Week of February 27

February 26th, 2017

Buenos dias Estrellas Brillantes,

Here are the major items of the week:

• District Title 1 Audit by ODE & Parent Survey – Classroom teachers, later this week Aline/Yasmin will put class sets of Oregon Department of Education parent surveys (in English and Spanish) in your mailbox for you to send home in Friday envelopes this week. ODE will be conducting a monitoring visit of 4J Title 1 schools the week of April 24th. Prior to the visit, ODE wants to hear from families in Title 1 schools. They are looking for feedback on how their child’s needs are being addressed, as well as wanting them to know their voice are being heard. Completed surveys should be returned to the green basket in the office by staff mailboxes. All surveys are due by Wednesday, March 15. We will have an assembly to reward our participants on March 16th at 2:00 PM in the cafeteria.

LEL on March 8th-  Prepare for Teaching Science: Science Units should be reviewed for March 8th. We will be running an alternate schedule on that day. You will need to prepare to teach in 30 minute sessions for science time in the morning. Please be prepared to shift your schedule to teach one science lesson in the morning during the observations. Collect materials and supplies this week so you are prepared for the lesson.  I have created an observation schedule that does not interfere with PE/Music but this is still being reviewed by Harriette Rasmussen and Brooke Wagner. I will give you your observation time as soon as possible.

• 2017-2018 Staffing Updates – We did get our ELL allocation for next year and got a big bump in FTE. 1.5 FTE!  Let me know if you want to teach with Nancy .5 of your day.  I sent an email about this last week. There are  no other updates for Classified SPED, ESC, TSS, or BEST staffing or a timeline for when we’ll get them. We’ll kind of be in a holding pattern until we get our classified SPED staffing and our ESC staffing since those allocations will effect both our classified and licensed staffing plans. I’ll keep staff posted as soon as I get any new information. I will be sharing staffing plans and getting feedback from PLT and Site Council this week.  Anyone is welcome to come to these meetings. In addition,  I want to plan an optional meeting for teachers to give input on staffing plans next week.

• PLT is this Tuesday, February 28 2:50-3:45:  One item agenda- staffing and grade configurations.  Anyone is welcome to come to this meeting.  We will run the meeting in room 18 so you can listen in or participate.

• Attendance Lesson 101 – This was shared with secondary principals, but I thought the lessons here also apply to elementary students if any of you would like to go through this activity with students. Have you ever heard that missing a day of school now and then isn’t a big deal? Well it is. Being absent even 1 day a month negatively affects learning, but missing 2 or more school days a month for an entire school year, known as chronic absenteeism, increases the risk for students to under perform academically and experience delays in prosocial skill development. In short, attending school does matter and every day counts. To help support students with this message, linked here is a step-by-step attendance lesson that demonstrates the impact of accumulating absences.

• Doors to Classrooms and Spaces and Windows to Classrooms – Randi Bowers Payne asked that the following information below be shared with all staff. All doors to classrooms and spaces must be locked when not in use. Students may not be in any unsupervised rooms/spaces in the building which may be left unlocked and unsupervised. If you happen to find a student(s) without adult supervision have them leave and notify administration immediately. If you discover a door that does not shut and/or lock completely, please let your custodian and administration know right away so it can be fixed. In addition, there must be visibility/line of sight when walking by classrooms (i.e., no completely covered hallway windows).

• Exits/Egress Must be Unobstructed at All Times – The Risk Management Department wants you to be aware that there is an OROSHA Administrative rule; stating exit routes MUST be unobstructed. The fine can be anywhere from $300 to $2100 depending on whether the violation is low serious or low death. The rule applies during after school social and sports events as well as during school hours. See the linked Exits & Exit Routes OAR 437-002-0041.

•Time to Register for Nearby Nature Field Trips and Classroom Visits:  Want to spend some time outdoors with your students this spring? Interested in bringing nature into your classroom? Nearby Nature can help! Kids who spend time outside are healthy, happy, and ready to learn. And kids whose classroom learning environment includes nature feel more connected to the web of life that sustains us all. Check out the attached announcement about Nearby Nature’s spring field trips and classroom visits. There is still have space available, but they’ll probably fill, so get in touch soon. You can request programs at http://www.nearbynature.org/registration-scholarship-forms/online-form

Final day in the building and moving:  I am working closely with Facilities to determine the last day in the building.  Remember that you will be paid for two days to move out of the building.  The last day in the building could be June 23, June 26, or June 27.  Harlan Coats and Brooke Wagner will soon inform me of the date. When they say last day in the building, they mean it!  Last year at Roosevelt,  there were some dramatic moments where teachers were past the deadline and demolition folks began tearing things off of walls while teachers were speaking to parents in their rooms.  The timeline is very short to get the building torn down and the parking lot ready. Every minute will be precious for us to get things done so families have access to the building on the first day of school. In other words, work ahead! Remove things now from the school that are personal property.  Get rid of unused paper materials now.  Moving and getting rid of things is hard but necessary. All furniture in the new building will be new. We are not bringing old furniture to the building. 99 percent will go to the warehouse, not to your new classroom. The 1 percent has already been decided by  the facilities department on walkthroughs of the building.  Mainly curriculum materials, books, and supplies. Keep this in mind as you prepare to get rid of things.

Teaching and Learning Emerging Bilinguals:

What to do first: Creating a welcoming ELL classroom environment Learn about these important first steps that will help ELLs feel welcome and get them on the path to academic success. The focus of these meetings is to help you work out the kinks with Lisa.  You can use the 2 hours to discuss implementation,  to plan,  to review concepts of the framework, or possibly observation if you choose to. Please come to the meeting ready to share experiences with your grade level team, bring your AIM4S3 notebook, planning book for math, and (optional) photos or past compendia to look and learn from. Jaime Massie, Reid Shepard, and Maddie Ahern  will be coming by to check things out as well. They will not be there the whole time but will be at some of the meetings based on their availability.

• Read Across America, Thursday, March 2nd – Dr. Seuss’ birthday and Read Across America is March 2nd. (Our Literacy Night is March 1st!). Linked here are some resources for how to celebrate this day from Seussville, Reading Rockets, the National Education Association (NEA), Edutopia, and Scholastic’s Top 10 Read Across America Ideas for Upper Elementary.

• Classified Last Work Day – If you’ve taken a look at the Revised 2016/2017 Classified Calendar you’ll have noticed 196-day and 192-day classified staff, which is most everyone minus MariCarmen Yasmin, you have an odd last day of work this year, Monday, June 26th. However, I wanted to point out the calendar does note that “With prior arrangement with your administrator, employees can develop a plan to make up the final work day of June 26 at an earlier time. (Example: You may work extended hours or a day you were not originally scheduled to work to make up the time.),” so keep track of comp hours if you’d like your last day to be Friday, June 23rd. Also, classified staff will be helping to move.  They will be compensated for some time moving out of the building in June.

•Packing update:  This week we had smaller boxes delivered. There are another 500 boxes for your use.  These boxes are best for  packing books. The key to packing books is to not OVERPACK THEM.  Packing books is heavy no matter what so fill the boxes 65% or so.  When in doubt, use another box. Your back will appreciate it. And start packing!

Teaching and learning  emerging bilinguals:

Homework for ELLs: Here is a great article on assigning homework to English learners.  Homework can be a controversial topic in education circles. Some — including parents and educators — strongly believe homework is an important part of a student’s education, and should be assigned to students on a nightly basis.

SPANISH Spelling Bee- HAVE YOU REGISTERED YOUR STUDENTS YET? It is less than than 2 months away! Note the save the date below. There are documents with rules and regulations, and a copy of the 2016 word list that can be used for school based spelling bees and for students to study for the statewide spelling bee. Once I have the the 2017 word list, I will forward it to those who have registered for the spelling bee.  We need a coach who can help support the students.  This is a great school day event that can benefit several students.

February 12th, 2017

Ruby Bridges is an African-American activist best known for being the first Black to attend an all-white elementary school in the New Orleans, Louisiana. She was 6 years old in 1960. Here is a famous picture of her being escorted into the school by US marshals. What have you studied this month on black history?

Hello Estrellitas Brillantes,

This last weekend several of our teachers attend the OALA Conference. This conference is about inspiration and courage of Latino Educators and their allies around the state.  There were several quality presentations given by experts in the field.  Two of the educators are our own, Jennifer Harris (counselor) and Briana Stiller, our amazing behavior consultant.  Their presentation on Supporting Gender Diversity in our Schools was well received. In addition, I was so proud to see our teachers speaking up in sessions and networking with other educators in our state. We are making a good name for our selves and inspiring others to be great educators. Once again, our staff is making me so proud.  Excellence is contagious and you are spreading it!

• 2017-2018 Staffing Survey, Due Wednesday – If you haven’t already, all staff should complete a short survey, on this linked Google Form All answers will be kept confidential. So far I have 9 responses of 45 employees.

NOW is still a good time to pack (Don’t procrastinate): As I mentioned last week, you can never be too early to get rid of items you no longer use in your classroom.  Remember that you will have about 60 cubic feet less storage in your room.  Space will be at a premium. It is time to thin down materials you have. The recycling bins are ready for your use and they have been underutilized so far….  If you have books to discard, please bring them to the library in a box.  We will be sending them to a book repository.  Please do not put any books in the recycling bin.

•AIM4S3 Focus and Schedule:  The final meeting with Lisa Meyers will be about looking ahead.  I will allocate 3 substitutes for teachers the whole day.  It will be like data team schedule but a bit longer. Each team will get to meet with Lisa for 1:30 or 1:40 minutes.  I will publish the schedule in email and your boxes this week.

• Demolition Day:  The district is in the early stages of planning the demolition of our building. However, the date has been set. July 11 will be the day when the building will actually be taken down. The ten days before that will be used for asbestos abatement.  June 26 will most likely be the last day for any staff to enter the old River Road building.  In addition, this begins to set the stage for planning the opening of the new building in the fall. Brooke Wagner, Dexter Rummel, and myself will begin to do work on the roll out of important dates and times for the Fall. Our timeline is tighter than  Howard’s and we want to make sure there is a plan for student registration in August and September so students and parents can get in the building to access office staff.

•Technology PD postponed for a couple of weeks.  We will resume Technology PD with Misty in March.  We need to get the new projector installed in Room 18 for practice.  Misty Erin and I will be communicating with you the topics.  We will be scheduling these for Wednesday for Primary and Intermediate for the remainder of the year.

• New Care Team Release Form & February Referrals – Linked here is an updated Care Team Release of Information Form (this one you can electronically edit if you open the file with Adobe Acrobat Reader) for the Student Care Team. Please remember to have the parent/guardian initial Mental Health and Drug and Alcohol if they wish for that information to be disclosed. There is also now a button at the top of the second page to add additional providers we may be inviting to the table just once for a specific family. This reduces the need for multiple releases.

Our February Care Team Meeting will be in two weeks on Wednesday, February 22nd, so referrals to the team are be due to me by Friday, February 17th. Referrals can be for families seeking or needing help in most any area, but who do not know where to get that help. The broad goal of the Care Team is to prevent student and family situations from slipping through the social service cracks. Food assistance, incarcerated parents, counseling/mental health needs, parenting resources, transportation assistance, clothing needs, financial assistance, and any other situation where a family is looking for help. Try to get a parent/guardian signature on the release form, but know that you can also refer “hypothetical” situations.

• Updated PE/Music Schedule – There were a few changes made to the PE and Music Schedule (those effected already know), but linked here is the updated master schedule. Let me know if anything on here looks incorrect.

• Instructional Minutes Info – Oregon K-8 students are required to have 900 hours of instruction each school year and it’s come to light after all of our snow days when downtown began counting instructional hours at all schools that all 4J elementary schools are short on hours. To address this, one thing being looked at by downtown for next year is aligning the start and end times and amount of time for recess and lunch so all students receive the same instructional hours.

• Eugene Math Festival – See the linked Flier (English and Spanish) for an event on February 18, Crater Lakes Room, EMU, where students ages 5-14, who like math and share a passion for games, problem solving, and hands-on math activities, to come to the first annual math festival. This year they are offering free admission without prior registration. Parents are required to accompany the youngest participants (grades 1 – 3).

• Emergency Radios Training Video – I shared this once before, but principals were asked to share again if you are someone who uses a school radio and you haven’t watched this video yet, please take 5 min of your time to view the linked 4J radio training video. Be sure to sign in to your 4J Google account to access the video.

• Argumentation in Mathematics Course, Grades K-2 Teacher Opportunity – For grades K-2 teachers, there is a $250 stipend for completing an online course from the University of Washington about Argumentation in Mathematics. The course will begin mid-March and will include one “break week” in the spring. Coursework is likely to take 1-3 hours to complete each week. This can be completed at any point in the week that works for you. Teachers should email Susan Wilson <susan.wilson@state.or.us> if you’re interested.

• Risk Management Field Trip Info – Teachers, please review the following Risk Management Field Trip webpage. Take special note of the Field Trip forms link and the 4J Code of Conduct for Trip Chaperones document, which you could share with field trip chaperones as you see necessary. On a related note, starting next year 4J is planning to have all volunteers who fill out the online criminal background check complete a short online training for volunteer expectations.

Week of February 6

February 5th, 2017

Buenos dias estrellas brillantes,,

This week is National School Counseling Week, which is a time set aside annually to focus attention on the unique contribution of school counselors within the U.S. school systems. School Counselors can have a tremendous impact in helping students achieve school success, and we are very lucky to have such a talented and skilled counselor here at our school with Jennifer. This year, her full time support has been so good for our students. Thank you so much for your care, love, and focus on social justice in our school and community! Think about having our students make a card or some message of appreciation to her in the next week. She does a lot for us every day.

• Calendar Changed to Make Up Weather Days – The school board approved a revised calendar due to the snow and ice days. Official communication about these days will go out to staff and families soon, but five school days will be made up – four at the end of the year, and one during the school year on PD/planning days; March 17 for middle and high schools and May 5 for elementary schools. The new final day for students is Thursday, June 22nd and Friday, June 23rd is a grading day (last work day) for teachers and most classified staff. This means our moving days will be pushed very close to the end of June. Linked here is the 4J Calendar Changes webpage and linked here is the Updated Elementary Calendar.

• New Students on the Bus – The Transportation Department sent an email to principals and secretaries, but teachers can be a big help with new students riding the bus as well. Please remind new students of their bus route and also their bus stop. Also, if teachers can tell the bus driver the bus stop as well, especially for younger students, it’s a huge help because the Transportation Department does not tell bus drivers where to drop off new students unless they are creating a new stop. For our youngest kids, you might attach a tag to their backpack.

• 2017-2018 Staffing Survey, Due Feb. 15 – A repeat from last week, but if you haven’t already, all staff should complete a short survey, on this linked Google Form . I’d like to know staff members’ individual plans and preferences for the future as well as your thoughts on next year’s staffing plan and master schedule. Please complete the survey by Wednesday, February 15th. All answers will be kept confidential.

Staff Meeting 2/07/17 @2:50-3:50: This week Kim Reinhardt will be back to discuss how to calm a class after a difficult incident or interaction.  Room clears can be disruptive, but sometimes they are necessary.  This meeting will focus on how to help your class refocus. There will also be some general calming techniques described in the meeting. In addition,  I will share some procedures on packing your things for the new building.

•Time to pack: Believe it or not, now is a good time to start packing.  It is already February and the building will be done in June to store boxes. The district will give us a drop dead date to be out of the old building. This date could be June 26 though it has not been set yet. The snow days have really put a crunch on things. After that, they will be doing demolition. Getting packed on time will help all of us to start school on time in September.  All teachers will be paid two days to pack and two to unpack. Classified staff will also be compensated for packing. Ask Craig for boxes and tape this week. Tuesday we will show you the proper way to label your boxes and you will get your final classroom number.

 • Academic Enrichment Grant – If anyone is feeling in the mood to write a grant, The McCarthey Pressman Education Foundation offers Academic Enrichment Grants designed to develop in-class and extra-curricular programs that improve student learning. Grants are awarded to individuals in amounts up to $10,000. The deadline is April 15 and let me know if anyone is applying for any grant above $5,000 so we can first get district approval.

• Free Admission for Students to Oregon Asian CelebrationThe Oregon Asian Celebration is planned for February 18th and 19th at the Lane Events Center. Feel free to share with students that admission is free to students ages 12 and under and through underwriting by Oregon Community Credit Union, students 13 and older (including college students) can attend the event for free by picking up a Student Admission Ticket at any of the credit union branches. General admission is $6 for one day or $10 for both days.

• Report Card Reminders – Some reminders for report cards going home on Friday, February 10th:

No Report Cards for Cumulative Files – Teachers do not need to print a report card for the cumulative file at this point in the year, but teachers will need to do it at the end of year. For students who move, our new secretary (or Marian) will print one to go to their new school.

Specialists Reports Due Tuesday Feb. 7 – Specialist reports are due to classrooms teachers by Feb. 7th so they have at least two days to get everything stuffed into report card envelopes.

Laws and Policies About Immigrant Students in U.S. Schools:  Be informed and ready to speak about these laws to families. Last week I shared information provided by the district on undocumented students.  Much of that information is based on current federal law.   Take a look at the videos and documents in place now to protect undocumented students.  Also,  further below, I have shared a document that Carmen Urbina, Andrea Ortiz, and Guadalupe Quinn created in the late 90’s. It documents how our families in Eugene were treated by INS. It is an important historical document to our community and one which all educators should read. There are still families in our community effected by these raids that occurred.

Plyler vs. Doe: A Landmark Supreme Court Case: Plyler vs. Doe is the court case that guaranteed undocumented students a right to a free public education in U.S. schools. Learn more from the following fact sheets and from an interview with Attorney Roger Rosenthal.

Here is the document on INS raids in the Late 90’s from Carmen Urbina: 1997-Lane County La Migra (INS) Raid Report-A Socio-Economic Impact Study Pay special attention to the testimonials.

Teaching and Learning for Emerging Bilinguals:

• Simon’s Cat, a great language and writing tool in Spanish or English: Simon’s Cat is a really fun animation on You Tube with can be used to teach language.  The month of February is traditionally a time when some teach about Valentine’s day and friendship.  Take a look at this video and consider how you might use it to teach writing or language skills.  It is a very fun video with no words.

12th Annual OALA Winter Conference — Feb. 10-11

This annual event provides a venue for Latino and non-Latino educators, business and community leaders to learn about ongoing and emerging educational issues impacting the Latino community. This conference will support the efforts of numerous educators by providing valuable information on a range of innovative strategies for the fastest growing ethnic U.S. segment — Latinos. Conference strands will include: programs and practices that promote equity and opportunity, instructional pedagogy, leadership development, initiatives and reforms, and family/community outreach. The OALA Winter Conference is more than a conference with great speakers, it’s a vehicle to develop, support and mentor the next generation of Oregon educators in a more diverse and challenging learning environment. Held annually, the OALA Winter Conference offers intensive exploration of the field of innovative instructional and learning strategies for Latino students, best practices for parent involvement, closing of the achievement gap for English language learners, and professional development training for aspiring administrators. Participants can expect a hands-on curriculum which includes presentations by nationally-recognized authors and educational officials.
