports Wednesday, so I’ll print these Thursday for teachers.

Specialists Reports Due Friday – Specialists (PE, Music, Title) should have reports ready by Friday for classroom teachers to stuff envelopes on Grading Day. SPED reports will be emailed to families.

Grading from Home – Teachers should let me know if you’re planning to work from home, but be sure to plan ahead if you need to collaborate with any colleagues on grading.

• School Supplies for 2021-2022 – Teachers should take note in Melanie’s Email regarding school supplies downtown is purchasing for next school year and to let Melanie or I know ASAP if there are supplies you’ll want that are not on the list. If enough schools ask for certain items (such as folders, which are not on the list), then they will consider adding those items.

• Olympic Field Day – Spirit Day! – Not this week, but next week is the final Holt Spirit Day of the Year, it’ll be Olympic Field Day on June 14th (Cohort A) and June 15th (Cohort B). Wear active clothing and athletic shoes for this day of fun! Teachers will assign a color (Red, Blue, Green, or Yellow) for each student to wear for field day and show school spirit by wearing their assigned team color! Go, Bolts!

 

• Wednesday PD/PLC Time (Learning for All) – Shared earlier, principals have not been told what we’re supposed to present this Wednesday, except that the topic 4J’s new “Learning for All” policy, which has all incoming students (kinders and move-ins) with a CLC placement on their IEP now going to their neighborhood schools. This will be a major shift for schools without a CLC, but it’s not going to be much of a shift for Holt except that no new kids will be bused from other schools to our CLCs (current student in the Holt CLC can stay or go to their neighborhood school). Since this is happening during the Sheldon Graduate Car Parade and a number of staff are hoping to give a nice send off to former Holt students, I’ll plan to simply share out the information for people to review on your own.

• SSO Journeys Book Return, WEDNESDAY – In-person hybrid students will return their Journeys books this week (Cohort A Monday and Cohort B Thursday) and SSO students will return their books on Wednesday between 8:00-2:00. We’ll lay out a books on a table in the office vestibule for kids to pick a FREE Book through the window. If you’re available to help at any time, please add your name to the SSO Supply Collection Sign-Up.

• 2nd Grade iPad Return, June 18- Families may keep their borrowed student iPads over the summer, with the exception of 2nd graders who will get a different device in 3rd grade, so we will collect their device on Friday, June 18th from 8:00-2:00 If you’re able to help with device collection, please add your name to the iPad Collection Sign-Up.

A few teachers and parents outside fo 2nd grade have asked if they too can return their iPad and I’ve told them, yes. Not to play telephone, but I heard from someone who heard from someone that all grades are going to return devices, but who knows if that’s true.

• Staffing Updates – Our 6.5-hour Kinder EA, 4-hour EA, 3-hour EA, and Office Assistant positions all close this week. The Library/Title EA position should go up this week. I’m tentatively scheduled interviews Wednesday and Thursday. I’ll know which interview will be which days and times once I see how much overlap there is between the candidate lists.

• Summer Technology Checkout Form – If you are taking home any school devices (laptop, iPad, doc cam, or other devices) for the summer, please complete the 4J: Technology Equipment Checkout Contract 2020-21. I also put the link on the Holt Staff Dashboard.

• BEST at Holt Next Year BEST was originally planned to rollout at Holt this school year, so I’m not sure how much Dan shared with folks, but it’s an after school enrichment program that targets students needing additional academic support and students who safe and stable place to be after school. Most programs serve about 50-80 students and typically run until 5:30 or 6:00, five days a week, proving students with a dinner. BEST sometimes partners with YMCA and run a majority of the program in the gym, cafeteria, and a few classrooms (usually SPED or Title or other areas already set up for small groups). I’ll share more details once I connect with the 4J BEST Afterschool Coordinator.

• Masks & Vaccination Verification – NOT TOO LATE! – A few people asked if it was too late to submit for the vaccine verification so you don’t have to wear a mask when kids aren’t around, and it is not too late. HR updating the verified list daily. HR doesn’t want the link posted publicly, so search your Zimbra for “Face mask requirements Vaccination verification for staff” from Health Services on May 27th to find the link (or ask me to forward it to you.

• Desk Update – Desks are finally getting ordered. School Speciality was being super slow and I was starting to think this wasn’t going to happen, but we’ve placed our order for 260 single desks. Since we have to receive them before June 30th, we had to take what they had in stock and it ended up being a slightly different Single Desk Model that’s a couple inches wider than the demo model we have now. Also, the only wire book baskets they had on hand only had 2-inches height, so I went with the taller enclosed book boxes. The desk height is adjustable and the range is 22”-30”.

• State Update for School in Fall – An ODE News Release from last week stated that students will attend school full-time, five days per week in the fall, but since vaccines will not be ready for all students by then that some health and safety measures will remain in place. The specifics of those measures aren’t spelled out, but my guess is we’ll be wearing masks, maybe continuing to cohort grade levels for contact tracing purposes (not A/B day cohorting), and that the 6-foot rule will go away.

• Staff Summer Reading Picks – LAST CALL! – Send me your summer reading picks and maybe a short description if you want and I’ll share them in next week’s announcements. Share your recommendations with your fellow Holt Bolts! • REPEAT: 2021-2022 Class Lists, DUE FRIDAY – Teams should finish their 2021-2022 Class Lists by this Friday. Then next week past teachers, specialists, and other staff can check lists for any potentially bad combinations or other concerns.

• Two Summer Reading Programs – If teachers want to use them we’ll leave out bookmarks for Menchie’s Summer Reading Program that were dropped off last Friday. Kids just fill out bookmark after they read a book and once they have read 10 books (or 10 hours), they can get a FREE 5 ounces of free frozen yogurt. Another is the Barnes & Noble Summer Reading Journal program, where kids also records books they’ve read and can turn in for a free book once they’ve filled up their journal.

• 4 Ways to Take a Real Break This Summer – Some teachers turn downtime into a professional learning opportunity, but unplugging from work has a lot of value. See this Edutopia Article for details on the value of truly unplugging, but here are the bullet points:

1. Read what brings you joy instead of educational research books
2. Seek out a new avenue for seasonal work instead of teaching summer camp or school
3. Develop a hobby instead of focusing on PD
4. Look forward to your break instead of reflecting back on your school year

I hope everyone enjoyed their 3-day weekend.

Twenty items of note for this week:

• Staffing Updates – Our 6.5-hour Kinder EA, 4-hour EA, and 3-hour EA positions are now posted and close Thursday, June 10th. I’ll plan to conduct interviews the last week of school for these positions. Our 6.5-hour Library position hasn’t posted yet and regarding Katie’s position, HR is not allowing us to post for a second secretary and are only allowing us to post for an 8-hour Office Assistant, but the good news is that Sharon is interested in the position, so we know we have at least one good candidate. Hopefully these positions get posted soon.

Music Teacher interviews will be Tuesday from 1:30-4:00. I have enough volunteers for the committee, but let me know if any of you would like to join. The more the merrier!

• Masks & Vaccination Verification – Please note in the Face Mask & Vaccination Verification Email that staff must continue with current mask protocols until your vaccination status is verified. I’m not sure if that verification will come as an email to staff or if it will come to me first when I pass out the verification stickers to put on your badges (which principals haven’t gotten yet).

• 2021 James Brown Award Nominations – James Brown was one of the first custodians at Bertha Holt. He worked extremely hard to make our school a safe, clean, and beautiful place to be. Throughout his 13 years at Holt, he was a hard-working, dedicated, humble, and kind member of the staff. Each year, a staff member is recognized who exemplifies the characteristics resembling James. We would like your help in awarding this year’s recipient. Use the Google Form to nominate a staff member you think deserves to be the 2021 award recipient.

• Report Card Updates – Downtown has not made a decision how and when these will go home, but word on the street is we will send home report cards with hybrid students Monday for Cohort A and Tuesday for Cohort B, and they will be mailed home by schools for SSO students. There has not been guidance on things like the “completes assignments” line on the report card, whether we consider online work AND in person work or do we focus on in person. My suggestions would be to consider both, using the 1-4 scale accordingly, and then provide any explanation for the grade in the comments.

Four other report card items of note:

When are specialist reports due? The staff agreement according to the Staff Handbook is that specialist reports (PE, Music, Title, SPED, Parent Reports) are due to classroom teachers the Wednesday following grading day, thought that doesn’t work this year since report cards need to go home Monday and Tuesday, so specialists need to make sure classroom teachers have reports by the end of Grading Day. Let me know if anyone has concerns and we can add this to the Staff Meeting Agenda.

Is the Report Card website updated? The 4J Elementary Report Card website has not been updated, but it still has some useful resources including the Report Card Bridge Document, as well as printing instruction and information on Synergy Grade Book. Take special note of the Performance Key for grading students, where a 3 is the target, students consistently meeting grade level expectations (scoring in the 74.88-98.99%) and a 4 represents consistently exceeding grade level expectations (scoring in the 98.99%-100%).

Will there be Parent Reports? I’ve emailed 4J data folks, but haven’t heard back yet.

Can teachers do grading from home? Report card grading day is a regular work day, but HR does allows teachers to work from home if you notify your administrator (me) in advance, but be sure to plan ahead if you need to collaborate with any colleagues on grading. Also, be sure to use this time for grading and not use it to run errands around town. Teachers are highly visible members of the community, so keep in mind public perception. HR has said that if working off-site on grading days is abused, we will not be allowed to continue the practice.

• Journeys Book Collection – Here’s what I’m putting in Monday’s Quick News if you can remind students and families on these dates:

Reading Book Return + FREE BOOKS!

Families may keep the standard school supplies (pencils, crayons, glue, etc.) including headphones, but reading books should returned on the following dates:

Cohort A – Bring books to school Monday, June 7th
Online Students – Bring books to office Wednesday, June 9th, 8-2
Cohort B – Bring books to school Thursday, June 10th

Teachers will let students and families know if there are additional items that need returned.

As an incentive to return materials, students will receive a FREE book purchased by our Title 1 program.

• 2nd Grade iPad Collection – Downtown has decided all students will keep their iPads over the summer, except for 2nd grade, who will different iPads in 3rd grade. They will return iPads after the last day of school on Friday, June 18th between 8:00-2:00. If we get the charger and cord, great! If we don’t, the district is not worrying about it. Downtown will notify families about this, but I’ll also include it in the Quick News.

• Wednesday PD/PLC Time (Antiracism PD) – This Wednesday is the next module in the 4J Antiracism PD. This will begin immediately following the 1:40 Staff Meeting.

• Bus Safety Training – The state still wants schools to cover the annual bus safety training, but downtown says we can meet this rule by simply giving students this Bus Safety Handout, which I’ll send as a Seesaw Announcement to students and families on Tuesday.

• Input on ESSER Funding, DUE MONDAY – If you missed the district email, Monday is the deadline to give input on how 4J should spend ESSER funds. Smaller class sizes and facilities to support those smaller classes are options being considered, so let your voice be heard on the ESSER Survey!

• Staff Photos – I’ve updated our website Staff Directory for folks who didn’t have a photo earlier, but if any of you don’t care for your current photo on the webpage, let me know and I can replace it with this year’s LifeTouch photo. (PS: I had some fun with my picture and remove.bg)

• REPEAT: Fire Drill Tuesday & Thursday @8:30 – Our June Fire Drill is on Tuesday and Friday at 8:30 for each cohort. See the linked Evacuation Lines Map for where classes should line up and that will be it for safety drills for the year!

• Send Me Your Summer Reading Picks! – What are you going to read this summer? What should your colleagues read? Send me your picks and maybe a short description if you want and I’ll share them in my final staff announcements for the year. Another one on my list is The Midnight Club by Christopher Pike. I never read any of his books as a kid, but the director of the smart and incredibly scary Netflix series The Haunting of Hill House is adapting this novel, so I want to read the book first.

• REPEAT: 2021-2022 Class Lists, DUE June 11th – Teams should build 2021-2022 Class Lists for next year by Friday, June 11th. This will give past teachers, specialists, and other staff a week to check lists for any potentially bad student combinations or other concerns. See the linked Class List Directions Email for details, but let me know if you have any questions.

• REPEAT: Papa’s Pizza Fundraiser, THURSDAY – The final Holt Night Out Fundraiser of the year is this Thursday at the Coburg Road Papa’s Pizza. Get your kids excited and make sure they have the flier.

• District Admin Updates – Buena Vista principal Melissa Ibarra is the new temporary Co-Elementary Director (taking over for Brooke, who is taking over for Cydney as assistant sup, so these are all temporary appointments since Cyd is interim sup and has rights back to her old job) and also Language Immersion Administrator. Jeff Johnson is continuing as Co-Elementary Director and will also oversee Federal Programs (i.e. Title 1), taking over for David Jacobsen, who downtown is not replacing. The new principal at Buena Vista will be Stephanie Randall, who has been the assistant principal at Willagillespie and Gilham. For next year, Gilham is getting a full-time assistant principal (I’ll pitch for the same if our numbers are close) and WillaG is getting a full-time Student Success Coordinator. Lastly, the principal positions for both Adams and Charlemagne are now open. See this email for details as well as for some assistant principal shifts. 

• NYTimes Education Briefing on Retention – Since there’s been a number of discussions regarding retention of students with chronic absences, this New York Times Education Briefing seemed timely. Research on elementary school students during the pandemic provides some support for Chicago’s promotion plan: An analysis by T.N.T.P., a nonprofit that helps districts improve teaching, and the online math platform Zearn found that students whose teachers began the 2020-21 school year teaching them grade-level content in math — going back to fill in content they had missed in the spring when needed — did better than similar students whose teachers started the year by teaching them the material they had missed from the previous grade. This also falls in line with recommendations from the National Association of School Psychologists.

• JUST FOR FUN: Web-Based Music ToyBeepster is a website that lets you make synthesizer music through experimentation. It has four tracks. You can change the waveform, speed, volume, pitch, and scale by clicking buttons. It’s configured in such a way that anything you do produces a pleasant tune. It might be fun to share with students.
