Week of September 26

September 25th, 2016

Hi Everyone,

Last week was another very busy one. I know how hard our teachers were working to adjust the program to support our new blends.  You made it look easy, though I know it was not.  The extra hours of work to help the new composition of classes is paying off. Students feel welcomed and supported in all spaces of our school. You are an amazing staff. Thank you for your hard work.  This next week we are focused on Safety. It is Safety Week.   I have attached a list of simple procedures for you to follow. By the end the week, we will be in for a special treat, hearing the famous Gabino Palomares in our assembly.

• Licensed Staff TalentEd Self Self-Reflection Form Due Friday – Most licensed staff have a deadline this Friday to complete your Self-Reflection form in TalentEd. This is required for all temporary, probationary, and contract teachers who are on year-2 of the evaluation cycle, which is most of you. Log onto TalentEd and complete this form. For licensed staff, I do not see the contents of your self reflection, but I am notified once it is completed.  Let me know if you have any questions on any of this or need any help logging onto TalentEd. Also, begin to think about your professional practice and personal goals.  Smarter Balanced Assessment is not a required measurement for your assessment.  You can use EDL2, Easy CBM, or your own reading/math measurements if you do them across a grade(s) in a consistent way. Goals meetings will be made by Myka and I very soon. All goals will need to be completed by 10/31.

• Safety Drills Information for Safety Week:

• Staffing Updates – We have two new staff beginning this week!  Our ELL EA will be Margaret Lima. She goes by Peggy. Peggy comes from the California Central Valley with a wealth of ESL and teaching experience. Peggy will be starting by the end of the week.  Also, Antonio Salgado Nolazco begins his work in kindergarten with Nikita on Wednesday.   Antonio, has worked at River Road El Camino del Rio before and is a parent here too.  He has a lot of EA experience and kinder experience. They both will be a great addition to our team.

• District Admin Staffing Updates – Kevin Herrington has been hired into the position of College and Career Readiness and Career Technical Education Administrator. Kevin is a North Eugene High School graduate (Go, Highlanders!) who is coming back to 4J. Kevin has been doing similar work in California and here in 4J will oversee Career Technical Education (CTE), College & Career Readiness, AVID and Transitions.

David Bautista, who recently joined 4J in the equity administrator role, is departing. He has been asked to lead a dual immersion program in Santa Barbara, California, where his wife has been working. It was a difficult decision for David to leave 4J after only a few months, but his decision came down on the side of reuniting his family.

• Staff Orientation Check-List Due Friday – The checklist acknowledgment form to indicate that you have read and understood the District Back-to-School Memo (and PDF) is due to me this Friday. Principals this year are expected to give HR copies of all signed forms, so be sure to review the memo and give me the signed form before the end of the week. I’ll plan to start bugging individual staff members Wednesday who haven’t turned in their acknowledgement forms. This is a requirement of all classified and licensed staff.

• Classified Staff Self Assessment Form Due Friday – This was a new requirement from the end of last school year, and similar to licensed staff, classified staff are now expected to complete the Classified Employee Self Assessment form (Word and PDF) at the start and end of each school year. HR has already notified classified staff of this new expectation, but I wanted to remind staff this form is due to me by this Friday. This form is not sent to HR and is only seen by me. Feel free to email me an electronic copy of the form if you are using the linked Word file, but I will also put hard copies in staff mailboxes on Monday. Let me know if you have any questions.

• Learning About Learning (LEL) Network Teacher Rep Needed – For several years, 4J has had LEL Networks, first with only principals and later adding teacher reps from each school. Downtown now wants to rotate teachers who participate, so each school will have two teachers and rotate one off and one new one come on each year. Megan is rotating off and Nancy will continue for her second year, so please let me know if any of you are interested joining Nancy and myself as part of the LEL Network.

The purpose of a Learning About Learning Network is to orient members to the Instructional Rounds process and to begin the process of building teams of leaders who are able to learn from one another around the craft of leading instruction. The goal of instructional rounds isn’t to provide feedback to the teachers being observed, but rather the primary purpose is for observing classrooms to compare LEL members’ own instructional practices with those of the teachers they observe. The chief benefit of this approach resides in the discussion that takes place among LEL members at the end of the observations as well as in subsequent self-reflection. This short post from Edutopia has a nice overview of what the process looks like and linked here are the LEL Meeting dates & times. Feel free to ask Megan, Karen or Nancy or myself if you have any questions. Let me know if any of your are interested.

• New Monthly Absence Management Entry Requirement – Downtown is now requiring all staff to enter their own absences (administrators too) in AESOP. This is not a change for licensed staff who put in for substitutes, but staff who do not always put in for subs or record their absences, both licensed and classified staff should take special note. Staff can reference the district AESOP Quicksheets and Support for Licensed and Classified Staff website that will walk you through the process. There is a wealth of helpful information there including some videos regarding how to use the system if you are not familiar. If you need help you may also contact the sub desk at (541) 790-7689.

• Creativity and Parent /Community Engagement Night, October 4, 6:00-7:00: There will not be a regular parent group meeting.  We are going to try something different.  Teachers, parents, and community members will be invited into the library to think differently for a period of time to increase the engagement in the classroom. Teachers and the community members will brainstorm creative ways to teach, together! Please come to this event to work with the consultant, Jay Breslow to consider creative ways to engage our students that make learning more relevant.

• Curriculum Night, Oct. 12th, 5:45-8:00 – Just a quick reminder that Curriculum Night will be on Thursday, Oct. 12th. We’ll have a new plan this year. Dinner will be available to all who attend until 6:30. Childcare will be available. At 6:30, there will be a general assembly meeting to review dual language fundamentals, and Title 1 programming.  At 6:55, parents will be excused to the first teacher session.  At 7:25, there will be a passing period.  At 7:30 there will be a final session if families have two children  in different grades or classes.

•Student Information Verification Forms:  Teachers, thank you for returning the verification forms.  This makes a big difference for communication in the office.  We will get more families information and also provide better home communication in case of late pick ups and student injuries. If you get more, please bring them in to the office.

• Attendance – AM and PM Reminder – Quite a few teachers are not getting both their AM and PM attendance entered. One issue is a Synergy upgrade that happened last week and made it so using iPhones or iPads are not saving properly, but Edupoint is looking into it. The Technology Department is recommending teachers refrain from taking attendance on iPads and use a laptop until they get more information from Edupoint. However, we’ve had teachers not getting PM attendance recorded before this upgrade. Please check that you are doing PM attendance properly after 12:00 PM. Thanks!

• We are Team Eugene Lanyards – Staff may have seen the “We Are Team Eugene” t-shirts floating around at the start of the year. Downtown sent buildings lanyards with the same slogan if you’d like one.  They will be available at the staff work station in the office by the stapler, etc.

• Guidelines for Email Signatures –  Principals were sent an email from downtown to share the linked Guidelines for Email Signatures with staff. These guidelines are intended to promote a professional, businesslike image in all Eugene School District 4J employee email communications. Email signatures should include your name, the school or department to which you are assigned, the name of the school district, email address and telephone number. You may also include your job title as reflected in official district records. To use a working title instead of your official job title, you must obtain written permission from a Human Resources administrator. Email signatures should be in black text in an easily accessible font. The district name is Eugene School District 4J with the words in that order and the J in 4J capitalized. Email signatures should not include colored text, complicated fonts, images, clip art, background, any personal quotes, slogans, legal disclaimers, or a job title other than your official job title.

Format Order:

• Free Literacy Program for Spanish Speaking Families – The fall session of Pilas Family Literacy Program begins on October 3rd at the Dos Ríos Elementary School and on October 4th at the Fairfield Elementary School. Please see the linked flier and application for details and feel free to distribute this information. The program is open to all Spanish speaking families in Eugene and Springfield, and is open to children ages 0-13, offering:

• Pre-kinder readiness class
• K-3 Reading curriculum
• Homework Club for ages 9-13
• Family involvement activities
• English classes for parents

• City of Eugene Neighborhood Matching Grant – The City of Eugene Neighborhood Matching Grant cycle is open now through October 31st with $50,000 available for neighborhood improvement and community-building projects. Community involvement and building relationships are key components and are encouraged by requiring that the project budget include a match amount equal to, or greater than, the grant request. Grant guidelines and application materials are available on the City’s website, the linked flyer, or by calling Cindy Koehler at 541-682-5272.

• ASCDExpress, Relationships First – Relationships don’t just fuel student learning, writes Rick Wormeli, they also invigorate teaching. “We are more willing to invest in students when we feel connected to them,” he notes, and that mutuality helps carry teachers during the hard work ahead of them. This issue of ASCDExpress offers tips for strengthening classroom bonds through structured discussions, writing tasks, parent engagement, and restorative interventions.

Week of September 19

September 19th, 2016

strongger

Hello Shining Stars,

This is my first blog entry of the year.  For those new to the school, this is the place where I post information pertinent to our school and some school activities that all should be aware of.  I hope that most people will be able to read it by Tuesday afternoon.  I try to post on Sunday night if I am not too busy with my kids and family.

•Staff Meeting on Tuesday-  Please bring your Teaching For Biliteracy Book to the staff meeting on Tuesday. Also, bring your creative mind.  Jay Breslow will be starting a short presentation for us on creativity that many of you will enjoy.

• Updated Master Schedule
– Staff directly effetely by changes already know about these, but linked here is an updated master schedule (Google Doc). It’s mainly the PE/Music schedule that had some changes and also a few typo fixes in other parts. Keep this handy for scheduling your day.

• Student Care Team Referrals – The First Student Care Team meeting is Wednesday next week at Howard, so I did want to extend the offer to staff if you have any student situations you would like brought to the team. This can be a chance for us to discuss with DHS staff on a variety of situations including but not limited to:

• Death of a parent
• Incarcerated parent - concerns about recent incarceration or pending release
• Homeless or impending homelessness
• Unknown if open child welfare case but has concerns that were called in
• Domestic Violence
• Extreme behavior issues – additional supports needed outside of school
• Specific resource needed but unknown where to refer
• Medical concerns about the child or other family member

DHS staff have been great about connecting families in difficult situations with various community resources, so please let me know if you have any students/families you’d like referred to the team.

• Staffing Updates – We had interviews on Friday for two positions,  ELL EA and bilingual Kinder EA. We moved forward on some recommenda

tions to hire after reference checks.  I hope to have these positions filled next week or soon after. Thank you to the hiring team for the great day evaluating our candidates. Also, we are welcoming Jennifer Casco (Jen) to our team. Jennifer is our new BEST Coordinator. She comes with much experience in City of Eugene Programs and is very excited to communicate with our BEST families in Spanish and English.  Do you want to be the after school teacher to support BEST? We are actively looking for a BEST After School teacher.  I would prefer to give it to someone in the building who knows our students and speaks Spanish.  Contact me if you want to take it on and could use the extra money!

•Newsletter Expectation Reminder- If you and your team have not started a classroom newsletter arrangement, please spend some time deciding this week.  It is very important that our families get consistent communication from the whole school.  The set day for distributing newsletters, homework folders, etc. is Monday.  If you are off a day, this effects families in other grades.  Please distribute your newsletter consistently and at the same time as your colleagues.  Also,  the 3,4,5 folks might want to do one single newsletter since we have blends.  This will cut back on the work and you can rotate translation responsibilities.  Remember, your newsletter should not be more than a half page in English and Spanish so families can read it, be informed, and keep up with the school events.  The office is also providing a weekly newsletter, so if you want me to advertise a field trip of something else school wide, I can do that for you. Lastly,  email me your newsletter!  I like to know what is going on in your class.  I can stop by to see the cool things your students are learning if I can plan ahead

•Staff Lounge and Snack Support for this week!

Team MAGENTA: Megan (team leader), Olivia, Lupe, Pilar, Craig, Alicia

•PLT this Friday- We are meeting for a short period on Friday in PLT to deal with any lingering issues.  If you have anything you want to pass on to our team, plea
se contact your rep to share concerns or ideas for possible change.

•Upcoming Assembly with Gabino Palomares – September 30!

foto-prensa-4

The Eugene Community is excited to welcome Mexican musician/songwriter Gabino Palomares to our Community on Friday, September 30th 2016. He will be performing live in Eugene in the Evening of September 30th and also at El Camino del Río during the school day. His music has inspired, advocated and expressed the unheard stories of the people of Mexico and Latin America. With a tone of empowerment and justice, his lyrics demonstrate that a new world is possible. He has written many songs and has travelled throughout Latin America and Europe.
Born in San Luis Potosi Mexico in May 26, 1950, Gabino Palomares originally planned to be a chemical engineer, studying at the Autonomous University of San Luis Potosi. It wasn’t until the civil rights protests erupted in the 1970’s that Gabino later realized his purpose was to write the untold stories of “el pueblo” as express them in song. He saw many injustices that needed to be shared, needed to be heard and was compelled to transit those valuable messages to all who would care to listen, through the universal method of music. May 6th 1972 marks the day he decided to dedicate his life to the cause of poor.
Gabino Palomares sings from the heart, from the soul of a man hurts to see his country and his people in so much strife inflicted with so much pain. With over 40 years of music history behind him, we welcome his music and stories to our community
We are very appreciative of our collaborating organizations and leaders in putting on such a powerful, impacting event for our community to enjoy. Thank you to Ramon Ramirez for this tremendous opportunity for our students.

Here are some reminders about assembly expectations:

• Attendance/ Recess and The Five Bs – Time for my annual (and sometimes biannual) reminder about The Five Bs, which refers to the only five reasons students should be sent to the nurse’s office; Bleeding, Barfing, Badly Bruised, Broken, or Burning Up with fever. Please note that tummy aches, coughs, and “not feeling good” are not on this list.  It was an effective way to lessen kids unnecessarily asking to go to the nurse’s office. Also, when you do send kids to the office, make sure they have office passes so we know they have permission and are not trying to be free range children.

• Breakfast Reminder – Teachers, please remind your students to go to the cafeteria first to get breakfast if they did not eat at home. Also, kindergarteners will begin eating in the cafeteria starting on Monday the 19th.

• U.S TaeKwonDo Demo Team Assembly? – Are any classrooms interested in having an assembly by a the a local TaeKwonDo Demo Team? Founded in 1987, their traditional martial arts demonstration team showcases some of the best talent at their school. Their performances strive to inspire and motivate their audiences, bringing positive thinking, positive talking, and positive action school assemblies. See their website for videos and more info. Teachers, let me know if you’d be interested in this assembly and I can arrange for it to happen later this year.

• Free After-School Reading and Math Intervention Program – This was offered last year and a few Howard students got hooked up with it. The CTL Reading Clinic at the University of Oregon has an opportunity for K-2 students to receive free after school reading and/or math intervention services at the UO. Students who are performing below benchmark are encouraged to apply. Their reading services focus on alphabetic principle/phonics and fluency instruction, so the program will be most beneficial for students performing below benchmark in grades K-2. See the linked email and registration packet for further details. It’s first come, first serve so share this with any families who you think would benefit from this. CTL want to have all intakes completed before October.

• Eugene Math Circle Student Opportunity – The Eugene Math Circle at the University of Oregon will continue its weekly sessions for the elementary, middle and high school students in 2016-17. Students are invited who enjoy math, like solving challenging problems and want to learn exciting topics that are normally outside the school curriculum. The Math Circle teachers are members of the UO Mathematics Department. The program will begin in the end of September and will run through the end of May. See the linked flyer and/or their website for further details.

• Principal Visits to Classrooms – If you would like to set up a time for me to come read to your class, let me know a good 10-15 minute block for me to come in this week or next. I’ll read a favorite story to your class and chat with the kids a bit to introduce myself. Send me an email or catch me in the hall. Thank you!

• District Mandatory Policy Review for all Staff – If you have not had a chance to go over this year’s District Back-to-School Memo (and PDF), which covers a variety of district rules, policies and guidelines, it is a required activity for all staff. I could not spot anything that looked different from last year. Section 1 is the portion that all staff are required to review. I briefly mentioned this in our Nuts and Bolts meeting to review.  I leave it up to you to review it on your own. All staff must review the memo and sign & return the check list acknowledgment form to the office no later than Friday, September 29th.  any of you have already! Thank you. Hard copies of the acknowledgement form were placed in mailboxes last week and this year principals are expected to give HR copies of all signed forms, so be sure make time to review these polices before the end of the month (or before I have to start haranguing individuals next week).

• Eugene Ballet Educational Performance – For grades 1-5, the Eugene Ballet Company is presenting a 50-minute educational performance featuring an interactive demonstration of all the elements that go into performing a professional ballet, followed by a complete ballet performance of Pulcinella (pull-chin-ella). There is a $5 per student fee (thought scholarships are available, which with 100% of our students receiving free/reduced meals we should certainly quality for). Buses are also not provided, but if you’re feeling adventurous, I believe LTD still offers free class field trips or if you want to arrange for parent drivers. See the linked flyer and registration information if you’d like further information.

• Lowe’s Toolbox for Education Grants – Lowe’s will donate up to $5 million to K-12 public/charter schools and to parent teacher groups – at as many as 1,000 different public schools per school year. Grant awards go up to $5,000. Visit their website for details if you want to write a grant or recycle an old one. I submitted one to get new Howard shirts for all students and staff.

• BEST  After School Positions – BEST is posting soon for some EA positions, two 2-hour EA positions 2:40-4:40 that will be providing small group instruction/homework/reading during BEST. Talk to Jen Casco, our BEST Coordinator if you’re interested.

• Free Online PBS Resources Teach Students about Elections – A free website that provides K-12 resources for students to learn about the political process has just added new tools designed to help them explore the role of the Electoral College and other aspects of this year’s presidential election.

aam_2016_badge-02• AAM: Attendance Awareness Month:Did you know that September is attendance awareness month?  Jennifer, Myka, Aline, Yasmin and myself are working hard on a proactive campaign designed to inform families about the importance of attendance as part of a study on chronic absence reduction. Think about ways to help our students understand the importance of attending every day. It could make a great CFK morning meeting topic.
